The Lead Advanced Medical Support Assistant (AMSA)/Ward Clerk collaborates and communicates with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacist, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
The Lead AMSA/Ward Clerk performs administrative, receptionist, and other duties as assigned for the proper and timely treatment of patients on inpatient wards. They assist with clinic access contingency plans as conflicts with staffing and/or coverage occurs. The Lead AMSA/Ward Clerk may be required to cover in more than one inpatient ward/area. The Lead AMSA/Ward Clerk will assist in orienting and providing on the job training for new and current employees ensuring training requirements are met and acts as a liaison between staff and Supervisory AMSAs.
Supports patient safety standards using the correct Veteran's Affairs Identification of all patients using two forms of proper identification. The patient may also present the Veteran's Health Identification Card (VHIC) for identification.
Lead AMSA/Ward Clerk independently sets priorities and organizes work to meet deadlines, ensuring compliance with established processes, policies, and regulations. Lead AMSA/Ward Clerk will obtain assistance from Supervisory AMSA for any issues that may occur.
Communicates tactfully and effectively by phone, in person and in writing with external and internal customers. This may include preparing reports in various formats and presenting data to various organizational levels. As front-line contact with patients and staff, the incumbent sets the tone for perception concerning quality of healthcare services. A high degree of tact and diplomacy is required when dealing with veterans.
Has ability to operate computerized programs and systems to enter, modify, and retrieve sensitive medical and patient identifying information into or from electronic health records, scheduling systems and/or reports. Computer systems include but are not limited to: Veteran's Integrated Architecture Systems (VISTA) VISTA Scheduling Enhancement (VSE), Computerized Patient Record System (CPRS), Outlook Office Suite, Microsoft Teams, Bed Management Solutions (BMS), Bio Point, Internet browsers, etc. Incumbent must also have solid knowledge and be able to use several types of office equipment to include fax machines, multi-line phone system, printers and copy machines.
Incumbent must have knowledge of eligibility for VA healthcare, priorities for care, release of information, Health Information Portability and Accountability Act (HIPAA) laws, and Non-VA Care programs.
When performing Lead AMSA/Ward Clerk duties as Patient Effects clerk, incumbent will follow the standard operating procedure for Patient Effects. This includes but is not limited to collecting patient property from the designated storage closet in the Emergency Department, properly tagging and labeling veteran property, and storing in patient effects area according to policy. When performing Lead AMSA/Ward Clerk duties as Patient Effects clerk, incumbent will ensure every veteran or clinical staff member taking belongings has signed in on the clipboard and signed for the valuable envelope if applicable before releasing veteran belongings.
The Lead AMSA/Ward Clerk is responsible for timekeeping and posting time daily for each employee. They are responsible for submitting proxy time submission when requested by the supervisor. Lead AMSA/Ward Clerks will enter premium pay requests as directed by Supervisors.
The Lead AMSA/Ward Clerk can grant clinic access for AMSA/Ward Clerks assigned to Inpatient units.
Incumbent will be responsible for checking VPFS for patient funds when veterans are discharging from inpatient unit. If funds are available, the AMSA/Ward Clerk will give veteran appropriate Patient Withdrawal of Funds Form 10-2675.
