• Control stocks flow including ensuring quality and timely stock arrival
• Coordinate with warehouse staff to ensure proper storage
• Track orders and ensure timely delivery
• Monitor and managing stock allocations to outlets and interpret sales forecast
• Process payment arrangement, invoices and purchase orders
• Review stock reports, open orders and expedite reports
• Prepare related documentation
• Any other ad hoc task assigned by the management from time to time

Requirements

• Candidate must possess at least a Diploma/ Advanced/ Higher/ Graduate Diploma/ Degree in any field
• Strong organizational & time management skills

Responsibilities

• Assist in picking and organizing goods for both local and export shipments.
• Coordinate with suppliers, freight forwarders, and sub-contractors for incoming shipments to ensure timely logistics.
• Support the maintenance and updating of stock inventory records, including monitoring cargo movement.
• Help ensure proper storage, cleanliness, and safety of goods in the warehouse.
• Assist in stock checks, including cycle counts and annual stock takes.
• Support warehouse team in managing inventory at local 3rd party and consignment (overseas) warehouses.
• Help monitor warehouse safety protocols, including equipment inspections and safety meetings
• Assist with the management of warehouse-related projects, such as space management and scrap handling.
• Support invoice and document management, and ensuring compliance during audits.
• Suggest and assist in automating tasks.

Requirements

• Strong foundation in logistics, supply chain or a related field (e.g., coursework, projects)
• Able to work independently with good positive attitude and ability to self motivate.
• Good communication skills, team player, able to collaborate with others.
• Able to commit to 3 - 4 months internship duration
• Proficient in Microsoft office Applications, Warehouse Management System
• Experience in the relevant industry will be considered an advantage
• Preferably with SAP experience

The purchasing trainee will be responsible for:

• Administrative work
• Suppliers panel management
• Launch of social audit and follow up on the corrective actions plans
• Some purchasing projects => Biddings, negotiations and awarding projects (under direct responsibility of the Purchasing Manager)
• Possibly some contracts settlement and negotiations (under direct responsibility of the Purchasing Manager)
• Prepare reports – Analysis

The purchasing portfolios (segments/families) covered will be depending on the workload at the given moments.

In parallel, he/she could possibly participate in the long-run strategic projects such as :

• Regional biddings on key items
• Sourcing

Value analysis studies

As a Procurement Intern, you are to drive innovation thru automation within procurement process. Ideally, candidate should strong logical process flow, with know-hows on macro programming. Candidate should have strong interest on driving process excellence in our Tuas site. Strong in Microsoft and/or open coding knowledge. In this role, a typical day will include:

· Automate data-extraction and/or analysis for site spend review(s)

· Automated existing routine reports such as

o PO Aging report (to identify the at-risk orders that are “aged” beyond the expected service/goods delivery time

o PPV (Purchasing Price Variance) (to measure on periodic basis, the variance of what we are purchasing against what we project to purchase at)

o Periodic extraction of latest approved vendor to place it on Cloud

o Periodic update of procurement into a standard template which then be further uploaded into global system (SNOW – Service NOW system)

· Supplier Onboarding process: Automate site supplier onboarding form, subsequently process to include direct link/follow-up with global system

· Create / Manage / Automate portal for procurement information for site

· Harmonize site sourcing efforts in a synchronized process which would also tie in to cost impact analysis (savings and/or cost increase). May include step automation

· Build fraud-detection possibility (based on procurement process guard rails) of at-risk orders that requires manual oversight and/or review

A DAY IN A LIFE

As a start up, you can expect your days to be pretty varied. Multitasking is normal, and sometimes, your skills or natural talents will be leveraged to support other business priorities. That said, the bulk of your working hours should involve you having to:

Establish relationships with related stakeholders and understand their needs.

● Adhere to the group procurement SOP, tendering processes, and system procedures in order to ensure efficiency, effectiveness, and value in all transactions.

● Hands-on experience and management of the purchasing transactions using Oracle Fusion Electronic Procurement system.

● Ensure no delay in the execution of assigned tasks.

● Deliver the needs of tasks as assigned by Group Procurement Head from time to time in line with the role and expectations.

These are minimum-requirement skills and a ‘must-have’ for the role:

● A fresh graduate OR experiences in procurement and sourcing in Airlines and Logistic industry services is a plus.

● A Professional Qualifications and bachelor's degree in business/ finance; MBA is a plus.

● Able to prioritize, focus, persevere, manage time well and aim to deliver from start to finish (good project management skills), while being tolerant and having patience with people

● Detail oriented, strategic, creative, analytical and good with numbers and analysis tools (MS-Word/Excel/Power Point / Google Sheets)

● Positive with self and others, good in relationship management and able to influence others

● Have integrity, ethical, respectful and service minded; able to collaborate with others from different cultures with different values, excellent in providing customer service and stakeholder management.
