Property and Facilities Helpdesk Co-ordinator - Newcastle (Hybrid Working) - Permanent Opportunity

About the Role
Our client are looking for a Helpdesk Administrator to join their Property & Facilities team. This role is the first point of contact for all internal facilities matters related to the leased offices and stores they occupy. You will be responsible for overseeing the facilities helpdesk, including dealing with reactive property related issues, including logging and allocating work requests to contactors, ensuring they are dealt with effectively, and in a timely and professional manner. You will also assist with the delivery of the Planned Preventative Maintenance (PPM) contract.
The normal working week is Monday to Friday, 37.5 hrs per week. Your start and finish time are to be agreed with your line manager.

Role Responsibilities:
• To act as a central point of contact for property and facilities related matters pertaining to the leased properties we occupy
• Maintain the CAFM system and administer reactive requests from inception to completion
• Assign reactive work requests with a suitable Service Level Agreement to the most appropriate landlord, contractor or member of the facilities team
• Aim for a first-time fix approach based on H&S, business impact, maintaining building integrity impacts and manage customer expectations accordingly
• Seek and recommend appropriate contractors where existing supplies do not cover the task and maintain contractor records
• Proactively update open work orders, liaise with sites and manage works requests through to satisfactory resolution, updating CAFM and customers accordingly
• Raise quote requests and Purchase Orders
• Utilise our contractors own Elog books to establish status of reactive and ppm works
• Update statutory compliance trackers in conjunction with other members of team
• Co-ordinate booking in contractors to sites for all PPM and reactive works
• Recognise and escalate any issues as appropriate
• Undertake detailed administration responsibilities as required.

Skills and Experience Required:
• Ideally you will understand building related matters and have experience of operating within a facilities helpdesk role having the knowledge to interpret described faults and allocate jobs accordingly. Some knowledge of HVAC, electrical and other building systems in a commercial setting would be an advantage.

Your new role

You will be working with a leading social housing provider in the North East, as part of a multidisciplinary team, to undertake inspections of residences, to diagnose and make evidence-based recommendations to ensure the housing portfolio is maintained at a high standard. You will be responsible for carrying out a variety of surveys including planned and reactive maintenance repairs, voids, damp and mould and condensation surveys. You will create a schedule of work based on your findings before engaging with stakeholders, such as contractors/developers and local authorities, in order to ensure that identified defects have been repaired to the required standard. What you'll need to succeed

Ideally, a technical qualification such as HNC/RICS

You have

• Building surveying experience including property condition and dilapidation surveys and specifying remedial works.
• Hold a Building Surveying qualification HND, HNC or Degree Level, as well as PAS2035 qualifications, Level 2 or Level 5 - or working towards these qualifications.

This role will be part of an established Property team, delivering services a number of public sector clients nationally, and take a positive approach to the delivery of our client's objectives, regeneration objectives and key strategic projects and assist with the delivery of Capita's income targets.

You will be responsible for delivering a range of property services, including regeneration projects, CPO, valuations, development and viability appraisals, lettings and marketing, landlord and tenant, acquisitions, disposals, and property management.

This is a hybrid role based in the North West.

We are open to flexible working and part time options for this position. What you'll be doing:

• Delivery of statutory Asset Valuations for Accounting purposes.
• Leading multi-disciplinary projects and p roviding strategic property advice on high level Regeneration and Strategy projects.
• Provide a professional property service in relation to the management, acquisition and disposal of property and property related interests to the core client and additional external clients
• Maximising the performance of the Client's core operational and Non-operational portfolios
• Undertaking negotiations with public and private sector owners and developers.
• Providing Landlord and Tenant advice on a range of property types.
• Undertaking land and property valuations and disposals for a wide range of purposes.

What we're looking for:

• Professional qualifications - a degree in a property or related discipline, and a Member of the Royal Institution of Chartered Surveyors (RICS).
• Experience of working in a property office environment.
• Experience of delivering strategic land disposals and high profile regeneration projects.
• Knowledge of the CPO process
• Computer literate with an understanding of valuation, GIS and asset management databases where appropriate
• Good communication skills and the ability to work in a busy environment as a member of a team with a positive, enthusiastic attitude to work.
• Confidence in client-facing situations, able to influence and convince, and develop new business opportunities.
• Must possess a full driving licence

You will be working with a leading provider of Social Housing in the North East, as part of their multidisciplinary team to undertake inspections, to diagnose and make evidence-based recommendations to ensure the housing portfolio is maintained at a high standard. About the role:

The primary purpose of the Construction Coordinator role is to coordinate and assist in the management of the project from concept design through to delivery and finalisation; to make sure the project is well-organised and that it runs smoothly.

This role is ideal for those with a background in project coordination or engineering on major construction projects.

• Expertise in building methods, materials, and safety regulations.

Your new role

Based within the Assets & Property team, your role will be to carry out routine and cyclical property surveys, providing technical advice and solutions to any issues that are found.
You will contribute to the longer term sustainability of the housing stock, of over 12,000 properties, whilst aiming to maximise the financial return on the assets.You will monitor asset/stock data to ensure it is updated and maintained within the association.
You will help the team prepare annual, five and 30 year forecasts and budgets to achieve key strategic objectives.


What you'll need to succeed

A minimum of 2 years' experience carrying out building surveys within a social housing / local authority setting
Knowledge of Decent Homes Standard/HHSRS
To be able to use relevant asset/property database systems
