Summary
The Recruitment & Admissions department seeks a full time Associate Director, Recruitment Events and Campus Visits.
This position is responsible for working in tandem with Recruitment & Admissions leadership to target appropriate populations to maximize attendance and enrollment growth. Creates meaningful programming and delivers high quality service to all prospective students and families through campus visits, tours, phone calls, on and off-campus events. Must be able to work evenings and weekends and travel is required. Responsible for assisting with campus visits and on and off-campus events including the development, planning, logistics, implementation, and administration.
This position is In-Person.
Essential Functions
In tandem with Recruitment and Admissions leadership, develop, plan, implement, and assess including all logistics for all events, including webinars, regional recruitment receptions offered off-campus, counselors, influencer, and group visit events.
Establish schedule of events, workshops and activities each academic year to include type of event and identify specific prospective student population for the focus of the event.
Coordinate with the Recruitment and Admissions marketing liaison for event promotion, including but not limited to RSVP management, email, flyers, texts, calls and digital ads.
Create agendas, surveys, presentations, job assignments and any related materials for each event.
Collaborate with Campus Event Services, Catering & Dining Services, Student Affairs, and Public Safety offices to coordinate campus events. Notify appropriate campus offices of any Saturday and atypical openings or special events (Campus Police, Facilities, etc.).
Liaise with schools and colleges to ensure appropriate representation for campus events, as well as plan and implement any requested school or college related events.
Coordinate with Recruitment and Admissions staff to ensure roles are assigned and explained.
Provide administrative support by preparing and compiling research and materials that educate staff about industry best practices in event management and recruitment.
Recruit and coordinate student volunteers at events, such as Open House and Counselor fly-in.
Evaluate each event and prepare comparative reports and analyses, making recommendations for future program improvements and facilitate a team debrief meeting.
Direct responsibility and oversight of recruitment inventory.
Monitor and notify marketing liaison when reorders are needed within appropriate timeframes.
Identify new promotional items that are relative to each audience for recruitment.
Oversee inventory storage area, ensuring proper labeling, organization and tidiness.
Coordinate inventory order fulfillment for events with student ambassadors and guest relations coordinator.
Optimize campus visit program through meaningful programming and delivers high quality service to all prospective students and families.
Review and update the Barry University Student Ambassador Training Manual as needed.
Create customized experiences for group tours.
Update the Directors and in-house counselor on any issues and concerns re: resource needs.
Serve as back-up manager to Guest Relations Coordinator including, but not limited to, schedule appointments, campus visits, group tours, run reports, and oversee Student Ambassadors.
Facilitate weekday and Saturday tours.
In coordination with Guest Relations Coordinator, train all front line staff and student workers to greet and check in visitors, and train Student Ambassadors on tours and event responsibilities.
Attend weekly meetings with student ambassadors.
Manage the Alumni and Volunteer Student Recruitment program.
Coordinate collaborative effort between Recruitment & Admissions and Alumni Affairs to utilize alumni in recruitment of students at college fairs and high school visits.
Maintain Alumni Student Recruitment manual
Train new members and students wishing to participate in the program.
Plan, design and implement the recruitment program supplement recruitment efforts of the Undergraduate Admissions team.
Develop mechanisms to collect feedback from alumni recruiter on their event perceptions, etc.
Perform other duties as required or assigned.
Maintain a high level of confidentiality in dealing with sensitive matters including assisting the Directors with personnel matters, applicant information and contact information of guidance counselors, independent college counselors, high schools and colleges. Qualifications/Requirements
Bachelor's degree in any field of study is required.
Master's degree in any field of study is preferred
1-3 years of work related experience is required.
A valid drivers license is required.
Must be available to work weekends and evenings as needed to conduct tours and attend special events.
Travel required to attend college fairs and special events.
Specialized knowledge of concepts, practices and procedures and ability to use in varied situations.
Comfortable with learning new technologies, computer competency, CRM experience, client contact and relationship building, and training expertise.
Experienced with Student Information Systems, MS SharePoint, (CRM) software, and telecommunications software highly required.
Utilize resources, data, and tools effectively. Should demonstrate the ability to read, analyze, and interpret professional journals.
Manage time, projects, deadlines and delegate when necessary.
Experience in the implementation of programs, workshops with strong emphasis on details and follow up on assignments.
Able to navigate multiple systems of record for accessing official university records; Salesforce CRM Knowledge. Windows operating systems and software, social media aptitude; Microsoft Office Suite; Familiarity with desktop and web based conferencing tools – Skype, Skype Business, Microsoft Lync, Webex, etc.
Demonstrated aptitude for utilizing windows based desktop and mobile equipment including smartphones and/or other smart devices.
Excellent written and verbal communication skills. Effectively present information and respond to questions from prospective students and parents, high school counselors, the university community, and the general public which may include public/group speaking engagements. Ability to write reports and business correspondence. Ability to articulate the value and benefits of a liberal arts education to a variety of audiences.
Excellent interpersonal skills, cross-cultural communication skills, being a good listener. Sensitivity to others and ability to work well in a team.
Demonstrated strong skills and a track record for sustained measurement of program outcomes, ability to work independently and with and through others to achieve desired results.
Facilitating the campus visit experience and alumni recruitment program by translating our University mission and core commitments to the extent necessary for students to envision themselves as Barry University alumni.
The successful candidate should possess excellent written and oral communication skills and a conflict resolution skill set. Knowledge of industry standards in admissions, financial aid, and registration required. Public Speaker.
