With other senior staff, effectively manage and take an active role in the continual development of the administration support within the Oxford Centre for Diabetes, Endocrinology and Metabolism ensuring that appropriate and full administrative support is provided and full utilisation of staff at all times across the service.

The post holder is responsible for effectively managing the smooth operation of the administration support service and ensuring that outpatient referral targets waiting times and Trust and local targets are met in line with protocols and procedures are met at the Churchill Hospital in a consistent and timely manner. The post holder will ensure that the processes in place fully to support modernisation initiatives such as digitalisation of the service. As such the team will liaise closely with Health Care professionals, managers, secretaries and pathway administrators both within and outside the organisation as well as patients and relatives.

Staff Management:
• To be responsible for the line management of the OCDEM Secretariat and admin team, providing first level EPR support, ensuring that adequate cover is provided in all areas of activities.
• To be responsible for the daily management and supervision of staff, monitoring sickness, and arranging cover for annual leave, in accordance with Trust policies.
• To develop a personal development plan (PDP) with staff and to ensure training and development needs are adequately met. To evaluate staff performance against PDP’s, taking appropriate action to ensure that staff abilities and aptitudes are developed and potential maximised.
• To allocate work for staff and to complete monthly sickness/salary return.
• To ensure that high standards of data quality are achieved, through implementing clear and robust procedures for staff to follow and identifying training needs and implementing training and development plans for staff accordingly.
• To manage recruitment, selection and training of all new staff within the team.
• To coordinate induction meetings for all new ODCEM secretariat staff and admin team and act as contact for all induction queries.






• To take an active role in the training and development of other A&C staff within the wider A&C teams.

ADMINISTRATION SYSTEMS

• To work with clinicians and other managers to ensure all appropriate admin work is completed in a timely manner using systems mentioned above.





GENERIC RESPONSIBILITIES:
• To act as the first point of contact for written and telephone enquiries on OCDEM matters for patients, their relatives, the call centre, outpatient’s, medical secretaries, consultants, and junior medical staff. To deal with telephone contact with members of the public appropriately and sensitively in situations which may be stressful for both the patient and the staff member involved.
• Development and implementation of new or revised administration policy and procedures.
• Taking and relaying as appropriate, telephone enquiries and messages, using initiative and prioritising skills when disseminating information.
• To assist the Clinical Unit Manager and Patient Access Manager in the writing of reports and documents.
• To work closely with the Clinical Unit Manager and Outpatient Access Manager by undertaking and assisting project management directly related to the Department. This role will require analytical skills as well as being a capable communicator with excellent organisational ability.
• To use knowledge and experience to offer help and advice when requested.
• To act as role model.
• To carry out surveys/audits as requested.
• To ensure that patient case notes are correctly maintained by all staff and that high quality standards are maintained at all times and tracked appropriately using the relevant software.
• To manage the information flows between the OCDEM Secretariat and the Waiting List office.
• To receive and make telephone calls and take appropriate action/discuss with appropriate staff maintaining a friendly, professional and courteous manner at all times. These conversations can often be of a distressing nature.
• Maintaining physical and electronic filing systems as well as other general ad hoc office management procedures.
• Must exercise judgement to analyse and resolve problems.
• The post holder is required to work unsupervised and is expected to plan and organise his/her own time.
• Provision of information and advice to patients and relatives about admissions and appointments exercising judgement when dealing with patient enquiries; analyse and resolve patient problems.
• Be responsible for communicating cancellations to all relevant parties with the reasons for cancellation including patients and relatives.
• Provide a courteous and responsive assistance to Clinicians and other Trust personnel and to those visiting the Trust from outside agencies.
• Will be asked to show flexibility should the need arise in covering for other personnel when on leave/sickness etc.
• Must at all times respect the confidentiality of all electronically stored information and written data, particularly where it relates to patients.

As a key member of the Clinical Governance Department, the Deputy Head of Clinical Governance will work closely with the Head of Clinical Governance; and the other members of the senior management team [Clinical Audit & Effectiveness Manager; Clinical Outcomes Manager; Patient Safety Team manager]; Deputy Chief Medical Officer; and colleagues from across the organisation to assist the Trust in achieving the strategic goals set out in the OUH Strategy.

Assist in setting up the CQUIN or equivalent programme and monitoring its progress with regular reports to relevant Trust committees.

The Outpatient Booking Team Leader will support the Service Manager who is responsible the management of Referral to Treatment (RTT) & Cancer Access standards across assigned services.

Eligible asymptomatic participants between the ages of 55 to 74 with a smoking history are invited to attend our mobile CT unit for a lung health check. Your role will be to tackle inequalities by promoting engagement in the programme, particularly amongst "hard to reach" groups and then support participants through their Lung Health check journey. For some this will lead to cancer diagnosis. But early detection from low-dose CT scans using artificial intelligence to enhance image analysis can transform 5-year survival rates from around 15% to around 85%. Incidental findings of raised cardiovascular risk will enable early intervention to help prevent heart attacks and strokes.

An exciting opportunity has arisen for a highly motivated individual to join the Gynaecology Team.

Working primarily to support and manage the administrative Team responsible for the booking and care of patients who have been referred on an Urgent Suspected Cancer pathway, or those referred to Colposcopy, either by their GP or the National Screening Programme. As well as those working alongside the Gynae Oncology clinics.

