1. Provide secretarial and administrative support to the Head of Department:

• Handling correspondences and call on behalf of the Head of Department
• Support the Head of Department in clinical rosters, leave matters/applications, court appearance, travel plans and claim matters
• Verify the doctors’ claims before routing the Head of Department to approve
• Contact point for meeting scheduling and calendaring matters support for Head of Department

• Keep track and distribute department assets and accessories (PCs, mouse, keyboard, RAM, monitor), raise request computer ticket
• Prepare for new joiners (raise computer ticket, create User ID ticket, welcoming new staff…); keep track Onboarding checklist
• Prepare for resignation associates; do exit checklist; check returned devices
• Support in organizing Department Events like Department meeting, Group Meeting, Workshops, Long year service celebration, Top performer.
• Collect goods from Logistic team and transfer to working area
• Support in preparing expense claim form, Payment requisition and submit to Account team;
• Manage and keep track of stationery and office equipment as per regulation;
• Support in receiving/sending courier;
• Support in delivering gifts, allowances from company to employee
• Support associates in daily arising topics;
• Support in welcoming guests, invitation letters, supporting accommodation, visa and travel, gift;
• Other required tasks

• Work involves the technical planning, design, development, testing, implementation, and management of Internet, intranet, and extranet activities, including SharePoint sites, systems/applications development and technical management of Web sites.
• Provide in-depth and independent technical guidance, advice, and recommendations to the Executive Officer and Chief, Information Resource Management Division concerning all internet related sites.
• Maintain a general awareness and understanding of information assurance and security concerns/issues as they relate to a secure internet environment.
• Determine overall technical design and structure of the Inspector General (IG)-specific website environment.
• Support the installation, configuration, security, operation, and maintenance of all web portal servers, equipment, and software related to the internet infrastructure.
• Develop, configure and maintain document libraries, enterprise lists and site collections.
• Monitor functionality, security, and integrity of the IG-specific websites.
• Monitor IG - specific websites’ trends (e.g., site usage and growth, disk space usage and growth).

Profile

We are looking for an amazingly well-rounded Corporate Secretary Admin / Intern to help quickly grow our business in Singapore! This position would suit a Corporate Secretary Admin / Intern who is forward-thinking and has the desire to work in a progressive, tech-assisted environment. As Sleek offers a full digital experience to all its clients, you will be an active actor of the full digital transformational journey of the Corporate Secretary business.

You will have a passion for understanding business owners, entrepreneurs and investors and the ability to creatively articulate the problems that keep them up at night. You will be skilled in translating these deep client insights into attractive solutions, compelling calls to action, and ultimately stunning results. You should have excellent brand-building and communications skills, ideally gained in a fast-moving online start-up environment. Additionally, you should be committed to exceeding customer expectations, within a firm that cares deeply about creating client happiness and aiming at being recognized by them as a World Class Service provider. But more than anything, you will be an enthusiastic team player and excited about the role you can play in creating Singapore’s most loved Corporate Secretary for business owners, entrepreneurs and investors.

Position Duties

The successful candidate will report to the Corporate Secretary Manager and will be responsible for the following corporate secretarial work that includes but is not limited to:

• Coordination of collection of files upon the completion of new transfer-in Companies.
• Maintaining and updating the storage inventory list and common seal inventory list.
• Coordination with the third party off-site storage provider.
• Monitoring and processing the Annual Return preview request between internal teams.
• Preparation and processing of all churn requested Companies.
• Assisting the Corporate Secretarial team with ACRA filings when required.
• Ability to manage voluminous workload without compromising on quality.
• Contributing proactively and assisting our technology development team in the further development of our company secretarial and governance software.
• Coordinating and transferring of files to the client's new provider.
• Special tasks and projects assigned from time to time.
• Other administrative tasks as assigned by the manager eg, scanning of documents.

Performance Standards

• Tertiary Education or Diploma/Degree Holder in the fields of Business Studies/ Law/Administration/Management or equivalent.
• Member of SAICSA and/or ACCA/ISCA would be a plus.
• Customer centric, a passion for customer excellence.
• Willing to be hands-on as and when required.
• Preferred minimum 1-2 years of work related experience gained in reputable corporate services firms and/or in-house corporate secretarial teams.
• Detailed oriented while being efficient.
• Possessing high degree of professionalism and responsibility.
• Ability to tackle challenges and meet tight deadlines.
• A team player with good interpersonal and writing skills.
• Good spoken and written communication skills in English, and a second language would be a plus.
