RESPONSIBILITIES:

1. Responsibility for the provision of a supporting role to the Pathway Coordinator to help ensure the efficient running of the service.

2. Implement policies and procedures to maintain efficient department/office and digital filing systems to facilitate the smooth running of the administrative services.

3. Use Voice recognition software to take responsibility for ensuring that letters for the specialty are sent out with the defined turnaround time, bring pro-active in ensuring that each clinic attendance has been documented.

4. Receiving and taking relevant action on telephone calls from patients, General Practitioners etc. Providing reassurance and support to patients and families by telephone and making judgements about finding appropriate solutions to problems, which requires the ability to be able to understand and explain the patient pathway.

5. Arranging investigations, ensuring that these have been performed, results received and seen by relevant clinician and uploading to correct software redirection of all investigation results as appropriate.

6. Updating patient details and viewing events using Patient Administration Systems (EPR). Registering patients andensuring that all relevant information is available on the appropriate software prior to appointments.This may include providing reports, as and when necessary.

1. Provide administrative support to Consultants, clinical staff and all patients under their care, including correspondence support and other administrative duties as required.
2. Provide reception cover for OCDEM main reception and podiatry reception on a rota basis.
3. Sort and prioritise incoming post, ensuring supporting information is available when appropriate and taking responsibility for actioning urgent items in the absence of the Consultant or other clinical staff.
4. Support patients under the Clinicians care by booking within the 18 week referral to treatment (RTT) pathway. Ensuring outpatient appointments are attended and follow up appointments are booked within Trust targets
5. Monitor urgent requests to ensure they are processed appropriately.
6. Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, escalating and intervening where necessary to expedite appointments to avoid breaches.
7. Maintain accurate and current patient records ensuring letters, clinical reports, diagnostic test results and other notes are uploaded into the correct patient EPR notes
8. Ensure patients that require discharge are processed accordingly and the Patients Missing Follow Up List is updated.

JOB TITLE: Technical Assistant (Scientific Computing and Operations group)

The department of Medical Physics and Clinical Engineering (MPCE) is responsible for providing scientific support and advice wherever ionising (eg x-rays and radioactive materials), non-ionising radiations (eg optical radiation) and medical devices, are used . The department contains 5 groups; Imaging Physics, Education & Research, Radioisotope Physics, Clinical Engineering & Clinical Measurement and the Scientific Computing & Operations group.

The Scientific Computing & Operations Group provides scientific computing services, manages assurance, governance and quality systems and provides a framework to support innovation, exploit new business opportunities and provide operational services, across the Department of Medical Physics & Clinical Engineering (MPCE).

The group provides frontline IT support, leads and maintains the department’s software development programme and is responsible for providing policies and procedures pertaining to safe scientific computing practices within MPCE.

The group leads the quality management system implementation programme and provides support and training to MPCE. The group provides quality management policies and procedures to comply with the relevant statutory and certification requirements, managing risks, incidents and clinical effectiveness through the department's Clinical Governance Committee.

The group is accredited to provide training for STPs in the Clinical Bioinformatics (Physical Sciences) specialism and training supervision for rotations in Bioinformatics (Genomics & Health Informatics). The group has responsibility for managing the Trust's radiation assurance programme, which includes Trust-wide departmental radiation compliance audits, research assurance and radiation incident management.

JOB SUMMARY: The post holder will be responsible for assisting with technical business support duties within Medical Physics & Clinical Engineering and Radiotherapy Physics. The role will involve implementing operational procedures and will require a high degree of organisational skills and a working knowledge of business management systems within a scientific environment, providing support for quality, radiation assurance, governance and incident management within MPCE. Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data quality and by making the best use of capacity and resources.



The post holder has responsibility for assisting with the provision of a professional, comprehensive, and efficient administrative service, which is effectively delivered to all patients and members of the Department. This will be through the delivery of a comprehensive administrative service to a specialty team.
• Provide administrative support to Consultants, clinical staff and all patients under their care, including, correspondence support and other administrative duties as required.
• Use of the Trust digital transcription systems to produce clinical correspondence to inform referrers, patients and other relevant parties of patient pathway progress. In doing so, produce correspondence that is of high quality and conforms to the national target of sending out within 7 working days.
• Book New and Follow up clinic appointments. Utilise vacant slots to bring forward clinically triaged urgent patients ensuring best use of clinic lists. Assist with the processing of new referrals on eRS (E-referral systems)
• Act upon queries from referrers, patients and other relevant parties in liaison with clinical staff. Take relevant action to provide reassurance and support to patients and their families by finding appropriate solutions to problems via phone or email.
• Work closely with all staff in the service to ensure compliance with 18 week referral to treatment (RTT) targets, escalating and intervening where necessary to expedite appointments and procedures to avoid breaches.

