As Personal Assistant (PA) to the Headteacher, you will provide an efficient and confidential administrative and secretarial service.This role is a 30-35 hour working week, term time, plus 5 days in the school holidays. The main elements of this part of the role at Chinthurstincludes:
• To undertake secretarial work of the Headteacher including drafting “From the Head” in the weekly chronicle, assisting with yearly reports, writing congratulation letters to Year 6, arrange future schools’ meetings with parents and send out Teams links.• Dealing with the Headteacher’s emails and using initiative to respond to all questions and emails, where possible.• Be the point of contact for the Headteacher, dealing with all third parties and taking all calls relating to theHeadteacher.
• Maintain and update the Headteacher’s online diary, arrange and prioritise meetings as necessary and ensure that the Headteacher is appropriately briefed. Work closely with admissions re diary entries.• Manage verbal and written communications on behalf of, and in conjunction with the Headteacher; ensuring the highest quality presentation of documents which should reflect the school’s ethos.• Receive post in all matters relating to the Headteacher and draft letters to staff, parents/carers and all otherschool stakeholders.• To help produce reports for the Governing Body as instructed by the Headteacher.• Advise and assist parents with urgent sensitive issues and make arrangements for them to see a senior member of staff.• Attend weekly SLT & staff meetings - taking meeting notes and distributing to appropriate members.• Participate in training and development activities and programmes, and attend and participate in meetings as required.• Assist the Headteacher and Deputy Head with the coordination of SEN documentation.• Maintaining the stationery cupboard, ordering the yearly stationery order for teachers.
