Job Purpose: - To provide administrative support to the corporate and divisional Patient Safety & Quality Teams. - To support the DATIX System Manager with the administration of the Trust Risk Management Software (DATIX). KEY RESULT AREAS To attend all Trust mandatory training including: - Corporate induction - GHNHSFT mandatory training (to include Infection Control; Safety Awareness; Fire Safety; and Information Governance Access and management of confidential personnel/staff records Prepare the Service Level Agreements for the GP surgeries and External Community Hospitals. To be responsible for distribution of Customer Questionnaires for internal and external service users and collate data analysis of the results in graph format. To ensure customer complaints, non-conformances and Datix are actioned, reported and logged within the QMS documentation. To complete non-conformance spread sheets and perform monthly trend analysis reports. Attend and actively participate in Management Review and Quarterly Quality Meetings to assess progress against Departmental and National Objectives. Responsible in assisting in reconciliation of ordered goods against delivery notes and receipt against orders to enable invoices to be paid. If necessary, take action to follow up outstanding orders, damaged goods and stock deficiency. In addition, to maintain and monitor stock levels of materials and processed items, including rotation, delivery, returns, overnight delivery and urgent requests due to operational service pressure demands. Communicating with Procurement, NHS Logistics and users of the service, to ensure an effective customer-based service is maintained, dealing with enquiries and queries from customers and clients. Responsible for updating HESSDA, the electronic Tracking System, with regard to tray tracking and sterilisation in order to ensure that full traceability of equipment takes place. Liaise with all users of the service to ensure an efficient and effective service delivery that is customer focused at all times, including acting as liaison with theatre/medical nursing staff regarding any follow up action required on matters of service delivery. To ensure use of any appropriate personal protective equipment as required by task and management. To deliver a high standard of customer service, communicating effectively with all levels of staff across departments (including all internal and external customers).

You will work alongside the clinical and administrative teams to provide friendly and efficient support to the department. You will work with the MDT with all grades of clinical staff. Your stock control role will involve managing levels of stock and stock rotation. You will order stock as required via systems such as P2P, GMS ordering and CVIS. You will need to liaise with the clinical team and report any issues such as supply issues to the ward manager. You will need to be flexible and able to learn new skills as the department expands. Providing the best service to our patients is vital and you will therefore be passionate about patient care, with a proactive and patient focused attitude.

To help identify any Data Quality issues in order to understand the problem and come up with solutions that work not just for clinical purposes but to ensure that the Service are able to be reported and billed correctly. To help provide knowledge of Data Quality issues in order to ensure the data that is provided internally and externally is complete, timely and accurate. To help provide technical expertise in the capture of data within the Trusts Information Systems, including developing and refining standard operating procedures, reviewing operational system processes by users to enhance Data Quality. To have good analytical skills or a background in NHS Operations to provide support and expertise to the Data Quality Lead, Data Quality Manager and the Business Intelligence team in relation to data quality issues.
