NHS Administrative Assistant

Location: Swansea City Centre (you will be required to work across two sites which are within walking distance of each other)

Position Type: Full-Time

Pay: £11.67 per hour

Contract: Temporary, ongoing

Working Hours: Monday to Friday, 9 am - 5 pm

Key Responsibilities:

1. 
   Greeting Patients:
   • Warmly welcome patients and visitors upon arrival.
   • Ensure a friendly and compassionate atmosphere for all individuals entering the facility.
2. 
   Booking In Patients:
   • Efficiently manage patient appointments and registrations.
   • Utilise the electronic booking system to schedule appointments and update patient records.
3. 
   Dealing with Enquiries:
   • Address patient queries and concerns with professionalism and empathy.
   • Provide accurate information regarding services, policies, and procedures.
4. 
   Answering Phones:
   • Manage incoming calls promptly and professionally.
   • Direct calls to the appropriate departments or individuals.
   • Take accurate messages and ensure they reach the intended recipient.
5. 
   General Admin:
   • Assist with general administrative tasks to support the smooth operation of the healthcare facility.
   • Maintain and update patient records in compliance with privacy regulations.
   • Collaborate with other administrative staff to ensure seamless workflow.

Qualifications and Skills:

• Previous experience in administrative roles is desirable.
• Strong interpersonal and communication skills.
• Ability to handle challenging situations with tact and professionalism
• Excellent organizational and multitasking abilities.
• Proficiency in using computer software, including Microsoft Office and electronic booking systems.
• Attention to detail and accuracy in data entry.
• Ability to maintain confidentiality and handle sensitive information.
