The Property Management Coordinator is an integral member of the Real Estate team and will be working directly with and providing logistical support to the Property Manager, in managing a growing portfolio of over 340 owned and leased store and other support locations, tenant leases, license agreements, temporary parking agreements, surplus properties and land held for future expansion.
Primary Responsibilities
- Real Estate Taxes: Research and process property tax bills, assessments, and notices. Provide tax and property information to the third-party tax appeal consultant and the Tax Department.
- Lease Database Management: Setup new properties and maintain existing property information (e.g., ownership/landlord changes, critical dates, payment obligations, tax bills and assessments). Upload and maintain electronic property files.
- Critical Date Obligations: Monitor lease database dashboard for critical dates (e.g., expiry and termination dates, options to renew and expand) and send daily synopsis to Property Manager for action.
- Invoice, collect, and reconcile tenant/subtenant/REA accounts.
- Public Notices: Review Notices of Public Hearings to research potential store impacts and share findings with Property Manager.
- Lease Database Testing: Support recurring testing for lease database updates with oversight from Property Manager.
- Reporting: Create ad hoc reports and maintain existing internal reports using various databases and systems (e.g., lease, tax appeal consultant, construction management, accounting) and Excel.
- External Coordination: Assist with communications to/from landlords, tenant, and property associations etc. With Property Manager oversight, work with owners and their representatives, CarMax location managers and Facilities to schedule property inspections, repairs, and maintenance.
- Information Distribution: Send appropriate documents and reports to internal partners (e.g., purchase summaries, new leases, amendments, critical dates, ad hoc and existing reports), and external partners (e.g., insurance certificates to additional insureds).
- Payment Processing: Enter Landlord invoices into the lease database and research any discrepancies in payments. Research unidentified vendor payments and route appropriately. Obtain supporting documentation from external partners to create and process required forms (e.g., vendor maintenance and ACH payment forms for new and existing taxing authorities, Landlords, Declarants).
- Process Improvements: Identify issues as they occur and partner with Property Manager to rectify.
- Perform review of Contracts and partner with Property Manager on how to advise internal departments on procedures for Tenant Improvement Allowances, landlord and/or association plan approvals, etc.
- Support Property Manager with annual reconciliations and budgets.
Other Duties as needed
- Distribute mail to Real Estate team and other departments.
- Perform general clerical duties, such as photocopying, scanning and data entry lookups.
- Provide general back-up within the department.
Qualifications
- 2-3 years of relevant professional, business-related experience required.
- Bachelor’s degree preferred but not required. In lieu of a degree, a combination of education, job specific certification(s) and experience will be considered.
- Accuracy and Attention to Detail: Understanding of the necessity and value of accuracy and attention to detail; ability to process information with high levels of accuracy.
- Proven record of establishing and maintaining strong relationships with internal and external partners.
- Effective Communications: Understanding of effective communication concepts, tools, and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.
- Must be organized, have ability to multi-task and be self-motivated, with a desire to learn and grow within this role.
- Contracts Management & Administration: Knowledge of and ability to use the proper processes and practices for administering a variety of contractual agreements.
- Contracts Review: Knowledge of the contractual and legal matters related to expenditures; ability to evaluate, interpret language used in contractual agreements.
- Data Gathering and Reporting: Knowledge of and ability to utilize tools, techniques, and processes for researching, gathering, and reporting data.
- Payment Analysis: Knowledge of and ability to read and draw accurate observations from landlord invoices, statements, real estate assessments and taxes.
- Proficient in Microsoft Office (Outlook, Word, Excel)
- Previous hands-on experience with a property management database (e.g., Lucernex) is preferred, but not required.