We are looking for a highly motivated Administrator to support primarily theSpecialist Disability Service (SDS) and Rehabilitation Engineering Department (RED) at the Oxford Centre for Enablement. This role will also support the Oxfordshire Wheelchair Service with raising purchase orders for equipment.

Principle Duties / Responsibilities
• To provide extensive administrative support to the clinical staff in SDS and RED department.
• To be able to use a variety of hospital booking systems and databases,prioritising your workload and can work with minimal supervision.
• To be able to answer queries by telephone or face to face and contact patients and other service providers as deemed necessary for the job role.
• To process all incoming mail, various email inboxes for the departments and checking regularly throughout the day and actioning accordingly in a timely manner.

• Coordinate and book patient appointments using the hospitals electronic patient records (EPR) system. Ensure clinical staff have a vehicle available for outreach visits.
• Ensurepatient waiting times are strictly adhered to in the appointment booking process and liaise with Team Leader to resolve any issues.
• To take responsibility in ensuring that all clinics are closed by the end of each day using the internal system of processing this information is followed. Also ensure that information is provided to clinical teams and updated as per the agreed process.
• To liaise with the ambulance service when issues arise with patient transport on the day of the patient’s appointment.
• To understand how to use the translating services for the trust and book appropriately for clinic appointments as required.
• To deal with telephone calls, answerphone messages and emails from patients, healthcare professionals and other members of the public. Resolve any queries that may arise and update the relevant information systems.
• Demonstrate a calm confident telephone manner and be able to relay information to those where there may be communication difficulties.
• Familiarise with Rehab Engineering Departmental work tasks which involves ordering goods, preparing technical files, processing completed technical files, invoicing, preparing estimates and chasing purchase orders against the estimates. To request and chase funding from the ICB as appropriate.
• Resolve any queries from suppliers regarding misplaced equipment and liaise with the store person and clinical support worker to resolve any issues.
• Place orders of equipment using NEP and, in some circumstances, the RED ledger. To chase outstanding orders and dealing with queries as required to ensure the delivery of patient care.
• Process electronic purchase orders in a timely manner, ensuring that urgent orders are prioritised.
• Develop a familiarity of patient equipment to aid when dealing with purchase orders and queries.
• Handle order queries from suppliers/manufacturers and pass on to the relevant clinical staff member to resolve.
• Chase finance if orders have not been processed, ensuring delays and other issues are escalated to the Administration Team Leader to take forward with finance.
• Receive deliveries of equipment and receipt on NEP and other appropriate systems as appropriate depending on type of equipment.
• Arrange for couriers to collect/deliver equipment to suppliers/manufacturers.
• To process invoices for the RED/SDS department, ensuring these are processed regularly and submitted to E-billing in a timely matter.
• To investigate any non-payments or issues from suppliers re invoicing with the support of your line manager ensuring the queries are followed up.
• Carry out routine office duties such as photocopying, scanning and ensuring documentation and referrals are uploaded to EPR accurately.
• Responsible for ensuring the commissioning spreadsheet is updated daily/weekly for monthly returns to finance ensuring accuracy with the support of line manager and defining at the end of the month the group categories.
• Sending out clinic outcome reports on behalf of the clinical team and any other associated correspondence relating to administrative processes within the service.
• To attend relevant training courses and appropriate departmental meetings.
• To actively assist daily the OWS service with raising purchase orders on ELMS which is the wheelchair system for patient equipment or for general stock.

To support the department’s role in patient catering by helping to analyse, code and provide allergy information for patient menus; under the guidance of a dietitian, help patients requiring a special diet to choose and obtain their required meals / snacks / etc; act as an intermediary between the dietetic and catering departments and enhancing communication to achieve the optimal provision of nutrition for patients in hospital.

To assist Dietitians and Secretaries in completing general administrative tasks, such as registering or amending patient registrations on the Abbott Hospital to Home Service, keeping track of feeding pumps given to patients, stock control, data input or letters.

To assist Dietitians to enable patients to be discharged from hospital promptly, for example to provide patient information, feeding pump or equipment, needed by patients prior to hospital discharge; and to co-ordinate supplies of nutritional supplements or tube feeds for patients.

After training, to support dietitians in delivering aspects of dietetic care by reviewing, monitoring, and advising patients and undertaking related administration.

