Legal Administrative Assistant

Location: Manchester City Centre

Salary: £12 per hour (weekly pay)

Contract: Temporary until Jan 2025

Hours of working: 37.5 hours per week, Monday to Friday, 9:00am to 5:00pm

We are seeking a detail-oriented and highly organised Legal Administrative Assistant to support our clients legal team. The ideal candidate will assist in all aspects of legal admin duties. ensuring the efficient operation of the legal department. This role requires excellent communication skills, the ability to handle sensitive information confidentially, and a strong understanding of legal procedures and terminology.

Responsibilities:

Administrative Support

• Provide comprehensive administrative support
• Manage and maintain legal files, both physical and electronic, ensuring all documents are organised and accessible.
• Prepare, edit, and format legal documents
• Schedule appointments, meetings, ensuring all parties are informed and prepared.

Document Management

• Draft routine legal documents
• Handle the filing and organisation of legal documents and ensure compliance with legal requirements.
• Assist in the preparation of case files, including gathering and organising necessary documents

Communication

• Act as a liaison between the legal department and clients, court personnel, and other external parties.
• Answer and direct phone calls, emails, and other correspondence related to legal matters.

What we need from you:

High school diploma or equivalent required; an Associate's or bachelor's degree in legal studies, Business Administration, or a related field is preferred.

• Experience as a Legal Administrative Assistant or in a similar role within a legal environment.
• Experience with legal document management systems and legal research tools is a plus.
• Strong understanding of legal terminology and procedures.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

The Academic Partnerships Department supports the University and Faculties in developing and managing teaching and learning partnerships with education institutions and organisations in the UK and internationally. With the University’s focus on expanding its transnational education offering (Swansea University education delivered internationally at partner institutions), the work of the Department and the number and scale of projects has increased significantly. This role will involve providing administrative support to project teams including specific administrative functions necessary to ensure the effective set up and operation of collaborative partnerships, and duties associated with the management and operation of the office. The successful candidate will be required to manage partnership records; provide support with meeting organisation, minute-taking, production of reports and follow up activities as well as partnership specific activities like quality assurance monitoring, manage the day-to-day activities of the Department, including acting as the main point of contact for enquiries and undertake financial duties as required.

The post holder will be expected to be competent in Microsoft applications, MS Teams, SharePoint, databases, and financial management systems. The post holder will be expected to have suitable experience in a similar role and be familiar with processes of the University or similar organisations. Excellent communication skills including the ability to liaise with senior University staff and external bodies will be essential to this role.

Responsibilities

About this Job
A challenging and exciting opportunity exists for the right person to form part of Mid and West Wales Fire and Rescue Service in the post of a Clerical Assistant. The successful individual will be responsible for providing clerical support to the Operational Equipment and Assurance department and to attain the department’s goals and effective and efficient administration of the Operational Support team with the use of the dedicated computer applications to record and maintain records. You will be responsible to process and monitor, cross-reference and confirm validity, and accurate completion of works before passing to finance and allocate work streams for the operational support team of hydrant inspectors.







The Person
Suitable applicants will have already demonstrated achievement with the appropriate administrative qualifications at NVQ Level 4/HNC/HND and/or appropriate experience.

You will have the skills and aptitudes to operate effectively at a Clerical Assistant.
