We are seeking to recruit an enthusiastic Administrative Assistant to join our friendly, dynamic team of administrators.

We are looking for someone to be part of a busy team, who works confidently giving attention to details; is efficient, demonstrating a helpful, courteous, and professional manner at all times.

We pride ourselves in delivering a high quality care to our service users. Your role will involve dealing with a high volume of calls from service users who has queries or questions, registering referrals, keeping accurate logs of personal confidential data. Great administration and communication skills is also required. You must have the ability to work unsupervised, whilst under pressure, always maintaining a professional empathetic approached to our service users and relatives alike whether it be face to face or virtual. Your main responsibility will be to assist management administratively in day-to-day operational functioning of the service.

This is a very rewarding but also extremely busy role, and would suite someone who can remain calm under pressure in challenging circumstances, whilst carrying out various tasks. You must have the flexibility to deal with interruptions and be an excellent, tactful communicator.

This is a full time position (37.5 hours) in a service that is delivered across all sites of the Oxford University Hospitals Trust The post holder will be required to understand the principles of the administration processes of 18 week patient pathways and have the ability to review/validate data to verify pathway accuracy. We are looking for a flexible member of staff who is able to function in a busy environment, offering training to staff across the Trust in relation to Elective Access standards, and in accordance with the Government Access Targets and the Trusts Patient Access Policy. Due to the data entry/data quality nature of the post, the post holder requires an eye for detail and accuracy. The post holder will be expected to work with staff across the Trust to promote the importance of accurate 18 week data recording and to assist with 18 week training. Previous experience in an administration role will be required. Experience of using Cerner Millennium and an understanding of 18 weeks and elective access targets would be an advantage. Validation Officer

Ophthalmology-Surgical

37.5 hours- Band 4

We are seeking to appoint a full time Validation Officer to join our friendly team within The Ophthalmoogy Directorate. The post will be based at OUH Cowley, Unipart House, Garsington Road, Cowley, OX4 2PG. There will be rare occasions that you may need to work from the John Radcliffe site.

The successful candidate will manage each patient’s pathway from referral to treatment in a timely and efficient manner. Providing accurate information on how long pathways are is essential. The role is to ensure that the information, at patient level, is accurately recorded before being reported to the Department of Health by validating the information held on our electronic systems.

Knowledge of the Trust's Electronic Patient Record System (EPR) and knowledge of elective access standards would be an advantage but not essential as training will be given.

This position requires the demonstration of strong organisational skills and the ability to work on your own initiative as well as being a team member. If you are self-motivated and keen to join our team then we would encourage you to apply.

Typing letters, assessments and other documents as required by clinical staff in a timely and accurate fashion, using templates, copy typing and some dictation. A focal point of contact for all users of the building and to liaise appropriately with the Oxford Health estates and facilities services and external contractors when required. Provide a polite, cheerful and well-informed reception at Complex Needs Service team bases in Oxford and Aylesbury. Arrange meetings for staff; this will include liaison with internal departments and external agencies, booking online and face to face meetings as required. Maintain existing spreadsheets and databases (both service specific and those provided by Oxford Health Trust) by keeping a range of clinical information up to date on our electronic patient record system (RiO) and a number of in-house systems. The post holder will be required to build on their personal experience and knowledge of the administration role and function of Complex Needs Service. Complex Needs Service work is of a sensitive nature and as such the postholder will be required to maintain confidentiality at all times. There are mandatory training requirements on starting working with Oxford Health NHS Foundation Trust. It is expected that other general duties will need to be completed as they arise and as they are requested by the staff team. The postholder will fulfil an effective, efficient and responsive role, under supervision of the Office Manager.
