The successful candidate will be an excellent communicator with exceptional organisational skills, attention to detail, discretion, and the ability to manage multiple tasks and priorities efficiently, working directly with the Chief Executive Officer. This is a full-time opportunity.

Our Client are a private healthcare provider specialising in the assessment, diagnosis and treatment of ADHD, providing services both in-person and remotely on a national scale. The service is patient-focused and provides a world class service to their patients.

Job Purpose: Personal Assistant to CEO

Pay: £27,040 per annum + £150 Service Care Solutions Welcome Bonus

Location: Lincoln

Working Hours: Monday to Friday, 09:00-17:00

Contract: 40 Hours per Week (includes Paid Lunch Breaks)

The post holder will work as part of the specialist team providing world class patient service to patients and key stakeholders.
Key Responsibilities:

• Responsible for managing the Managing Director's calendar, scheduling appointments, arranging both in person and virtual meetings and travel arrangements.
• Screen and prioritise incoming calls, emails and correspondence for the Managing Director, responding or redirecting as appropriate.
• Coordinate and assist with the planning and execution of meetings, conferences and training events.
• Take accurate and details minutes of meetings for both the management and operations teams, capturing key discussions, decisions and action items.
• Organise and curate content for the monthly staff newsletter, including gathering updates, announcements achievements, and relevant information from various departments.
• Coordinate and set up virtual training sessions, including scheduling and sending invitations.
• Managing the staff residential holiday bookings and sending key information to guests.
• Maintain confidential records and files, handling sensitive information with discretion and professionalism.
• Serve a liaison between the Managing Director and internal departments, external partners, clients and stakeholders.

Requirements

• Competent and confident with computers but not limited to MS Office, Outlook, Word, Excel, MS Teams and Zoom
• Organisation skills and an ability to manage own workload
• Excellent communication skills, both verbal and written, with the ability to interact professionally with individuals at all levels
• Discretion and confidentiality in handling sensitive information and confidential matters

Ensure Reception and Secretarial and clerical duties within the Practice are carried out within the practices Standard Operating Procedures. Provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc in an accurate and quality manner Ensure Practice records and patients records are kept up to date Assist the Admin Team with all clerical and administrative duties Make appointments, bookings, referrals and admissions as required Liaise and arrange meetings (to include the booking of rooms) as required and to attend meetings and take minutes if necessary Establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure Retrieve medical records and assist the completion of medical/insurance records. File patient records and correspondence in patient medical records Receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries Maintain the computer clinic system in an accurate and secure manner Assist with the gathering of statistics and information when required

Assist in the proper functioning, maintenance and fault reporting of central equipment used by the Team, e.g. photocopiers, fax machines, printers, computers etc. Record all data using the appropriate information system or manually where this is required including data entry, word processing, scanning of documents for e-noting and storage. Comply with and carry out safe practice in accordance with Trust policies and procedures, appropriate Codes of Conduct, the Mental Health Act (1983) and other relevant national and local guidance. Filing, including use of Share Point system for storing, retrieving and filing information. Assisting colleagues in the setting up of LIVE meeting to conduct remote meetings throughout the Organisation (where appropriate). Supporting the Trusts vision to become paperless and encourage Manager to do the same. To take key responsibility for the smooth running, co-ordination and management of Outpatients Clinics. To ensure that service users and visitors to the Community Mental Health Team are dealt with in an efficient and friendly manner.