The post holder will be expected to provide cross cover across the Gynaecology Administrative team as directed by the Patient Pathway Manager on a day-to-day basis according to service need.

Management

· To provide support with managing consultants leave, expenses, assisting with covering on call rotas and any other duties to support the operational function of the service as required.

· To provide leadership and take responsibility for the daily line management and supervision of administrative staff, including the monitoring of performance, sickness and annual leave. This may involve carrying out HR investigations under supervision.

· To manage the workload of the administrative staff, ensuring all administrative tasks are completed to the desired standard and within agreed local and National targets.

· To take responsibility for ensuring that training and supervision is carried out of designated staff to ensure that they have the knowledge and skills to carry out tasks effectively and efficiently.

· To consistently review admin processes with the aim to continually improve the effective and efficient service delivery and department dynamic.

Patient Access

· To be responsible for the management of patient pathways in conjunction with the Patient Pathway Manager, supporting adherence to both local and National performance targets.

· To be responsible for maintaining accurate and up-to-date PTL’s (waiting lists) within EPR in conjunction with the Patient Pathway Manager, including the timely adding of patients to appropriate waiting lists and taking appropriate actions to ensure patients are treated in clinical priority and breach date order.

· To work closely with the central validation team to ensure that any knowledge gaps identified in the validation of clock stops / past performance are identified and addressed across the team.

· To bring to the attention of the Patient Pathway Manager / Service Manager in a timely manner any concerns or gaps in respect to forthcoming capacity so that corrective actions can be taken.

· To support the setting up of new clinics / maintenance of existing clinics and ensure that booking of elective cases is in line with local protocols in terms of the types of cases added to lists and theatre list utilisation.

· To attend meetings on behalf of the Directorate relating to data quality and patient administration systems (i.e. EPR) and to keep staff up-to-date with any developments. ensuring that changes and policies are implemented and adhered to and that any required training is given to staff. Attend Data Quality Meetings as required.

· To develop processes and procedures that maintain and underpin the effective delivery of all administrative procedures placing patient’s experience and efficiency at the forefront of processes and decision making.

· Manage the storage of medical records for the directorate, ensuring that culling is carried out at the appropriate time and that Trust policies are adhered to.

· To contribute and take a lead role as necessary in department wide local projects such as clinic re-profiling.

· To liaise with the national screening programme leads as required





Finance

· To have responsibility for the management of devolved budgets and participate in delivering Cost Improvement programmes

· To provide a wide range of financial and statistical reports to agreed timescales and quality expectations

· Analyse, investigate and resolve financial enquiries, providing assistance and advice as required



Other

· To undertake audits and assist with improving data quality.

· To co-ordinate and manage agreed projects

· To support the recruitment and training of staff within the Directorate in conjunction with the Patient Pathway Manager.

· To ensure all staff receive an annual appraisal with clear objective setting and personal development plans.

· To take responsibility for locally held databases and software and ensure all staff are appropriate trained in their use.

· To ensure compliance in respect to the statutory and mandatory training requirements of the staff within their team. To identify any additional training needs and to implement training plans as required.

· To work with the Patient Pathway Manager in respect to monitoring and maintaining standards of performance

· To be familiar with the Trust HR policies and conditions of services, including sickness, absence, staff training (including statutory and mandatory) and performance and conduct procedures. To undertake return to work interviews and other absence management processes.

· To implement and deliver regular administrative team meetings where action points are recorded.

· To take responsibility for responding to queries both direct from patients and via PALS, and to support the Patient Pathway Manager in responding to formal written complaints.

We are looking for an enthusiastic, motivated individual to join us in the role of Ward Manager’s Assistant in the busy Day Treatment Unit at the Churchill Hospital.

The Day Treatment Unit (DTU) is an extremely busy unit that cares for patients with cancer at the Cancer and Haematology Centre, Churchill Hospital (Oxford) and in the Brodey Centre, Horton Hospital (Banbury). We care for patients with malignant tumours or blood disorders, requiring chemotherapy and other supportive treatments. The unit is open Mon – Fri 08:00 – 19:00hrs; Sat 08:00 – 16:00hrs. The unit has 40 treatment chairs, and we treat approximately 100 patients per day.

The main purpose of the post is to provide administrative and secretarial support to the Ward Managers. The post holder will work closely with the Ward Managers and all relevant staff members to provide a comprehensive, professional and confidential PA/secretarial and administrative service.

The post holder will develop and implement administrative systems which will ensure the efficient and effective running of the Day Treatment Unit, allowing the Ward Managers to concentrate more fully on the clinical aspects of their job role. The post holder will also respond to enquiries from other staff.

To work closely with the Ward Managers and other relevant staff to identify, develop and then implement administrative systems in the Day Treatment Unit. These may include the following:

Summary of responsibilities:
• Representing the DTU at appropriate meetings, reporting back accordingly
• Manage the administrative process for the recruitment and orientation of new staff
• Keep accurate records of vacancies
• Establish and maintain professional working relationships with all staff
• Make changes to e rostering as required by the Ward Managers
• Establishing good work relationships with external companies
• Uploading information on the Trust intranet and internal shared drives as required
• Record and respond to all enquiries and requests on behalf of Ward Managers, and personally act upon when appropriate
• Meet & greet
