Facilities Manager

Hours: 37.5 per week (Mon-Fri 08:30 – 17:00)

Location: Field based with regular attendance at our Head Office in Newbridge, Edinburgh a requirement

We are looking for an experienced Facilities Manager preferably with a surveying, building or trade background who will be responsible for the Society’s entire property portfolio of around 350 sites, including Scotmid and Semichem Stores, Funeral branches, and our Semichem warehouse facility. As Facilities Manager you will manage and respond to maintenance works, PPM’s, reactive call outs and planned project work.

The role

Key responsibilities of the role will include:

· Conducting site audits and planning for future works

· Undertaking planned maintenance activities and managing the performance and delivery of contracts

· Using Contractors to assess, repair, and replace assets

· Responding to emergency situations with clarity and controlled information flow

· Maintaining maintenance contracts within agreed budgets

· Undertaking procurement activities

· Contributing proactively to Opex and Capex budget preparation

· Project managing facilities management related capital projects

· Collaborating with stakeholders to drive delivery and meet expectations

Hours of Work

This is a full-time role working 37.5 hours per week. Daily working hours will generally be 8.30am – 5pm, Monday to Friday, but some flexibility will be required from time to time to meet the needs and requirements of the role. This is a field-based role with the requirement to attend our offices in Newbridge, Edinburgh on a regular basis.

Key Responsibilities

The key responsibilities of the role are to provide support to the sites in your area, advising operational management on all aspects of profit protection. You will monitor and ensure adherence to relevant policies, procedures, and legislation, to prevent profit loss and potential prosecution.

A key part of the role is to analyse intelligence and other business information to identify shrinkage and risk trends, prioritising your response with an intelligence-led approach.

You will be responsible for creating and analysing reports to track profit protection strategies effectively, utilising +data-driven insights to make informed decisions and address potential profit threats promptly.

Our Ideal Candidate

Our ideal candidate will have previous experience in a loss prevention, audit, or compliance role within the retail sector. Excellent communication skills are a must for this position, as well as a meticulous attention to detail.

In addition, you will have:

• Experience in conducting investigations and interview procedures as needed.

• The ability to advise on security or loss risks and propose innovative solutions for loss mitigation.

• Solid understanding of retail operations and the management of stock and cash.

• Experience of carrying out training on loss prevention and an understanding of relevant HR legislation.

• Proficiency in Microsoft Office suite, particularly in Excel for data analysis and reporting, and PowerPoint for effective communication.

• An understanding of PowerBI would be advantageous.

• Good report-writing skills and the capability to produce high-quality written reports.

• Strong data analysis skills to identify emerging trends.

Desirable Qualifications:

• Experience in conducting investigations at the management level.

• Background in retail audit or loss prevention.

• Experience in delivering coaching sessions.
