The Administrative Executive will be responsible to the Centre Leader for all administrative details related to the day-to-day operations of the centre and provide customer care services to students and their parents during their stay with the school.

Job Roles & Responsibilities

1. Administration:

Support the centre with data entry of child transactions into Little Lives and ECDA CMS system. This includes:

• Child Transactions: Enrolment, Withdrawal, Transfer, Change of Program, Student Pass Application, Promotion of Children

• Subsidy applications in CMS for all new and existing cases

• Update of school fees changes in CMS at child level (yearly)

• Update of vacancy status in CMS

• Retrieval of documents for audit purpose

• Handles queries from existing and new parents and provide support whenever needed

• Liaise with both external and internal stakeholders such as ECDA subsidy officers, licensing officers, financial assistance officers to facilitate and resolve enrolment and subsidy/financial assistance application issues

• Responsible for proper storage of stationary and uniforms

• Perform general clerical duties

• Support operational work flow

• Upkeeping of children's P file

2. Enrolment:

• Maintaining a waiting list, calling parents up for enrolment when a vacancy arises

• Follow up with parents on the documents needed for enrolment

• Planning of orientation sessions for new enrolment

3. Finance:

• Issuing of ad-hoc invoices, e.g. first-time payment, uniforms purchase etc

• Checking of monthly fee invoices

• Creating of monthly GIRO deduction listing, updating of monthly payment

• GSII monthly reconciliation

• Adding the correct subsidies discount for each child

• Follow-up on discrepancies for any over-payment or under-payment of subsidy as well as subsidies adjustments in CMS

• Petty cash handling

4. Customer Service

• Meet and greet parents, students and visitors at the school

• Provide proper information about school fees and programs

• Handle calls/emails/walk-ins enquiries from existing and new parents

• Taking charge of the centre's inbox

5. Procurement

• Purchase items from suppliers for capital expenditures, kitchen, stationery, events, etc Prepare Expenditure Requisition Forms and obtain price quotations from suppliers

• Minimum 3 GCE ‘O’ levels with at least B4 in English and credit in a second language

• At least 2 years of experience in an administrative role

• Good interpersonal skills, able to relate to people from different culture and languages

Job Summary

As a Learning Facilitator, you are responsible for delivering upstream learning support for children who fall behind in learning goals. You are to work closely with the pedagogy department to develop learning support curriculum for these children. You are to also screen and identify children from Nursery 2 to Kindergarten 2 who require learning support and provide them with timely learning support intervention, covering different areas including language, literacy and social-emotional development. You are to closely monitor their progress and assess the need for further learning support.

Job Role & Responsibilities

• Development of learning support curriculum:To work with the pedagogy department in E-Bridge to develop a structured learning support curriculum consisting of lesson plans which are aligned with E-Bridge’s main curriculum for different learning domains.
  
• Screening and providing timely learning support:To use screening tools to screen children, identify those that are behind in learning outcomes, assess the learning support required and to carry out the relevant learning support package. In delivering the learning support, you are to employ relevant strategies and fine tune them. For children with suspected higher learning and developmental needs, you are to work closely and coordinate with the Learning Support and Development Support department who will provide the intervention. In delivering the learning support, you are to collaborate closely with the educators on the scheduling of the learning support pull-out sessions and carry out the learning support individually or in small groups.
  
• Documentation and tracking of learning progress:To closely monitor the learning progress of children receiving learning support and document observations of each child’s learning progress.
  
• Reporting of progress and attendance of meetings:To support the Senior Manager/Manager in putting together regular reports to management to track the progress and outcomes of learning support, and assist in the preparation and submission of progress reports and reporting requirements.
  
• Reviewing initiatives and strategies to support the learning needs of children:To support the department in regular reviews of initiatives and strategies to ensure the learning needs of children, particularly the lower income and more vulnerable are well supported. To support implementation of new programmes and initiatives as required.
  

Job Requirements

• Diploma in Early Childhood Care & Education with at least 2 years of experience working with children from 4 – 6 years old in an Early Childhood learning context;
• Registered ECDA educator with L2 certification

As the Family Support Officer, you will be responsible to implement initiatives to strengthen attendance and social support for children and their families.
