ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
• Provide full administrative support, including phone support, typing, reports, filing and distribution of correspondence. Coordinate office supplies in absence of a property administrator
• Assist in lease administration activities, including abstracting leases and keeping our database current
• Ensure all property files are prepared and maintained in an orderly and logical manner, including leases and contracts
• Prepare and coordinate bid proposals and service contracts
• Obtain aging report for management and follow up on all delinquencies, utilizing C&W or client-directed policies
• Ensure invoices are processed in accounting with appropriate back-up and according to established procedures
• Coordinate tenant move ins and move outs, including furniture delivery and pick up
• Oversee maintenance of work order and purchase order systems
• Responsible for aspects of development and maintenance of a comprehensive Tenant Service Package, including tenant handbooks, tenant anniversaries, holiday gifts, park events, quarterly newsletters, and training meetings or programs for tenants. Also responsible for ensuring tenant information within data base is current and up to date
• Update and maintain office procedures in the property Operation’s Procedure Manual under direction of manager
• Ensure Certificates of Insurance for tenants and vendors are up to date
• Oversee the processing of management and maintenance staff hours, expense reports, check requests for review and approval
• Ensure that above standard tenant bill-backs for electrical usage, after hours HVAC, and other similar charges are processed in a timely manner
• Assist supervisor with aspects of annual budgets preparation and monthly financial reports, as well as preparation of bank deposits if processed at on site management office
• Responsible for leading regular inspections of properties with janitorial and landscape providers and any other service provider as directed by the manager
• Participates in performance oversight of all service contractors who perform contract services

Key Responsibilities

• Responsible for overseeing the execution of all activities for managed scope area, i.e., the West Support Building and Boiler Chiller Plant (BCP).
• Ensure all external contractor(s) and design resources (Services During Construction - SDC) are delivering their scope of work in accordance with their contractual agreement, escalating to Execution Director where appropriate / required by contract terms.
• Accountable for managing the project budget, commitment, actual cost, and forecast detail with support from the Cost Reporting Lead.
• Responsible for ensuring direction provided by the Client has been documented and communicated to the appropriate external contractor(s) and incorporated into the project documents including issue management/tracking and ensuring alignment amongst project stakeholders.
• Responsible for overseeing permit coordination and municipal approvals in partnership with external contractor(s).
• Responsible for change control activities including scope and pricing coordination/review of proposed changes from external contractor(s) and SDC resources.
• Manage the schedule with support from the Schedule Integration Lead by providing updates to activities for the Integrated Project Schedule, identifying acceleration opportunities, and developing recovery plans to mitigate delays as required.
• Coordinate approvals of POs and CBS / WA packages from Execution Director (and Program Leaders as required) through Project Bank Meetings with an enhanced focus on understanding yet-to-commits.
• Responsible for earned value management including performing site-walks to inspect work-in-place (WIP) and coordinating the approval process of invoices for all external contractor(s) and SDC resources on scope area.
• Identify, evaluate, and develop mitigation plans for potential risks associated with construction activities.
• Regularly report on the project's progress, financial status, and potential risks to the Execution Director
• Support the Project Controls Team with integrating project data into the Project Control Tower.

The Ideal Candidate will have the Following:

• Experience in the semiconductor or similarly technically complex industry.
• Experience with wide range of facility types across the entire project lifecycle (Entitlement, Planning, Design and Build).
• Strong executive presence with an ability to communicate with and influence senior leaders.
• Experience with project controls, contract development, administration, and claims management.
• Experience selecting, developing, and managing design and construction-related service providers.
• Familiar with industry standard construction technology solutions (i.e., cost management systems, BIM 360, SmartSheet, Primavera P6, Bluebeam, Procure, Plangrid, etc.)
• Bachelor's Degree in Engineering, Architecture, Construction or Project Management, or a related field preferred.

Additional Desired Attributes or Beneficial Experience

• Knowledge of Permitting requirements, National Electrical Code, Uniform Building Code, and Fire Codes.
• Knowledge of Environmental & Safety regulations and requirements.
• Knowledge of building control systems and remote energy management systems.

The salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members. For all sales roles, the posted salary range is the Target Total Cash (TTC) range for the role, which is the sum of base salary and target bonus amount at 100% goal achievement.

What’s the role?

The Head of Real Estate and Facility Management North America oversees the development and operation of ZEISS locations across the US and Canada to support business strategies, location strategies, sustainability, and efficiency goals.

• Develop and execute facility and property management strategies in alignment with organizational objectives.

• Ensure adherence to safety, health, and environmental regulations, devising contingency plans as necessary.

• Manage budgets for facilities, encompassing both capital and operating expenditures.

• Supervise the maintenance and repair of facilities, including all building systems.

• Lead a team comprising managers, technicians, and support staff.

• Chair site-specific tenant councils and manage internal subleases.

Do you qualify?

• Bachelor's degree in facility management, property management, real estate, construction, engineering, or a related field.

• Minimum of 10 years of experience in facility and property management, demonstrating effective leadership in both domains.

• Thorough understanding of the technical aspects of building and property systems, including HVAC, electrical, plumbing, landscaping, and fire safety systems.

• Proficiency in project management, budgeting, and cost control practices.

• Proven track record in leading and managing teams, including navigating challenging situations such as restructuring, crisis management, and business continuity planning.

• Exceptional interpersonal and communication skills, with a proactive and collaborative approach to working with both internal and external stakeholders.

• Ability to present information effectively and address inquiries and sensitive issues from senior management, managers, customers, suppliers, and contractors.

• Capacity to thrive under pressure, manage competing priorities, and deliver results within specified timelines.

The annual pay range for this position is

• Dublin, CA $149,600 - $187,000

• White plains NY $135,000 - 160,000

The pay offered for this role may be influenced by factors such as job location, scope of role, qualifications, education, experience, & complexity/specialization/scarcity of talent.

Essential Job Accountabilities

• Perform accurate project revenue and cost financial forecasting to ensure corporate profitability goals are met.

• Manage a staff of up to 10 full-time employees including hiring, firing, and completing performance reviews.

• Coordinate with estimators and project controls group to establish budget.

• Lead estimating efforts on vertically integrated projects to ensure accurate and consistent bid to build process.

• Coordinate efforts with estimators, large project sponsor, and manager of construction to manage resources to meet project schedule.

• Participate in bid review and bid closing to ensure accuracy of bid and evaluate project feasibility; work with estimating team to develop bid schedule.

• Coordinate with large project sponsor, manager of construction and project team to develop comprehensive plan for project start up and successful kick-off. 

• Provide environment where dynamic project communication occurs between Project Engineers, Foremen, Superintendents and Construction Manager to ensure work is accomplished in an efficient, profitable, and safe manner.

• Ensure proper job controls, i.e. quantities, costs, revenue and schedule.

• Establish and maintain working relationships with owners, agencies, subcontractors, inspectors, etc., providing customer service to develop long-term partnerships with client base.

• Ensure accurate construction reports for the job allowing for continuous improvement in performance. 

• Run projects at profitability levels to meet or exceed expected margins.

• Comply, understand, and support corporate safety initiatives to ensure a safe work environment.

Education

• BS degree in Civil Engineering, Construction Management, Business Administration, or related field or equivalent work experience in heavy civil construction.

Work Experience

• Minimum of ten (10) year’s progressive project experience in heavy civil environments.

• Minimum of five (5) years experience in paving, dirt, and grading in either private or public environments.

• Experience in alternative procurement (CMGC or Progressive Design Build) preferred.

• Experience leading and developing teams on successful projects preferred.

• Experience as a Large Projects Superintendent preferred.

• Experience in Design-build projects preferred.

Knowledge, skills, and abilities

• Knowledge of construction paving, underground, concrete and grading practices.

• Knowledge and understanding of union agreements and prevailing wage issues.

• Maintain ability to work in high production environment.

• Demonstrated decision-making skills.

• Excellent leadership skills.

• Excellent supervisory communication and organizational skills.
