Job Description
Position Overview:
This position is responsible for providing administrative support to the Vice President of Procurement for Amcor Rigid Packaging (90%) and the Vice President of Sustainability for Corporate (10%) along with their teams. This role is based in Ann Arbor, MI with an option to work from home up to 2 days a week.
Essential Responsibilities and Duties:
- Maintains calendars, schedules meetings and makes travel arrangements, including international travel.
- Prepare expense reports, formal presentations, weekly schedules and distributes publications.
- Plans, organizes and controls large work volume in a fast-paced environment with rigor and high energy.
- Maintains awareness of project and workload activity and coordinates/follow-ups as needed.
- Creates/amends POs. Quarterly review of SAP user accesses.
- Creates/manages vendor records including documentation follow-up with vendors, requestors, Master Data team and Accounts Payable.
- Completes basic internet research for strategic projects.
- Responsible for standard office procedures including processing mail, answering telephones and maintaining/ordering office supplies.
- Coordinate internal and off-site meetings.
- Assist in onboarding of all new hires, temps and interns.
- Maintain building at 1101 Technology, enforce safety rules, order supplies and manages all maintenance requirements.
- Safety: Member of the safety team for Ann Arbor and first responder.
- Manages vacation database for all procurement and sustainability employees.
- Sustainability invoice distribution and budget management.
- Fleet Car Management: Manages leases, vehicle replacement and reassignment. POC for drivers for maintenance, gas cards, insurance and registration.
Qualifications:
- Education: Preferred Associate's Degree In Business Administration or Secretarial Science with expertise in computer software applications or related experience.
- Excellent working knowledge of Microsoft Suite.
- Takes initiative in organization and prioritizing workload in a fast paced business culture while building strong relationships with both peers and procurement team
- Strong verbal and written communication skills.
- Outstanding ability to maintain and deal with confidential information.
- Demonstrated professional work characteristics, high initiative, dependability and credibility.
- Must be well organized, possess outstanding administrative skills and be able to interface with all levels of management.
- Demonstrated ability to work with minimal supervision.
- Minimum of five years administrative assistant experience with executives or senior level managers.
- Travel 5%.
