Job Description
We are seeking an organised and proactive Personal Assistant to join our friendly team. Your role will be to support the Director of SWRAC and SLT (Senior Leadership Team) providing efficient and effective administration support, enabling the Director & SLT to undertake their roles with maximum effectiveness. The ability to work in a team, excellent communication skills, along with the ability to manage multiple tasks efficiently are key in this new exciting position.
Key Responsibilities:
• Administrative Support:
o Provide administrative support to the Director, including managing their schedule, travel arrangements, and correspondence.
o Act as the first point of contact for the Director, handling inquiries, requests, and external communication on their behalf.
o Prepare and edit presentations, reports, and meeting materials as needed.
o Draft and manage emails, letters, and other forms of communication on behalf of the Director.
o Manage the Directors calendar, scheduling meetings, appointments, and coordinating with internal teams and external stakeholders.
o Organise and coordinate internal and external meetings, including board meetings, and SMT meetings taking detailed meeting minutes, recording actions and following up.
o Distribute above minutes inviting comments and updating and send out for all to agree and sign.
o Arrange and booking external meeting venues including catering
o Organise staff training - booking trainers/catering etc.
o Plan board meeting dates and sending out to all.
o Attending HR meetings, taking minutes and recording outcomes
o General assistance to Director, Central Services Manager and the Delivery and QA Head
o Being part of the interview panel - interviewing potential new candidates - after completion of safer recruitment training.
• Project Management:
o Assist in the management of special projects and initiatives, ensuring deadlines and deliverables are met.
o Conduct research and compile reports on various topics as required.
• Confidentiality and Discretion:
o Handle sensitive information with the utmost confidentiality.
o Maintain a high level of professionalism in all interactions.
• Office Management:
o Liaise with internal departments and external partners to ensure smooth day-to-day operations.
o Manage expenses, including processing invoices and managing budgets.
o Manage office supplies, liaise with IT support and service providers to address office needs or maintenance issues.
o Ensure timely and accurate communication between the Director and various internal and external stakeholders.
o Contribute to the positive promotion and marketing of SWRAC in the local and wider community.
Skills and Qualifications:
• Proven experience as a Personal Assistant or Executive Assistant, preferably supporting executives or senior management.
• Excellent interpersonal and communications skills including the ability to relate well to people on all levels with sensitivity, tact and diplomacy.
• Strong organisational skills with the ability to multitask and prioritize work effectively.
• High level of discretion and confidentiality.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to work independently with minimal supervision and as part of a team.
• Strong problem-solving skills and attention to detail.
• Ability to remain calm under pressure and meet tight deadlines.
• Previous experience working in Education or related fields is preferred but not essential.
• Commitment to safeguarding and promoting the welfare of children and vulnerable adults.
