Service Care Solutions are currently looking for an administrative assistant on behalf of Derbyshire County Council. This position is based within the children's services and is fully office based as the successful candidate will be required to help with providing a reception service for the team.

In this role the successful candidate will provide general administrative support to the team. Some of the duties that you can expect in this role include, but are not limited to:

- organising and management of files
- updating and maintaining spreadsheets
- monitoring of budgets and payment of invoices
- reception duties as and when required
- answering telephone and email correspondence

This role is on an initial temporary contract for 3 months with a view to being reviewed for extension following this period. The pay rate for this role is £14.24 per hour and it will be a full time position for 37 hours per week.

To act as a knowledgeable first point of telephone contact for the MOD Central team, identifying urgent calls and passing on messages/dealing with enquiries in an appropriate manner. To open, sort and distribute post (incoming and outgoing) and receive and distribute other messages. Photocopying, filing and retrieval of information both paper and electronic based. To use a range of Microsoft Office software including Word, Excel, PowerPoint and MS Teams. To assist in the efficient functioning of the MoD Team/Strategic & Commercial Team, including producing accurate and timely reports. To co-ordinate referrals into the MoD inpatient and outpatient service and keep accurate records. To organise own workload using independent judgement to prioritise required tasks and duties. To support the MoD Central Team in organising the administrative function of the team including organising diaries/maintaining Outlook calendars on behalf of the MoD Central Team, arranging/attending meetings, arranging appointments and training events, booking venues and arranging hospitality where necessary. To provide confidential administration support to the general Strategic & Commercial Development team, which will include taking and typing up notes from meetings. Distribution of papers and key documents prior to meetings in line with agreed timescales. To provide a word processing service to the MoD Central Team, which may contain information of a confidential and/or distressing nature. To respond in a courteous and professional manner with clients, visitors and other agencies and their teams. To carry out other general office duties as and when required, including: Collation and distribution of documents Monitoring stationery stocks and supplies Meeting and greeting visitors Ordering refreshments for meetings/events Set up AV equipment Booking of travel and accommodation Collating and inputting data in an accurate and timely manner into both manual and electronic systems. Extracting data from electronic systems and producing reports for both internal and external parties. To provide cover for other administration staff within the MoD Central Team and Education & Development Centre, in times of absence. Be responsible for any development necessary to fulfil the requirements of the post, the knowledge and skills framework and own personal development plan. To take responsibility for own managerial supervision/appraisals. To assist in maintaining and improving services. Assist in maintaining own and others health, safety and security.
