Legal Assistant in Property and Construction

Our client is looking for a Legal Assistant to join business on a permanent basis. This is a new role to the organisation following a period of continued growth where the Managing Director & Senior Management Team need some additional support. This role has been created to support the Managing Director with a range of legal assistant duties on a daily basis, almost similar to a PA role in some duties, but most of the focus will be on a range of Legal Administrative duties in the property / construction sector.

Responsibilities and duties will include, but not limited to:

• Working with Senior Management team to understand what projects are currently being worked on and what support is needed.
• Attending regular meetings with the MD, minute taking and assisting with any follow up actions or documentation requests
• Sending out documentation and agreements such as section 106 agreements.
• Supporting with any queries and structural warranty claims.
• In regular liaison with external legal / consultancy companies to check on progress and chase documentation
• Running and manipulating reports for management team and suggesting any improvements of how data could be used more effectively/efficiently.
• In regular communication with external providers to obtain information or raise any issues or concerns if highlighted.
• Managing the MD’s diary, ensuring events and meetings are booked in effectively.
• Assisting with additional administrative tasks like booking travel or accommodation for Director when required.
• Working directly for the MD, with PA support duties that will vary from week to week.
• Preparing reports to for the MD, customising the presentation of these reports to suit the format in which they are required.
• Occasionally attend some meetings with the MD to support with the visit and to also provide minute taking.

Skills and Experience
• Ideally worked in a legal assistant role, ideally within the property or legal sector would be an advantage but not essential… however we would like something similar to this.
• PA / Secretarial or similar experience, where you have that instinct to know what support is needed and can prepare for tasks ahead of time.
• Excellent organisational skills
• Build a strong rapport and working relationship with the MD and the senior management team.
• Must have strong IT skills and be familiar with Word, Excel, PowerPoint, Sharepoint, Outlook.
• Comfortable managing own working load and prioritising key tasks.
• Someone who is flexible and can support the wider teams in the business when needed.
• Ability to work under pressure.
• High attention to detail
• Confident with numerical skills
• Proficient with MS Office

Property Maintenance Administrator

We are working with an organisation that has a large portfolio of properties based around the Shropshire area that is looking for an administrator / coordinator to support with a range of facilities / property maintenance queries and issues. You will receive a flow of queries or issues that have been raised about their properties, and these will need to be checked and authorised for repair, before arranging a tradesperson to attend and fix the issues.

Responsibilities and duties will include, but not limited to:

• Taking a flow of calls and emails from tenants in rental properties where they might be raising queries or issues with their properties that need to be addressed
• Ensuring all information about the issue is understood and recorded accurately, and ensuring that urgent issues are dealt with immediately
• Investigating the issue to see what work is required.
• Gaining approval for repairs from management.
• Updating CRM system with all data so you can see what repairs have been completed and when, and the costs and authorisation information.
• Liaising with tradespeople to book in work to be done and booking in the diary with tenants so they know when to expect the issue to be rectified.
• Collating invoicing and passing to management for approval and raising payments.
• Seeing the query from initial call through to resolution.

Skills and Experience
• Has experience of working in a property maintenance or facilities maintenance role
• Extremely well organised to ensure all tasks are completed and resolved.
• Excellent customer service skills to ensure people who are complaining are handled with care and respect.
• Strong administrative skills
• A calming and professional nature that can build rapport with people at all levels.

Property Portfolio Manager

We are currently supporting our prestigious client who are looking for a Property Manager to join their well-established company in Shrewsbury. The purpose of the position work closely with your portfolio of clients in your territory (which is in the Shropshire and surrounding areas) ensuring that any issues are being discussed and dealt with effectively. This will mean travelling around the area typically 1 day a week out of the office visiting your sites.

Your responsibilities will be:

• Providing exceptional levels of service to your portfolio of clients
• Travel to your clients’ sites to conduct a basic inspection and monitoring onsite works
• Ensuring compliance and Health & Safety are being adhere to
• Preparing, agreeing and issuing service charge budgets, factoring in previous spend and any work that is potentially due to be needed
• Attending area meetings with key representatives
• Carry out periodic inspections of the property and prepare site reports for the client / landlord / residents’ committee / insurance company
• Ensure compliance with Health & Safety Regulations and maintain accurate records of Risk Assessments, their dates and planned frequency for re-inspection. Record on the Data Station system and act upon the findings of the Risk Assessments
• Meet at the property with contractors to ensure the conditions of their contract are adhered to and inspect works after they have been carried out
• Arrange for the maintenance of all areas which are common to all lessees under the terms of the lease
• Ensure that Management Agreements are in place for all clients and developments
• Prepare budgets for each property within the portfolio and prepare notes of explanation for each property within the portfolio and ensure they are complete and approved two weeks prior to the billing period
• Liaise with clients / landlords to agree the service charge budget
• Arrange day to day items of repair and obtain two quotations for all works costing over £250 prior to the works being commenced (except in the case of emergency)
• Arrange provision of additional items (signs, lights etc) required by the development subject to the terms of the lease
• Undertake routine fire door inspections to communal fire doors in managed blocks under 18m, subject to passing the BRE Fire Door Course
• Arrange maintenance of external and internal decorations
• Actively seeking new business
• Supporting in resolving any issues
• Negotiating on what service levels are realistic and what charges might be applicable if additional services are required

To be considered for the exciting opportunity we are ideally looking for a strong customer services individual that can be a great problem solver and resolve complaints or issues effectively and efficiently. It would be a good advantage if you have any experience in the property or construction sector, or someone who has done some client account management where you are used to resolving any issues, but this is not essential. You will need excellent communication and negotiating skills and have good literacy and numeracy. This role is going to be field based at least 1 – 2 days a week, and you must have a driver’s licence and be flexible on driving to each site within your territory which is roughly Shropshire and the surrounding locations.
