Personal Assistant to the Managing Director

• Filter emails, highlight urgent correspondence and print attachments.
• Verifying all company incoming emails and report to MD for instructions and endorsements
• Keep fuel surcharge and insurance security surcharge rates from different airlines updated
• Update and filling of department documents, overseas agent contact list, circulars and ocean /air freight rates, schedules from carriers and co-loaders
• Managing and ordering office suppliers and equipment
• Shipment status monitoring and permit submission
• Staff shift work roster planning
• Performs typing and general paperwork
• Sending adhoc airfreight rates emails to carriers as well as email on behalf of MD
• Liaising with office vendors to ensure fire extinguisher and printer in good working condition
• Update Known consignors list
• Liaise with Operations and Accounts on any issues that MD encounters
• Daily management of the Singapore office and all administrative issues.
• Provide administrative support such as meeting schedules, expense claims and all travel arrangements including visa applications.
• Responsible for the whole process of office relocation project such as vendor management and internal communications.
• Reviews of Contracts and rates
• Ensure that all vendors complies to agreed KPIs
• Maintains proper & neat filing system.
• Answering phonecalls
• Ensure signing of documents by Director

1. Responsible for Accounts Payable & Accounts Receivable

2. Send AR SOA to clients on monthly basis.

3. Manage and follow up with clients on disputes if any

3. Manage AR ageing and following up with clients on payment schedule.

4. Maintain proper filing and documentation of records

5. Entry of clients' payment detail into internal systems

6. Check bank record on daily basis

7. Any other tasks assigned

8. Preparing payments

Requirement:

1. Prefer candidate to stay in the eastern part of Singapore since office is at Alps Avenue

2. Minimum 1 year work experience, preferably in logisctics industry

3. Eager to learn and work independently with or without supervision.

4. Positive attitude, meticulous and someone with initiative

Job Description:

• Receive daily all type of shipment pricing request from working agents and potential agents from the company network
• Review of ad-hoc and RFQ, RFP and RFI documents and final pricing compilation
• Requesting of pricings from airlines, shipping lines and coloaders
• Liaise with local/overseas working vendors and partners for their competitive pricing
• Review all received pricing for pricing sanity check, RFQ completeness quality checks
• Ensure to provide competitive timely pricing to daily enquiries and requests.
• Feedback and review internal and external pricing structure
• 
  
• Airlines, shipping lines and coleaders relationship development.
• Check on costing and billing.

• Prepare shipping documents
• Handle customs declaration and Tradenet operations
• Other duties as assigned

- Able to execute AWB based on CS instructions and comply to terminal/airline requirement.

- Attend to customers’ enquiries via email wherever necessary.

- Respond to customer complaints and enquiries promptly (sense of urgency) and provide possible suggestions / solutions or assist with recovery actions whenever possible.

- Able to work in team with communication and understanding of workflow.

- Take on additional tasks delegated by Department Supervisor/ Manager.

• Candidate must possess at least Secondary School/"O" Level in Logistic/Transportation or
equivalent.
• Required language(s): English to liaise with clients
• Knowledge of Import and Export documentation
• 1-2 years of working Experience in Freight Forwarding company
