The Senedd’s Venues and Events team ensures that Senedd estate customers have the best possible experience of our venues and venue support.

As the Venue Bookings Assistant, you will be responsible for corresponding with organisers during the application process for activities on the estate - which will include events and meetings.

You will work with a team to support the delivery of a high profile program of events to Senedd Members, their support staff, Commission staff, contractors, and the public.

You will also be working closely with the Events Officers, to deliver Member of the Senedd sponsored events and activities.
As well as supporting virtual, hybrid and in person activities, you would be consulting with Members and stakeholders, whilst providing organisations and charities with a platform for their causes.

The booking team play a vital role in advising customers on the best format for what they are looking to achieve, whilst liaising with high profile stakeholders, providing an exemplary service to be proud of.

Key tasks:
- Capture and record information about upcoming activities in a thorough and accurate way;
- Work with team members to provide contact centre cover for phonelines and shared email inbox ensuring customers consistently receive a first-class service;
- Provide well informed advice to customers regarding meeting and event spaces - which will include Senedd Members and support staff, Senedd Commission staff, and external customers;
- Support the Parliamentary Events Team with administrative duties, customer relations, and record keeping;
- Support delivery of activities on the estate, with leadership and guidance from the Parliamentary Events Officers;
- Communicate with internal stakeholders to ensure their support when required - such as Interpretation, Security, Porters, and Audio Visual;
- Provide support to the wider service, to maintain an organised workspace – including keeping a record of resources available for meetings and events;
- Consistently follow established policies and procedures;
- Record information accurately for corporate KPIs;

Job Specific criteria:
1. Experience of providing well informed advice to customers in a front line environment;
2. Ability to be concise and accurate when corresponding with stakeholders especially when resolving issues;
3. Experience of using Microsoft Excel, Word, and Outlook;
4. Excellent organisational skills, with the ability to action multiple tasks simultaneously and prioritise accordingly.

The Welsh Parliament is the democratically elected body that represents the interests of Wales and its people. Commonly known as the Senedd, it makes laws for Wales, agrees Welsh taxes and holds the Welsh Government to account.

The security department is an integral part of the Senedd. As a Security Officer you will be responsible for the safety and security to all those who visit or work at the Senedd.

You will also be the first point of contact for Senedd Members, Senedd Members’ Support Staff, Commission staff and other persons who work at or visit the Senedd estates. We attract tourists travelling from overseas, school visits, as well as charities and VIP guests, such as the Royal family, Ambassadors and major sports homecoming events. We are open 6 days a week allowing visitors the opportunity to explore the public spaces of these iconic buildings during opening hours.

We are recruiting a Public Information Manager within the Public Information team. The role will work with our colleagues across the Senedd to deliver a seamless customer journey across all our services. We are currently aligning the Public Information teams work with other public facing teams ensuring consistent messaging across all touch points.

This is an excellent opportunity to gain experience in leading a small team during a time of change as we digitalise our service, improve our ICT and business systems to enhance customer engagement opportunities and services.

Reporting to the Public Information and North Wales Office Manager, the successful candidate will be one of three, managing a small team to deliver the day-to-day operations and lead on service improvements highlighted in the team’s strategy and our corporate priorities.

The Public Information team provides a bilingual, impartial information service to raise the public’s understanding and interest in the work of the Senedd. This post will work closely with other managers within the Public Information team who manage customer service and engagement bookings.

The purpose of the team is to support those that contact us to find their way to the resources, guidance, and knowledge needed to engage or participate in politics, devolution, and the work of the Senedd.

This role requires a good eye for detail, knowledge management experience, the ability to prioritise resources and to demonstrate flexibility when dealing with conflicting priorities and political sensitivities.

You will have strong research, communication, ICT, political awareness, customer service and team building skills.

Location
This role will be agile, with a mixture of office and home working. You will be provided with the support and equipment you’ll need to work from home. There will be a requirement to attend the office in Ty Hywel, Cardiff Bay 3 days per week (Tues-Thurs).

Pattern of Working
This is a full-time post although flexible working arrangements will be considered, subject to meeting the needs of the Senedd and its Members. There is a rota system in place for the contact centre from 8:20-17:30 Monday to Thursday 8:20 – 17:00 Friday and Recess. Contact centre is a shared responsibility with the wider customer service team.

The Learning and Development (L&D) team is responsible for the Senedd’s learning offering, delivering in-house training solutions as well as sourcing appropriate external suppliers, ensuring the best use of organisational resource. The team focusses on building organisational capability through its learning and Organisational Development (OD) initiatives.

