About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

• Process customer’s orders/inquiries timely and accurately.

Job Responsibilities:

Account Receivable and Credit Control

1. To perform sufficient background check on any credit facility application & then to obtain approval from Financial Controller and General Manager.
2. To process Credit Facility Application within 3 (three) days from the date it is received.
3. To ensure all billings are done and revenue and charges are posted accordingly as per Event Order date.
4. To reconcile PM account against Event Order and Proforma Invoice & Client’s LOU.
5. To transfer PM account to respective AR Ledger and to ensure outstanding account in PM ledger is cleared in timely manner. 
6. To report to Financial Controller on any inappropriate balance in PM Ledger.
7. To ensure Invoice is produced and sent out not later than 3 (three) days after the event date (check-out date).
8. Reconcile AR Ledger against the Debtor’s Control Account in General Ledger and Balance Sheet
9. Produce AR monthly statement for any amount due more than 30 days and to send first reminder (and any other subsequently)
10. Produce AR Aging Statement every end of the month and to ensure the Aging Report is tally with General Ledger control account.
11. To call and organize for monthly AR Meeting before 15^th each month and to prepare and issue minute within 3 (three) days after the meeting.

9. To perform surprise audit on all stores and ensure Stock Card is updated accordingly.

Accounting General

1. To co-ordinate with all Head of Departments on monthly reports for account closing purposes and ensure reports are received on timely manner (eg. Utility, Inventory, Kitchen Inter-Transfer, Store Issue etc)
2. To validate and verify the Verification & Approval Form (VAF) before Account Assistant sending out via HelloSign.
3. To co-ordinate with Account Assistant and Account Officer that all balance sheet reconciliations are performed on timely manner.
4. To co-ordinate with Account Assistant and Account Officer that all monthly journals, accruals and prepayment are accounted for.

Maintain an effective filing system for all accounting documents (journals, receipts, revenue and sales transaction slips and invoices, stock card, cheque register, payment voucher, fixed asset invoices and register, etc) for future reference and to safe-keep for at least 7 (seven) years for Custom Audit.
7. Maintain an effective filing system for all Contracts/Licences /Taxes /Insurance
8. To provide and maintain all Hotel Contracts / Maintenance Agreement / Deposits records with Suppliers / Contractors
9. Bring to the attention of the Financial Controller any matter requiring attention.
10. To take charge and represent Financial Controller in Accounting & Finance matters during his/her absence.

Job Requirements:

• Bachelor Degree / Diploma Accounting
• Previous experience working in a luxury 4 or 5-star hotel environment with minimum 2 years of experience in similar position, handling full set of accounts
• Well versed in accounting double entry and account reconciliation
• Understanding of Basic Accounting Principles
• Strong background in hotel operation and hotel management system

Responsibilities :                              

Your responsibilities as the Senior Executive, Retail Marketing will include but not limited to:

• Assist in planning and implementing strategic retail marketing plans.
• Execute and monitor the overall operation of retail marketing campaigns / events / advertising.
• Establish good relationship and work closely with Landlords / Mall Marketing team.
• Plan and execute partnership / collaboration opportunities.
• Liaise and work closely with internal / external parties to ensure successful execution of events / campaigns.
• Plan and manage all retail marketing communication channels including actively sourcing for strategic advertising opportunities including but not limited to Digital OOH, viral platforms, displays and printed.
• Monitor and review the effectiveness of marketing advertising.
• Conduct retail stores visit and market survey to stay updated with the latest trend.

Your responsibilities as Stock Merchandising Executive will include but not limited to:

• Manage and monitor stock movement in warehouse and stores ie. Sell through, stock par level, stock aging, capacity, and replenishment.
• Initiate stock transfer and consolidation as according to sell through data and the age of products in stock, etc.
• Analyse sales trends for various shops
• Prepare and update stock reports.
• Collaborating with buyers and pricing team and sales team (retail and/or e-commerce) to create compelling product displays, promotions, and marketing campaigns.
• Communicate effectively with team members to ensure that the merchandising strategy aligns with the overall business strategy.
• Any other assignment as requested by Management from time to time.

About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

• Process customer’s orders/inquiries timely and accurately.
• Ensure customer’s orders are dispatched in the best route (transport plan) to optimize freight cost.

• Liaison with multiple parties including customers, overseas agents, etc for freight handling and/or other matters

• Handle shipping documentation (import/export / BL / documentation).

• Ensure compliance with customer’s Standard Operating Procedure.

• Communicate discrepancies/issues to team supervisor/manager when necessary.

• Consistently monitor emails and respond in a timely and professional manner to Customers and Appointed Service providers to provide full visibility to Customers.

• Responsible and familiarize with track & trace systems (LINK).

• Continuous update through communications on current statuses from Bollore network, international carriers, and subcontractors, troubleshooting any irregularities, and well well-prepared to construct information flows smoothly and timely to customers.

• Proactively request service failure reasons from the service providers' network and update Customers in the event of any service deviation from standard transport mapping.

• Ensure that contractual rates and agreed plans are always closely followed and aligned with Customers’ expectations.

• Work closely with OPM/RCM in preparing business review materials on a periodic basis (monthly & and quarterly).

• Lead periodic conference calls with the Customer's Control Tower or Key Contacts in reviewing the Dashboard Reports and time-critical shipments.
• Active participation in business reviews together with OPM/RCM to present our contractual performance and identify common service issues.
• With the support of peers, able to relate to the customer in transposing recurrence service issues.
• Carrying out any other ad-hoc work instruction requests made by the supervisor/manager.

The successful candidate

• Experience in transport management / freight forwarding (air operations)
• Knowledge in flow management/control tower / IFF contract operations management / key accounts
• Knowledge in freight forwarding, AOG and oversize cargo will be an advantage
• Excellent command of written and spoken English
• Must be willing to work on a 24/7 rotational shift
