Salary is based on 40 hours a week, made up of 32 Hours gym floor with 8 hours of PT sessions. As your client base grows, you will drop your gym floor hours to maximise your PT earning potential of up to £35,792.64 OTE.

Whilst on probation all contracts will be a minimum of 24 gym floor hours, this is to ensure you earn a guaranteed minimum salary. Your earning will increase as you establish your PT clients and improve your earning potential.

PT sessions have a sliding scale, the more you deliver the more your take home earning potential is.

MAJOR DUTIES

Public Contact Work 25%
Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Regularly involved in high-level contacts with visitors and callers for other organizations and activities. Receives telephone calls and greets visitors to the office. Uses judgement and initiative to screen or refer as appropriate. Screens callers/visitors by ascertaining name, affiliation, and purpose of call/visit, and based upon subject matter, determines whether information can be supplied personally. Obtains needed background information before referring calls to supervisor, and uses independent judgement in referring, initiating, or disposing of inquiries and requests. Arranges for personal interviews and receives applicants reporting for interviews.

Acts as liaison to other managers and staff within and outside the organization and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions. Outside organizations include but are not limited to nursing organizations, vendors, veteran service organizations, community leaders, non-federal healthcare organizations, and other non-profit organizations. Informs them of the supervisor's views on current issues and programs.

Clerical Duties 30%
Processes incoming and outgoing materials such as correspondence, reports, memoranda, letters and other forms of written communication. Performs the following types of duties: editing and composition of letters and reports, reviews correspondence for accuracy and completeness, prepares public presentations, and develops standard or form letters and replies to inquiries. Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information. Initiates follow-up or takes subsequent action as indicated by the correspondence.

Processes all clerical action documents such as recruitment, appointments, promotions, special advancements, transfers and separations for those under Executive Leadership chain of command as assigned. Maintains Competency folders and training files. Submits IFCAP requests and work orders using the automated computerized system (DHCP). Assumes full responsibility along with other Executive Leadership Secretaries for clerical functioning of all committees/boards of which the Executive Leadership is the chair. Initiates Board Actions as assigned.

Maintaining Appointments. Calendars. & Schedules 25%
The incumbent exercises control over supervisor's appointments with complete authority for commitments of time; establishing priorities at own discretion; setting up, rearranging, and when necessary, coordinating meetings with staff offices. Arranges for meeting space, speaker, and support arrangements for large conferences. Makes appointments for the supervisor; cancels and accepts invitations; checks requirements for engagements, i.e., necessity for speech, etc. Maintains a calendar of future events for up to the next 12 months, on monthly, bimonthly, and weekly basis; scheduling briefings and updating the calendar for a two-month period.

Office Supplies and Equipment 20%
Obtains and monitors the use of services, supplies, or equipment for the office. Provides general office supply and equipment support services such as obtaining standard office supplies and services, procuring or justifying the full range of office services, or answering questions concerning policies and procedures related to support/office services.

Automated Data Processing (ADP) Coordinator 5%
With no exceptions, service ADPACS are responsible for granting, reviewing and revoking access based on the least privilege principles of HCSM 00- -04, including evidence of the 90-day access review. Sponsors employees for identification cards and appropriate access badges, Functions as the ADP Coordinator for the service, which includes troubleshooting PC, telephone, and fax problems, and submits work orders, as appropriate, for problems that employees cannot resolve.

The major duties of the Administrative Office in Facilities Management includes but is not limited to the following:

Budget Guidance and Administration
The incumbent develops the need for and maintains an awareness of available resources, and makes recommendations to FMS management regarding needs, distribution or redistribution of these resources. The incumbent is responsible for a large number of fund control points. Gathers and analyzes budget needs of FMS and initiates all phases of budgeting within administrative requirements. Plans a system of internal control that assures the fiscal management of FMS will be maintained on a sound basis. Incumbent is responsible for formulation and execution of annual budget including salaries, travel, supplies, equipment and all other general operating expenses.

Direction/Long-Range Planning
Develops both long and short-range policies and plans for FMS by coordinating with the medical administration needs of the Medical Center. Provides formularized planning direction for FMS and is responsible for development and implementation of policies and procedures. On major issues, the incumbent defines the goal to be met, envisions alternative policies, recommends a course of action, and implements the alternative chosen. The incumbent recognizes the need for new policies and brings such policies to the attention of FMS management. The policies and procedures dealt with are for all of the various aspects of FMS, including budget and fiscal management, supply, service and equipment procurement, personnel and workforce utilization, contract negotiation, construction and renovation, and space utilization.

Program Administration
Leads in administering programs concerning such matters as equal opportunity, merit promotion, labor management relations, and position management. Administers space and equipment programs. Establishes Human Resources, equipment, and space policies for FMS. Incumbent serves as a key figure in staff utilization assuring recruitment and retention within approved ceilings are maintained. Responsible for personnel administration including knowledge of personnel operations. Responsible for constant surveillance, evaluation and planning to ensure efficient utilization of space based on constantly changing and ever increasing program demands. Incumbent is authorized as the certifying official for OLCS (on-line certification system) for orders of supplies, services, and equipment.

Due Process
Discusses, investigates, and provides advice and/or responds to employee grievances and dissatisfactions in order to resolve conflicts. Incumbent advises and/or may represent FMS management at labor management meetings, provides information, and helps to resolves conflicts and problems that may arise. Incumbent listens to problems and concerns of FMS employees.

Accreditation Program Administration
Administers FMS reporting and evaluation requirements associated with the accreditation of the Medical Center. Establishes procedures to meet unusual or unique standards. Incumbent is fully aware of quality assurance aspects and assembles and monitors current required materials to assist FMS management in satisfying requirements.

Quality/Productivity Goals
Administers the internal review, quality, and productivity initiatives for FMS. Establishes unique or complex quality and productivity programs. The incumbent develops, interprets, applies, and integrates objective criteria and acceptable standards for use in monitoring activities.

What You’ll Do
