We are currently recruiting for a Personal Assistant to join an industry leading company in Chepstow.

This is a great opportunity to join in this newly created position as the company goes through an exciting period of growth due to recent acquisitions.

As Personal Assistant you will:

• Manage the administration and scheduling requirements of the Chairman and CEO on a day-to-day basis
• Schedule and attend board meetings and taking minutes.
• Co-ordinate complex schedules by managing diaries, organising meetings and appointments, using your in-depth knowledge to proactively prioritise and de-conflict any clashes.
• Be responsible for managing high volume inboxes, by using your breadth of expertise to action incoming emails in a timely and professional manner.
• Prepare corporate documents, including meeting packs and accurate minutes.
• Arrange travel (often international), processing of expenses, and complying with our trade control and gift/hospitality policies.
• Support the wider Leadership Team with ad-hoc requests from time to time

Essential skills you will need for this position:

• Board Level or Senior Management Level experience as a EA or PA
• Time management skills
• Excellent communication skills
• Discretion and trustworthiness
• Ability to think outside of the box with a sense of urgency.
• Strong attention to detail.
• Business sense
• Organisational skills and the ability to multi-task.

At Fawkes & Reece we are recruiting for an Administrative Assistant to join a leading Tier 1 contractor on a £200M framework for a number of years in South Wales.

About the role of Administrative Assistant

The role of the administrative assistant will be to provide support to site Teams on the framework. Predominantly you will carry out Administrative duties, organising site diaries, organising notices to surrounding areas and providing customer support, reporting into the Senior Project Manager.

Responsibilities for Administrative Assistant

Declaring notices to residents within surrounding areas

Answering customer service calls and providing solutions or escalating to relevant person if necessary

Logging data and information on the server in the correct manner and format

Providing support to the business and site teams

Hours: Full time. Monday - Friday, 8:30-5:00pm but can be flexible with start and finish times if need be

Main Job Roles

Required Experience

• Challenger mindset, always looking to drive improvement.
• Time management - must be able to adhere to deadlines and complete tasks within the prescribed time.
• Excellent communicator - able to interact with and influence people of all levels in a confident, professional manner.
• Discretion and trustworthiness - demonstrate ability and temperament to work with sensitive information.
• Change Programme experience.
• Business sense -must have a strong business sense and can decipher priorities and make sound judgment calls when needed.
• Proficient in Microsoft Office 365.
• Proven experience as an EA in a corporate environment.
