The Payroll and HR Administrator will be working in a multi-site environment, based in Leeds supporting the People function or Heeton UK. The role will focus on the provision of quality payroll support, processing payroll data such as overtime, additional payments, deductions, pensions scheme administration and liaising with operational teams to ensure payroll information is correct when sent to the central payroll team.
You will need to build strong internal relationships to work collaboratively with leaders across the UK sites to deliver timely advice and guidance at all times. Responsibilities, Accountabilities and Duties
Payroll
- Transfer all new starters from the Applicant Tracking System (ATS) to the HRS system, ensuring all details are correct
- To complete the Leaver process including removal from all payroll systems and communicate to relevant departments as appropriate
- Monitor and ensure line managers are up to date with payroll processes
- Ensure payroll compliance documentation is maintained and signed off as appropriate
- Process monthly payroll including submission of additional payments and printing and checking of all reports, maintaining records as required and in line with GDPR
- Check that all rosters are in the payroll system and that all messages are cleared and escalate where necessary
- Check unapproved overtime reports to ensure all working time is recorded
- Ensure all employee data is correct in the payroll system and ensure all starters, promotions or employee changes are actioned, any leavers removed, absence is entered correctly and that cost centres are correct
- Deal with any payroll queries that cannot be solved by line managers, and escalate to the Human Resources Manager where necessary
- Assist the Operations and People teams with support on payroll issues and carry out any ad-hoc payroll reporting as necessary
- Spot check to ensure all National Minimum Wage regulations and Working Time Policy, including rest breaks, are adhered to and escalate as necessary
- Maintain all starter and leaver checklists.
- Adhoc system monitoring and maintenance as required
Compliance and General
- Maintain a relationship with the Central Payroll team
- Train line managers on Payroll system processes, procedures and deadlines
- Be consistent with statutory requirements, support and share best practices and comply with company policies, procedures and initiatives.
- Ensure adherence to National Minimum Wage regulations
- Deal with any employee queries received and either assist, signpost or direct them to the line manager as appropriate
- Adhoc reporting as necessary, including data for Group HR
- To assist in the operation where necessary, and follow any reasonable request by management
What we need from you
- Experience as an HR or Payroll Administrator
- Demonstrate understanding of HR and payroll processes
- The ability to work to tight deadlines - well organised, achieving deadlines for tasks and meeting targets
- Conversant in IT skills e.g., Microsoft Office Suite (Word, Excel)
- Great interpersonal and communication skills
- Personal resilience and the capacity to work effectively and stay calm under pressure
- Ability to deal with confidential information and maintain confidentiality is essential
- Good team working skills
- Must be able to prioritise and organise own workload with attention and accuracy to detail
- Be Self-motivated as you will be working mainly alone as part of a dispersed team
