Key Responsibilities:
- Assist Director in day-to-day administration work.
- Responsible for various HR operations, including preparation of HR letters, processing of work pass, conducting new staff orientation and providing support in HR.
- Responsible for extensive calendar / diary management, drafting and proofreading of Directors’ emails.
- Taking minutes, setting up of meeting agenda, and dictations.
- Organizes foreign travel arrangements, visas, itineraries, travel expense claims and maintenance of all travel records.
- Responsible for maintaining membership records and ensuring subscriptions and fees are up to date.
- Maintains and controls confidential files.
- Responsible for organizing logistics for participation in international conferences.
- Undertakes specific research projects as directed.
- Acts as the key point of contact for all matters concerning the Director.
- Handles miscellaneous errands and administrative tasks.
- Perform all other duties assigned by the Director.
Qualifications:
- Minimum 8 years of experience as an Executive Assistant / Secretary to Director
- Proficient in Microsoft Outlook, Word and Excel.
- The ability to multitask, prioritize, and thrive in a dynamic environment.
- A collaborative spirit, capable of working independently as well as part of a team.
- Exceptional organizational, critical thinking, analytical, and problem-solving skills.
- Able to start immediately.
