• You will serve as the on-site representative for inventory management of depot maintenance material and direct oversite of supporting warehouses.
• You will ensure proper flow of incoming and outgoing inventory to support maintenance planning and production.
• You will determine current and anticipated storage requirements and advise supervisors.
• You will continuously review warehousing activities to ensure processes stay current with required support as well as maintaining best utilization of space and equipment.
• You will analyze command regulations, operating procedures and command policies to determine the impact on affected areas of operations.
• You will perform stock reconciliation.
• You will coordinate special services required for movement of equipment and material in support of shipping and delivery as well as facility maintenance to ensure proper care and appearance of assigned warehouses.

• Participates in achieving the efficient execution of the program by collecting, tracking compiling, inputting in a timely fashion and analyzing various data.
• Verifies accuracy of data, prepares reports and information and bring trends to the attention of management.
• Maintains a library of current and historical data, statistics, procedures, policies, instructions and reports used by FFSC staff in preparing for and delivering programs in accordance with Navy guidelines and policy.
• Establishes, maintains, purges, and disposes of files and records in accordance with established regulations and procedures.
• Creates, reviews, processes and expends non-appropriated fund (NAF), sponsorship and appropriated fund (APF) purchase requests, marketing requests, expenditures, and obligations for approval by supervisor.
• Serve as APF purchase cardholder, tracking purchases, communicating with vendors, and ensuring all APF purchasing requirements are met.
• Liaises with NAF Accounting and Procurement for NAF and sponsorship fund obligations.
• Reviews financial controls and reports obligations and expenditure, verifying accuracy of all financial data using the appropriate NAF or APF tracking system,
• Consolidates budget estimates and assists with the preparation of NAF and APF projected funding needs
• Reviews data submitted for consistency with previous estimates, current levels of operations and anticipated changes.
• Serves as Trusted Agent for Trusted Agent Sponsorship (TASS) to issue contractor credentials and tracks successful completion of background checks, initial and reoccurring, for government and contract personnel.
• Ensures compliance with applicable directives and instructions, regulations and generally accepted standard of the profession.
• Forwards guidance under area of responsibility to all FFSC staff.
• Tracks completion of required employee training.
• Enters and/or tracks routine reports and surveys and updates to data bases.
• Completes and/or updates web-based or database program input and reports.
• Responsible for coordination and management of APF and NAF property inventories, facility programs, facility work requests and special projects that reside under the FFSC Director,
• Supports supervisors with timekeeping services and personal actions related to NAF and APF staff, including processing mileage claims, processing leave requests, utilizing KRONOS to track time as a timekeeper and providing logistical and administrative support to arrange travel preparation and reimbursement for approved training conference.
• Schedules appointments and meetings in accordance with policies and priorities, and coordinates with the staff as necessary.
• In additional to logistical support, contacts participants and ensures all required materials and services are provided.
• Informs supervisory or conflicts, re-scheduling appointments as needed.
• May serve as representative of FFSC San Diego for certain meetings as directed by supervisor, taking notes/minutes and reporting back to supervisor.
• Independently notes and follows up on commitments made at meetings and conferences by staff members.
• Prepares a wide variety of technical recurring and non-recurring correspondence and other documents ensuring proper format, syntax structure, grammar, timely completion and distribution.

• Familiar with Privacy Act requirements and serve as Functional Privacy Act Coordinator for FFSC San Diego.
• Performs other related duties for program support as assigned.

You will be an important part of the 772nd Enterprise Sourcing Squadron (ESS) support team, the group that is responsible for executing enterprise-wide, installation strategic contracts for Air Force bases in the continental United States, also supporting Air Force medical contracting, the Air Force Civil Engineering Support Agency and the Defense Technical Information Center.

More About the Role:

You will be required to perform high-level administrative and clerical duties in support of contract administration tasks, including providing internal and external customer service with minimal training and orientation. You must have knowledge of commonly used concepts, practices, and procedures within the business field and be able to work independently with minimal oversight. You will answer telephones, type, input information/data into various computer systems, and prepare correspondence, and statements. You may be required to utilize the invoicing, receipt, acceptance, and property transfer (iRAPT), Electronic Data Access (EDA), Wide Area Work Flow (WAWF) and myInvoice applications within the Procurement Integrated Enterprise Environment (PIEE).

Typically, you will:

• Assist in drafting and finalizing award documents applicable to price and cost evaluation support (excluding negotiating);
• Assist in development and maintenance of contract status trackers, payment/ordering trackers, and training validation for CORs;
• Draft and finalize a variety of narrative documents such as request for proposal (RFP) letters, correspondence, memoranda, and briefing charts;
• Assist the PCO with generating routine award actions through the contract writing system that is currently used at the organization;
• Assist the PCO in setting up award contract files using provided templates or other documents;
• Establish and maintain suspense/submittal logs, automated files, worksheets, and databases as needed in a centralized location;
• Proofread records, forms, documents and sort contract records;
• Handle day-to-day issues and activities relating to invoice payments including recording invoice payments and maintaining invoice records;
• Review, research, drafting of proposed responses and generation of copies in support of a variety of tasks to include Freedom of Information Act (FOIA) requests and protest actions or other claims against the agency;
• Coordinate with other contractors, DFAS, and other paying activities to obtain administrative and payment documentation; and
• Provide all summary of activities during reporting period, in the monthly status report.

You’ll Bring These Qualifications:

• Three (3) to 10 years of Office Operations Support experience;
• BA/BS degree in an acquisition related field (Six (6) years of directly related experience may be substituted for the educational requirements); and
• Ability to pass Tier 1 background check (NACI).

These Qualifications Would be Nice to Have:

• Master's degree.

Basic Qualifications:

• 3+ years of experience working with vendors on the development of BOMs and procurement packages

The expected starting salary range for this role is $96,600- $146,200. We may ultimately pay more or less than the posted range based on the location of the role.