The team are responsible for the design and delivery of the Senedd Commission’s Organisational Development People Strategy, managing the Senedd’s Performance Management approach; development programmes (Apprenticeship, Graduate and Work Placement schemes); staff engagement approaches; and facilitation of team and service improvement or strategy development activities.

The Learning and Development Administrator will be responsible for supporting the administrative functions of our organisation's training and development initiatives which includes the coordination, administration, and logistics of various learning programs to enhance staff of the Commission’s skills and performance.

You will be required to book and make payments for all training requests and to maintain all L&D records, budgets and spreadsheet. You will also be required to manage the teams shared inbox and respond to customers appropriately. The role will also include the development of the Senedd’s annual training calendar in conjunction with the Training Officer.

You will be responsible for providing administrative support for the team, and will be a key point of contact for Senedd Commission Staff and Training Providers. Working as part of a small team as well as on their own initiative at times, the post holder will report directly to the Learning and Development Manager.

We are looking for a Legal Adviser to join our Legal Services team at the Senedd. This is an exciting opportunity to play an integral role in the Senedd’s work as it represents the interests of Wales and its people.

The Senedd Commission is the corporate body responsible for the provision of property, staff and services to support Senedd Members in their work.

With the addition of the successful candidate to the team, the Commission’s Legal Service will comprise sixteen legal advisers. The Service provides legal advice to the Llywydd, the Chief Executive, Committees of the Senedd, individual Senedd Members and other Commission colleagues on a wide range of legal issues. Notably, the team also advises Senedd Members on their scrutiny of the Welsh Government’s proposed legislation.

You will be expected to develop working relationships with other Commission departments as well as with a variety of other bodies, such as the Welsh Government and the devolved legislatures in Scotland and Northern Ireland.

Your knowledge of public law, experience, and interpersonal skills will play a vital role in providing both legal advice and legal scrutiny of legislation to the heart of Welsh democracy.

We are looking for an Education and Youth Engagement Team Manager to lead and deliver impactful engagement programmes with young people in communities across Wales. We are committed to providing opportunities for children and young people to engage and learn about the work of the Senedd. This role focuses on managing an outreach programme for young people across Wales.

The Senedd’s Education and Youth Engagement Team provides a range of educational programmes, in person on the Senedd’s estate, in educational establishments across Wales, and online. In doing so, we are able to increase awareness of the role the Senedd performs, improve understanding of the work of the Senedd, and increase participation in the Senedd and the Welsh Youth Parliament’s work.

You will lead a team of Education and Youth Engagement Officers based across Wales to develop an engaging outreach programme targeting young people across all communities in both education and youth work settings. You will also play a key part in managing strands of the Welsh Youth Parliament programme, organising meetings and events for the 60 Welsh Youth Parliament Members including residential weekends in Cardiff, whilst working closely with the Youth Parliament Manager, and the Siambr Hywel Manager to ensure a consistent and worthwhile approach to educational visits to the Senedd Estate.

Since its establishment in 2019, the Welsh Youth Parliament has been supported by our Education and Youth Engagement Officers. Your role will be to manage the workflow of the team in supporting young people and in delivering the Welsh Youth Parliament programme.

The role will include organising and providing various programmes with young people in schools, colleges and youth groups across Wales, to increase their level of interest and understanding of democracy, and enabling young people to have their say.

The successful applicant will also support the work of the Welsh Youth Parliament in planning and implementing its election, regional meetings, public events and residential weekends. There will be some work in the evenings and on weekends at times. You may be expected to travel within your role, and you will sometimes be required to stay overnight, and there will be an opportunity to work from home.

The ability to communicate fluently through the medium of Welsh is essential for this position.

You will play a pivotal role in supporting financial management and decision making processes within the Senedd Commission . Your expertise in financial analysis, budgeting, and management information reporting will contribute to the efficient allocation of resources and the achievement of the organisation's financial objectives.
Your main responsibilities will include; managing the monthly reporting process; improving management accounting practices; strengthening the control environment; analysing in-year budget performance, producing the Commission’s annual budget and supporting the project boards and financial reporting requirements for two significant muliti year programmes of work.
You will be adaptable and proactive in applying your financial experience to deliver high standards of financial management across the Senedd Commission, so ensuring effective stewardship of public funds and contributing to the Commission’s goals in supporting the Welsh Parliament/Senedd Cymru.
