Job description

We are seeking a motivated self-starter for an entry level administrative position in our company. You will be part of a core administrative support team and will be trained in HR & Admin, Purchasing, Leasing and Customer Service.

You will work closely with the HR, Facility and Leasing teams, so strong communications skills are a must. We strongly prefer proactive & hardworking candidates that are able to manage a broad scope of work duties.

Your responsibilities may include one or more of the following areas:

• Information/record management including maintaining date and records
• Support in office management and general administration duties
• Coordinate and support the team's workflows and processes

Job requirement:

• Min GCE A Level / Diploma holder
• Fluent in spoken and written English
• Proficient in Microsoft Office applications especially Excel
• Resourceful, independent and self-motivated
• Good communication and co-ordination skills
• Able to multi-task

Duties & Responsibilities

1. Assist the Supervisor in the building facilities which includes, maintenance, service, and cleanliness of the building facilities

2. Monitor and control access at building entrances and vehicle gates

3. Maintain records of scheduled maintenance

4. Respond to any emergency calmly with speed and accuracy

5. Perform rounds of the buildings and perimeters

6. Carry out the instructions of Supervisor/ Manager

7. Maintain effective control of loading / unloading bays & building car park

8. Notify the Supervisor of occurring deficiencies or needs for repairs

9. Perform scheduled preventive maintenance and upkeep of the factory building and machinery/equipment.

10. Always maintain a proper turnout while on duty

11. Any other ad-hoc duties assigned by the Supervisor/Manager

Requirement

Possess a Class 3 driving licence

Assist the Manager in full spectrum of HR and administrative support functions, such as:

· Coordinate recruitment activities such as posting job advertisement, interview arrangements, work pass related matters, logistics arrangement for new staff and orientation, prepare employment contract, insurance coverage, etc.

· Maintain and update employee’s personal files, performance appraisal & leave records

· Perform payroll duties

· Organise staff recreation programme and administer staff welfare

· Assist in preparation and verification of employee’s claims

· Perform front desk duties – attend to walk in and telephone calls

· Attend to guests and set up of meeting and meeting equipment in the office

· Office maintenance and general office duties, including ordering office and pantry supplies

2. Excellent communication skills
3. Self-motivated and result-oriented with problem solving ability
4. Organised and detailed with follow-up ability
5. Minimum 2 years experience in Construction related industry
6. Relevant working experience in construction related industries a plus

Job Responsibilities

1. Assist Developer lead for assigned project
2. Assistant lead for Project Consultants (external) and RTO (internal)
3. Assist to ensure project is carried out on time, within budget and with excellent quality
4. Assist to Oversee construction activities on site and any Changes to Works
5. Assist to Check Shop Drawings to ensure design can be carried out in an effective manner
6. Assist to Liaise with relevant authorities on approvals and compliance matters
7. Assist to check Final Assessment of Contractor Monthly Progress Payments & Accounts

KPIs

1. Complete within planned schedule
2. Complete within budget
3. Complete with target construction quality score

2. Supervise maintenance and servicing works carried out by contractors
3. Conduct routine building inspections and monitor the performance of the mechanical & electrical systems
4. Carry out breakdown maintenance works (eg. electrical, sanitary, plumbing, painting and building repair works)
5. Attend to breakdown of building services and tenants' service calls
6. Conduct fire and safety procedures
7. Assist and support any adhoc work assigned

To manage company's purchasing costs, for new build and existing properties under management.

Your responsibilities shall include the following areas:

• Call for quotations
• Evaluate quotations and prepare cost comparison table
• Negotiate with suppliers
• Work with project managers from pre-tender calculations to closing of final accounts, including VO costing
• Checking of contractor progress claims
• Work within budget allocated
• Attend meetings

Requirements:

• Degree/Diploma in Commercial Management/Quantity Surveying
• Able to work independently with strong problem solving skills
• Possess sense of urgency and diligence
• Proficient in Google Suite and Microsoft Office applications (advance level preferably)

Good to have:

• Related experience in purchasing a plus
• Possess technical knowledge in property & facilities management a plus
• Understanding of office documents and construction drawings
• Exposure to the built environment, real estate sectors
