The purpose of this role is to provide comprehensive administrative, communications and marketing support to Greater Manchester Cancer Alliance Communication and Engagement Team. The post holder will work very closely with the team in engaging across the GM health and social care system, and will be a point of contact for staff and stakeholder queries about comms and engagement activities.
The postholder will lead in providing administrative support collating social media and wider comms analytics for our regular board meetings and in producing, uploading and monitoring a range of communications content about the Alliance aimed at both public and professional audiences. This will include creating content for our social media channels, using graphic design software and linking in with bigger PR stories and events, such as national NHS England toolkits and identifying opportunities for social media content which fits with Alliance objectives.
The post holder will be an excellent communicator with good engagement and influencing skills, be an effective communicator with the ability to work across different stakeholder groups both within the GM Cancer Alliance and more widely across the Greater Manchester conurbation.
The post is full-time, although flexible working will be considered.
This is a varied role, and the successful candidate will be expected to demonstrate excellent communication and interpersonal skills, be a proactive self-starter and show they have the ability to work autonomously and prioritise tasks. The successful candidate will have experience of creating content for our social media channels, using graphic design software and using Microsoftexcel. They should also demonstrate excellent writing skills.In addition, applicants will be required to have strong analytical and reporting skills. Greater Manchester Cancer Alliance is one of 21 Cancer Alliances in England, operating as the cancer arm of the GM Integrated Care System. From an HR perspective, the Cancer Alliance is hosted by The Christie NHS Foundation Trust.
DUTIES AND RESPONSIBILITIES
GENERAL ADMINISTRATION
· Develop good working knowledge and relationships with key contacts and stakeholders across the GM system who play a role in communications such as GP practices
· Monitor the Communications inbox
· Help with the distribution of posters, leaflets and other materials for key campaigns
· Create systems to monitor and report on progress across all our communications campaigns such as media coverage and social media reach and impressions
· Field all queries relevant to the Comms team, offering advice and directing queries to the relevant individuals as appropriate
· Provide secretarial support to the Comms team and support note taking at meetings when required
COMMUNICATIONS
· To support the Communications Team to implement the public relations and external and internal communications strategies for Greater Manchester Cancer Alliance, who are hosted by The Christie NHS Foundation Trust.
· To help deliver both a proactive and reactive communications to raise the profile and understanding of the work of the Alliance, enhance their reputation and promote awareness of their aims and achievements in ways which are appropriate for their different audiences (including the general public, patients and carers, Alliance staff and partners, colleagues working in cancer services, both in the NHS and more widely.)
· To assist the Communications Team in proactively promoting Alliance initiatives via regional and social media, with support from the Communications and Engagement Manager and/or Communications and Engagement Officer.
· To take a leading role in supporting the Communications and Engagement Officer with gathering and uploading content to the Alliance’s website and social media channels, including supporting wider Alliance teams in updating their own content on the site appropriately.
· Create content for our social media channels, using graphic design software and linking in with bigger PR stories and events, such as national NHS England toolkits and identify opportunities for social media content which fits with Alliance objectives
· Monitor social media coverage relating to the Alliance and communicate to colleagues/key stakeholders as applicable. This will require populating and creating excel spreadsheets and using Power Point
· Work with the Communications Team to monitor and respond to social media comments using pre-signed off copy
· Work on specific projects in agreement with the Communications and Engagement Manager.
· Carry out a range of administration duties including, but not restricted to, managing image files and sending out copies of photos to key stakeholders
· Maintain confidentiality at all times and comply with the Data Protection Act and GDPR when handling sensitive and personal information e.g. through general enquiry emails.
FINANCE
· Keep budgetary records on behalf of the Comms Team with the support of the Comms and Engagement Officer – particularly in relation to Facebook advertising spend
· Raise purchase order requisitions, invoice external organisations, process personal payments, ensuring that processes comply with the Alliance’s Financial Instructions
GENERAL
· Prioritise workload by assessing multiple and urgent work requests with varying deadlines to ensure personal deadlines and those of the team are met to a high standard.
· Attend exhibitions and events to network and raise the profile of the Cancer Alliance as appropriate
· Work flexibly around the Alliance needs, to include early mornings and evenings on an adhoc basis
· To undertake any other duties commensurate with the grade of the post
· Undertake all essential training relevant to the role
· Engage proactively in all personal appraisal, and work to improve all aspects of service delivery
