Core responsibilities:
Medical & Insurance
· Submit, follow up and summarize Work Injury Compensation/Personal Accident Claim & H&S Claim
· Attend MOM/WICA mediation Meeting
· Accompany injured worker to hospital for further treatment (when required)
· Administer worker medical claim disbursement
· Sourcing quotation for insurance policy for workers
Training
· Assist in booking of SOC/Core Trade courses for workers & raise payment voucher for Finance to make payment
· Assist in Training/ Core Trade and claiming from Government Grants (when required)
Workers Admin support
· Assist in worker recruitment & contractual issues (when required)
· Assist in purchase of immigration bond for workers
· Assist in Work Pass Application/ Renewal & Cancellation
· Assist in updating workers’ residential address
· Assist in preparing work pass collection at MOM
· Assist on Man-year (MYE) application (when required)
· Set up and maintain workers’ P-files
· Safekeeping workers’ Passports
· Manage the workers and prepare monthly report regarding workers’ strength, etc.
· Foreign Worker Levy Claim for workers on Home Leave/ Hospitalization Leave
· Carry out duties or ad hoc projects that may be assigned by the HR & Admin Executive / HR & Admin Manager / Management
Payroll Administration:
· Process workers’ wages, generate and distribute payslips
· Prepare inter-companies’ billings
· Prepare Project Cost Analysis
· Promptly update workers’ particulars into database
· Issue advance payment to new workers & recover from payroll
· Arrange opening of bank accounts for new workers
· Upkeep workers’ Retention Record monthly
General workers administration
· Assist in Final settlement/Return of WP etc
· Arrangement on workers repatriation
· Arrange for returning of dormitory passes
· Update the Person-in-Charge every month for the latest workers’ list staying at dormitory for billing purposes
· Coordinate SOC/Medical checkup/Passport renewal etc
· Employment contract/Orientation/collect PPE/WP
· Arrange for printing of worker pass if necessary
· Update workers’ Training Record
· Handle other ad hoc assignment as required
Office Admin
- Manage the newspapers at the reception area and place at CEO’s desk
- Manage the tidiness at the reception area and meeting rooms
- Replenish office supplies such as milo, coffee, detergent, etc.
- Prepare beverages for meeting, if necessary
- Upkeep & maintain copier all-in-1 machine tidiness
Others
- Apply, Renew, Terminate Factory Permits & Dormitory Contracts
- Renew Builders & Contractors licenses
- Renew Vehicle Road Tax and Insurance
Job Specifications:
Minimum Educational Qualifications/ Experience required:
Certificate / Diploma in Business Admin/ HR, ‘A’ or ‘O’ levels: Min 2 years of relevant experience (Experience in Building / Construction / Property industry will be an added advantage)
Skills and Knowledge required:
· Good knowledge of Singapore labor Laws, Employment Act, statutory programs and MOM work permit procedure
· Be PC literate and particularly proficient in MS Office Applications including Excel and Words etc.
· Be a team player with good communication & interpersonal skills and capable of dealing people from different cultural and educational backgrounds
· Ability to maintain confidentiality
· Possess good interpersonal and communication skills with all levels of staff & workers
· Strong sense of commitment & urgency to meet tight deadlines
· Good organization skills
· Ability to handle multi-tasks and work within deadlines
· Knowledge of payroll software (such as HRIQ system) would be an added advantage
