Overview

The Procurement Assistant will be responsible for processing procurement of goods, and services for FHI360 Ghana Office as well as ensuring documentation is filled appropriately.

Job Summary

Provide highest standard of Procurement services to FHI360 Ghana Office in accordance with established rules, regulations, and policies.

Ensure integrity and transparency of the procurement process and in compliance with USAID policies and procedures.

Identify and fully understand the best procurement methods to use for maximized competitive bidding process.

Prepare procurement packages for review and approval.

Reconcile final invoice, delivery notes and Purchase Orders and request upload onto DPA.

Maintain and update all trackers.

Update folders on Share Point with relevant documentation ensuring that filing system is complete and consistent.

Perform other tasks as required by supervisor.

Qualifications & Experience

Bachelor's degree required in Business Administration, Business Management and

Procurement Supply or related field.

At least 1-2 years procurement work experience preferably within the NGO sector.

Knowledge of USAID procedures and regulations desirable

Ability to prioritize multiple assignments in an extremely fast-paced environment to meet deadlines.

PURPOSE AND SCOPE:

Supports FMCNA’s mission, vision, core values and customer service philosophy. Adheres to the FMCNA Compliance Program, including following all regulatory and FMS policy requirements. Ensure quality patient care while maintaining cost-effective clinical operations in accordance with all legal, compliance, and regulatory requirements and programs.  As the Charge Nurse, manages the daily decisions to ensure continuity of care to maintain patient and staff safety and oversees the delivery of safe effective quality outcomes.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Provide day to day guidance, support and direction to direct patient care staff, providing informal feedback on an ongoing basis and formal feedback input for the annual performance evaluation. Participate in the department staffing and the appropriate hiring, firing and disciplinary actions. Recommend disciplinary action to Facility Administrator and initiate as appropriate.
• Ensure compliance with all company and facility approved procedures and policies as well as regulations set forth by state and federal agencies.
• Approve or disapprove time or personnel schedule changes in the absence on the Facility Administrator ensuring compliance with applicable regulations, policies and procedures for documenting time of work hours for staff members on assigned shift.
• Participate in patient care plan meetings.
• Maintain knowledge in the current practices related to the principles and techniques of dialysis by participating in all scheduled in- services.
• Train and orient staff as necessary.
• Routinely observe and guide direct patient care staff for appropriate technique and adherence to facility policies and procedures.
• Promote and assist with compliance to OSHA programs in order to maintain a safe and clean working environment.
• Maintain overall shift operation in a safe, efficient, and effective matter.
• With Facility Administrator conduct staff meetings at least monthly or as needed to keep patient care staff informed of changes in patient care needs or operations to improve delivery of care.
• Meet routinely with the Facility Administrator to discuss personnel and patient care status, issues, and information.
• Supervise all documentation of patient information.
• Coordinate Charge Nurse duties with Staff RNs acting in the relief charge capacity.
• Assess daily patient care needs and develop and distribute patient care assignments appropriately.
• Assume primary responsibility in an emergency situation.
• Assess patient needs, respond to dialysis treatments, and communicate concerns to rounding physician. Implement changes in patient care/treatment as directed.
• Monitor and supervise all patient care activity during dialysis and assist as necessary.
• Collaborate with direct patient care team in making decisions to benefit patient care.
• Continuously monitor patient’s condition with regards to problems and potential complications associated with dialysis.
• Administer medications to patients per physician’s orders.
• Act as the subject matter expert and as a resource for staff members.
• Supervise and participate in completion of short and long term care plans.
• Admit new patients according to facility procedure.
• Ensure educational needs of patients are met and educate the patient and family about End Stage Renal Disease, dialysis therapy, diet and medication.
• Supervise the safe and effective use of all equipment involved in direct patient care.
• Operate all dialysis related and emergency equipment safely and efficiently when needed.
• Perform required testing and verification and initial the checklist for start-up and shut-down procedures as outlined in the Technical Services Manual.
• Complete Nurse’s Technical Training Program/Water Quality Facility
• Assist with special projects or other duties as assigned by the Facility Administrator
• Assist with the interviewing of potential direct patient care staff
• Promote efficient use of medical supplies.
• Attend and participate in monthly Quality Assurance meetings.

GENERAL SUMMARY:

Under the direction of phlebotomy management, performs diverse support functions including phlebotomy to ensure accurate test results and a quick turnaround time. Positions supporting Patient Service Centers and client offices are required to provide phlebotomy services to these locations as determined by department needs and may be assigned to different locations and/or different schedules without a 30-day notice.

ESSENTIAL DUTIES:

1. Performs venipuncture and capillary punctures to obtain adequate samples from patients. Responsible for proper patient identification, correct specimen labeling and necessary documentation. Demonstrates knowledge and ability to evaluate and select proper collection methods for age specific patients.

2. Supports laboratory activities related to laboratory testing (phlebotomy, specimen collection, computer order entry and specimen processing) to ensure accurate result reporting and quick turn-around time.

3. Performs processing functions to support laboratory services as related to testing including verification, accessioning, aliquoting, processing and batching send out testing, adding/cancelling tests, distributing, storing and disposing of specimens.

4. Adheres to Compliance policies as related to job duties to include presenting Advance Beneficiary Notice (ABN) of non-coverage prior to delivery of outpatient services.

5. Performs observational competency of all support staff under the guidance of the phlebotomy leadership using established criteria.

6. Maintains department equipment and inventory to ensure proper supplies are available.

7. Works well without direct supervision.

Family medicine includes patients from newborn to end of life. 20% of the patients seen here are non-English speaking (Vietnamese and Spanish). Practice Overview

Our spine and pain management team works together to provide personalized care based on each patient’s health journey. Our unique approach matches each patient with the most appropriate specialist from diagnosis through treatment and rehabilitation. Role: Under the supervision of the Admissions Manager, the Admissions Facility Coordinator, in cooperation with the Admissions Manager, facilitates the admission of hospice patients in long term care facilities. The position is responsible for maintaining both new and existing contractual relationships in conjunction with Procurement Coordinator and skilled nursing facilities. The position also promotes relationships between facilities and referral center staff. In addition, this position is responsible for customer service, respite and team patient transfers to facilities, and assuring timely long term care admissions and referral close-outs.

Qualifications

2. Minimum two years of customer service experience required; sales experience preferred.
