• Schedules and confirms appointments as needed and registers personnel for MFSC classes, confirms class roster and provides final roster to class facilitator.

• Maintains an updated and detailed information database of programs, services and activities available on installation and in the local community (including both State and federal) which support and enrich the quality of life for individuals and families.

• Prepares a wide range of recurring and non-recurring correspondence, reports, statistical data, briefs, forms and other documents using a variety of office automation software and equipment.
• Proofreads and edits materials prepared by self and other MFSC staff to ensure correct spelling, grammar, punctuation, capitalization, and compliance with the Navy Correspondence Manual and Command policy.
• Establishes and/or monitors suspense dates, updates correspondence log, prepares routing sheets, tracks items through the routing process, and upon signature, makes appropriate distribution.
• Researches, collects and consolidates information for various reports in accordance with established procedures or as directed by the supervisor.
• Retrieves data and generates statistical reports for in-house use or as required by higher authority.
• Assists in organizing, preparing, editing, proofreading and distributing a variety of MFSC marketing materials including but not limited to news articles, flyers, brochures and the monthly class calendar.
• Picks up, delivers and distributes mail including but not limited to incoming and outgoing correspondence, publications, regulations, and directives.
• Reserves and sets up meeting room, contacts participants, ensures all required materials and services are provided as directed, and takes minutes and requested.
• Establishes, maintains, purges, and disposes of files and client records in accordance with existing regulations and procedures.
• Independently plans and performs complex office automation duties requiring different approaches and methods from one assignment to another, such as using different packages to: edit lengthy and complicated reports; collect, select, organize, and provide information; track the status of a number of projects assigned to the organization; and resolve incompatibility problems in transferring text from software package to another when menu options and specific software instructions are not available.
• Uses word processing software to create, copy, edit, store, retrieve, and print forms, memos, and letters; uses database or spreadsheet software to create, enter, revise, sort or calculate, and retrieve data for reports; and uses graphic software to provide graphs and charts for reports and presentations.
• Establishes and maintains files of requisitions and supporting documentation to ensure that all requested items are properly received and accounted for, and that all required follow-up actions are completed.
• Performs other miscellaneous duties as assigned.

Duties include but are not limited to:

• Assures front line contact with patients and staff by setting the tone for perception concerning quality of healthcare services at the VA.
• When records are received, the incumbent will ensure that all necessary health/administrative information are integrated into Computerized Patient Record System (CPRS) by sending the documents to scanning.

Program Development and Support

• Assists in the development, coordination and implementation of a comprehensive interdisciplinary movement disorders program
  designed to facilitate the delivery of services to veterans with Parkinson's disease and other movement disorders and their caregivers. This requires the incumbent to identify the needs and requirements of the veteran population, services they are not able to access on their own, partners in the community who are willing to provide services or will jointly develop services.
• Assists with coordination of interdisciplinary referrals for caregivers and their Veterans.
• Provides resources and referrals to caregivers who provide care for their Veterans.
• Reviews Veteran and caregiver referral and resource utilization, participates in COE team meetings, and ensures continuity of care by maintaining communication and documentation.
• Monitors and evaluates utilization of referrals/resources, trainings, Veteran appointments, caregiver needs and makes recommendations for improvements for the Richmond Southeast COE Programs.

• Locates, organizes, develops and reports on all data for performance measures and reports this data to the care team weekly, and to the Administrative Officer and PADRECC Director in completing required administrative tasks such as quarterly reports which are presented to the Medical Center Leadership, VISN Leadership and VA Central Office.
• Assists in the planning, review, and reporting of data/statistical results of program/project studies; performs basic analysis of the data and generates a variety of reports; coordinates incoming data from a variety of sources, reviews documents and reports for omissions and inconsistencies, and ensures data entry is complete and accurate.
• Enters pertinent data into an automated tracking system and maintains program-specific data in automated systems to track suspense's on items such as project milestones, progress reports, accomplishments, compliance strategies, etc.

• Functions as the scheduling expert for the interdisciplinary program model for the PADRECC COE. Performs telephone and walk-in triage and brief assessment to direct Veterans and caregivers to appropriate clinical staff.
• Assists Veterans, families, medical center staff and community agency personnel who are seeking PADRECC and other support services. This may include identifying and contacting available nursing staff and providers in response to the urgent needs of Veterans, families, and caregivers.
• Maintains a report of the telephone, call received and walk-in contacts.
• Screens all calls and visitors for the PADRECC COE program, answering most questions on established policy or routine matters.
• Ensures timely response to team members that potentially have an emergent or urgent care need through prompt identification of the problem and appropriate team referral.
• Interacts with visitors and co-workers in a courteous, tactful, helpful manner, exercising mature judgment and diplomacy.

• Assist the Administrative Officer with tracking monthly and annual COE funding for assigned program fund control points.
• Assist in preparing yearly funding requests.
• Performs other related duties as assigned. In addition to the full performance duties, the PSA works collaboratively as a member of an interprofessional clinical team and assists with monitoring community care referrals and cost savings with program
  expansion initiatives and development.
