We are hiring for the position of Administrative Officer !
Location: Liverpool
Salary: £12.84 per hour
Contract: Temporary, 6 months with view to extension
Working Days: Full time, Monday to Friday
Hours: 37 hours per week, 9 am to 5 pm
Our client, the Home Office has a fantastic opportunity to join their Liverpool office as an Administrative Officer, working within one of the four teams in the Interpreter & Language Service Unit (ILSU). The unit consists of the Booking Team, Finance Team, Interpreter Management Team, and the Language Service Team.
Booking Team
You will work closely with business-wide regional teams to book interpreters for Asylum and Screening interviews.
You will use platforms such as Microsoft Excel and an Interpreter Access Database. You need excellent communication skills as you will be in regular contact with external interpreters.
Key responsibilities may include:
- Booking interpreters via telephone and the ILSU database for assignments
- Working on the Booking team inboxes
- Following processes to cancel/rebook interpreters
- Working with regions/teams across the Home Office
- Manning phones lines
Finance Team
You will pay interpreters for completed assignments for Asylum and Screening interviews.
You will use platforms such as Microsoft Excel, Interpreter Access Database and Home Office accounts system. You need excellent communication skills as you will be in regular contact with external interpreters.
Key responsibilities may include:
- Calculating payments for external/freelance Home Office interpreters
- Triage of the Finance team inboxes
- Accurate data input (numbers and calculations) on to the Home Office payroll system
- Dealing with financial queries from interpreters
- Working within Home Office service level agreements
- Communicating with internal/external stakeholders via telephone/email
- Working with regions/teams across the Home Office to verify claims
Interpreter Management Team (IMT)
You will manage the Home Office database of freelance interpreters, recruitment to the panel, security clearances, monitoring forms and act as point of contact for interpreters.
You will use platforms such as Microsoft Excel, Access Database, inhouse security systems. You will require good communication skills as you will be in regular contact with external interpreters.
Key responsibilities may include:
- Triage of the Interpreter Management team inboxes
- Accurate data input to the Home Office security system
- Organisation of interpreter digital files/monitoring forms
- Dealing with general queries from interpreters
- Working within Home Office service level agreements
- Communicating with internal/external stakeholders via telephone/email
Language Service Team (LST)
You will engage with internal and external stakeholders regarding language services across the Home Office.
You will use platforms such as Microsoft Excel, Access Database, WORD, PowerPoint. You will require good communication skills as you will be in regular contact with stakeholders.
Key responsibilities may include:
- Triage of the Language Service team inboxes
- Dealing with internal queries
- Contacting external partners to secure interpreters for assignments across the business
- Accurate data input.
- Working within Home Office service level agreements
- Communicating with internal/external stakeholders via telephone/email
Essential Skills:
- Computer/IT skills - must be Excel proficient
- Teamwork
- Excellent communication skills - computer & telephone based
Training provided:
- No holidays during the 4-week training period
- Training on the job, tailored to each team allocated to
