Job Summary:

The Administrative Assistant will play a crucial role in streamlining our administrative functions across finance, scheduling, and human resources. This position requires a detail-oriented and proactive individual who excels in data management and administrative tasks, ensuring smooth and efficient operations behind the scenes of our culinary ventures.

Key Responsibilities:

• Perform data entry tasks with high accuracy for financial records, employee schedules, and HR documents.
• Assist in the preparation of financial reports, including but not limited to, expense reports, revenue analysis, and cost control measures.
• Coordinate staff schedules across all locations, ensuring optimal staffing levels to meet business demands.
• Maintain and update HR records, including employee contact information, employment contracts, and performance evaluations.
• Serve as a point of contact for internal inquiries, providing administrative support to the management team.
• Manage inventory of office supplies and place orders as necessary, ensuring the smooth operation of all administrative functions.
• Assist in the organization and coordination of staff meetings, training sessions, and special events.
• Facilitate communication between the restaurants and the central kitchen to ensure alignment and efficiency.

Required Skills and Qualifications:

• Proven experience in an administrative role, preferably within the hospitality or food service industry.
• Strong proficiency in Microsoft Excel and other data management tools.
• Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
• Strong attention to detail and accuracy in handling financial and employee data.
• Effective communication and interpersonal skills, capable of working collaboratively in a fast-paced environment.
• Self-motivated with the ability to work independently and as part of a team.
• Administrative experience in finance, scheduling, and HR is highly preferred.

• Support in financial and tax related reporting.
• Assist in process update and improvement for Finance department.
• Assist in setting up key performance metrics tracking, FP&A analysis, treasury projects.

Roles & Responsibilities

• Maintain precise records of all incoming payments

• Prepare and send invoices to clients

• Contact clients as needed to ensure payment of outstanding invoices

• Reconcile any irregularities in receipts

• Work collaboratively with accounts payable and other accounting staff to ensure accuracy in finances

• Take charge of Petty cash and staff claims

• Audit all receipts on a determined schedule to ensure accuracy in accounting

• Generate and deliver reports to different departments as needed

• Actively investigate and resolve irregularities in both incoming and outgoing payments

• Other finance duties as assigned

Requirements

• Good working knowledge of Microsoft Word and Excel

• Able to work well independently and as a team

• Able to communicate well across all levels

Others:

• Mon to Thur - 8am – 6pm

• Fri - 8am - 5pm

Able to start work from 1st May to end August
