Job Summary

The governors would like to appoint an administrator to support a busy office and take responsibility for some of the school's organisational functions.

This would be the ideal job for a candidate who would like to develop their skills in finance, administration and work in a school environment, term time only.

Responsibilities and Duties

The successful candidate will need to be confident in the following areas:

• Good knowledge of word processing and excel skills and experience of organizing and office online systems.
• Excellent communication and interpersonal skills.
• Ability to organize personnel administrative policies and procedures.
• Understanding of computerized records (SIMS), computer literacy, attention to detail and the ability to be flexible and cope under pressure.
• Knowledge of GDPR.

Qualifications and Skills

• NVQ II Business and Administration or equivalent qualification.

This role is full time Monday - Friday standard office hours.
Salary is £23,795 - £24,000 depending on experience.

Your new role

• Assist with the management of the daily operations, including coordinating with various departmental managers to ensure continued operational functionality.
• Assist with administrative tasks relating to building and office security and safety.
• Liaise with staff and external contractors to ensure all office IT and office equipment requirements are met.
• Assist with the implementation of new policies and procedures to improve operations.
• Develop and implement new operational strategies to improve efficiency.
• Collaborate with team members of other departments to resolve operational issues or concerns.
• Assist with the management of external relationships, including third party support teams and partners.
• Assist with the management of delivery schedules.

PA to Headteacher

Start date: ASAP until the end of December with view to extension.

Working hours: Monday to Friday, 8am - 4pm

Pay: £13.41 per hour

We are looking for PA to provide comprehensive and confidential executive support to the Headteacher of an Academy based in Exeter.

Duties include:

• Proactive management of the Head-teacher's diary and associated logistics to ensure efficient organisation

• Effective and sensitive management of incoming and outgoing communications to/from the Head-teacher's office.

• Representing the Headteacher with school and Trust staff, parents, students, and external agencies, including receiving visitors on behalf of the Headteacher.

• Organising and taking minutes of all meetings led by the Headteacher, including leadership meetings, HR meetings and inter-agency meetings.

• Drafting, preparing and circulating documents on behalf of the Headteacher.

• Being first point of contact for callers and visitors, and for school situations requiring attention from a member of the Leadership Team.

• Administration of student records.

• In consultation with the Headteacher, organising programmes and logistics for external visits to the school, including audits and inspections.

• Responding to Freedom of Information requests made to the school.

• Receiving or acknowledging formal complaints made to the Headteacher, and coordinating or drafting responses, in consultation with the Headteacher and the School Complaints Coordinator. Supporting the Headteacher in any safeguarding matters.

• Liaising with the Clerk to the Governors in preparing for Local Governing Body meetings and in facilitating an effective communication between the Headteacher and the Chair of Governors.

• In consultation with the Leadership Team, coordinating the production of the yearly Staff Handbook and school calendar.

• Supporting the Headteacher in the monitoring of staff performance and appraisal.

• Maintaining confidential electronic and other filing systems linked to the Head-teacher's office.

• Contributing to the organisation and delivery of parent/community events as required.

• Undertaking any other duties or functions which generally support the work of the Headteacher, as required. Where necessary being flexible to respond to requests outside of working hours