CLINICAL

1) After training, to review and monitor a small case load of named patients under the supervision of a dietitian, e.g. patients on established tube feeds, limited nutritional intake and those following therapeutic diets. This may involve:

a) Gathering relevant clinical information from electronic patient records, nursing staff or housekeepers, patients and carers

b) Liaise with nursing staff and other members of the multidisciplinary team, for example, Speech and Language Therapists (SALT), Occupational Therapists about the patient’s nutritional plan

c) Calculate patients’ intake from food record charts, which may involve using a dietary analysis computer package

d) Monitor patient in order to achieve optimum nutritional intake

e) Assess patient’s tolerance to tube feeding

f) Regularly liaise with the supervising dietitian about all aspects of patients nutritional care

g) Record all interventions and actions on electronic patient records (EPR) ensuring that all entries meet the professional standards of the British Dietetic Association

2) Oversee the completion of daily menus for all patients on therapeutic diets. This involves face-to-face discussion with patients and/or their relatives or carers, working closely with Catering staff.

3) To be involved with education and training of staff, such as housekeepers in aspects of nutrition or nutritional screening e.g. MUST training.

PROFESSIONAL

Participate in the induction of new ward and dietetic staff; demonstrating the role of the Dietetic Assistant as well as informing them about the provision of therapeutic meals, nutritional supplement products and raising nutritional awareness in their ward areas.

If required, participate in training the Diet Chefs, Catering Assistants or ward staff, about the importance of nutrition and educate on the special and therapeutic diets using a variety of teaching methods. It may be necessary to adapt the teaching methods used to facilitate those with limited English.

To be involved in project work including review audits, working alongside dietitians, other health professionals and catering staff, for example, mealtime observation audits, patient mealtime satisfaction survey.

To work alongside Dietetic colleagues, Catering and administrative staff, learning by experience and improving working practice on an on-going basis.

If required, to deliver training to staff and/or patients under the supervision of a Dietitian.

Participate in annual appraisal, identifying own developmental and training needs and setting a personal developmental plan.

CATERING

Liaise with dietitians, patients, the catering department and ward staff to ensure the provision of therapeutic diets, appropriate snacks, supplements and enteral feeds runs smoothly.

Work as an active and contributing member of the dietetic catering group, and provide regular feedback to the rest of the dietetic department.

When required, code menus to reflect changes in food supplied, which will involve communicating with the catering suppliers, catering managers, dietitians and chefs across all four hospitals.

Work with the dietitian to alter menus as necessary, update the special diet manuals and nutrition policy. Disseminate this information throughout the Trust and on the Intranet site.

ADMINISTRATION

Be responsible for the ordering and supply of nutritional products to wards and outpatients. This involves:

a) Conducting weekly stock takes and placing orders for tube feeds and nutritional supplements, with different nutritional suppliers, liaising with customer services and nutritional representatives as necessary.

b) Ensuring all invoices are processed and sent to finance for payment.

c) Maintaining record charts for regular stock checking and billing hospital wards for nutritional supplements and enteral feeds.

Be responsible for maintaining a supply of feeding pumps for use on the ward or at home. This involves:

a) Liaising with nutritional suppliers’ representatives and customer services when requesting a delivery.

b) Sending new pumps and those for repair or servicing to Clinical Engineering.

c) Regularly checking wards to ensure pumps are present and operating efficiently.

Complete appropriate paperwork when patients on enteral feeds are discharged from hospital.

To assist the Department Secretaries in completing general administrative / secretarial tasks. This may include answering and dealing with telephone calls, entering Department patient activity data (‘stats’) onto the department spreadsheet, general department wide administration, etc.

ORGANISATIONAL

To determine priorities for own work area based on clinical need and balance patient caseload with other professional demands, for example.

To collect data as required by the department, trust and outside agencies.

To maintain accurate and up to date documentation of patient interventions on electronic records.

To undertake and oversee the ordering, delivery and payment of nutritional products (e.g. tube feeds and sip feeds).

• To help keep patient and non-patient areas clean and tidy,including cleaning examination couches between patients and disposing of linen appropriately.


• To help maintain adequate levels of clinical supplies, stationary and linen, placing orders for non-stock items as required.


• To receive and put away stores.


• Be aware of and abide by all Trust policies and guidelines.


• Report all incidents/accidents to the Sister or co-ordinator and assist in the completion of accident/incident forms as appropriate.


• To help record the waiting times in accordance with the Trust guidelines.


• Attend mandatory training in accordance with Trust policy.


• Set personal objectives in a yearly personal development review with the Sister or other designated person.


• To work closely with the ward clerk and to deputise as necessary.
