Within the Material & Services branch in Singapore, the Repair Order Administrator is responsible to oversee the day-to-day operation of the repair services administration and expediting work.

OVERALL OBJECTIVES

The Repair Order Administrator is contributing to management of Aerospace Material repaired with vendors based in Asia region. Assurance of parts availability is their primary objective. KEY RESPONSIBILITIES

The Repair Administrator is responsible for:

- Repair Order creation and dispatch

- Follow the repair logistics flow and assist in resolution of shipping issues to ensure parts shipped/arrived in a timely manner

- Approve the quotation of its perimeter with support if needed of the Technical department

- Manage the day-to-day Repair administration and warranty operation

- Monitor the lead time of repair to fulfill customer or inventory requirements

- Track repair cost/SPT versus contract price/SPT where applicable to ensure vendor compliance

- Administrate the weekly status reports from vendors and record the information in the relevant IT Tools (currently Base RPEX) once a week at a minimum

- Update all IT Tools (Astre, Base RPEX, GOLD, ….) in a timely manner to provide reliable datas to internal and external customers

- Apply the Repair or Buy process

- Record Customer Induced Damage claims

- Monitor and clear invoicing issues

- Monitor and clear the discrepancies after reception in coordination with the relevant Quality Controller

CONTEXT/ENVIRONMENT

The Repair Order Administrator is in the Customer Service Team in the Material & Services Directorate of Air France Industries. The Business Unit is supporting Customers on Flight Hours Services, closed loop long-term contracted customers in Asia (APAC and India) and has to provide Material in serviceable condition to respect its contractual obligations.

To this end, Air France Industries has decided to establish a Logistics Center in Singapore to support existing contracts and future business ventures more efficiently within the Asia Pacific region.

In a highly competitive environment with a strained supply chain, managing turnaround times (TAT), repair costs, and logistics expenses are critical challenges for renewing existing contracts and securing new ones.

In addition to supplying materials to customers, Air France Industries and more precisely the Customer Service Department aims to enhance local repair activities to reduce overall turnaround time and costs by sending unserviceable parts for local repair.

A primary responsibility of the Repair Order Administrator will be to manage these local repairs and assess the performance of OEMs and Repair MROs.

KNOWLEDGE, EXPERIENCE and COMPETENCIES

Knowledge and Experience:

• Diploma in an aerospace/purchasing/logistics discipline is preferable but not mandatory;
• No previous relevant experience required;
• Knowledge of aircraft materials airworthiness paperwork and/or logistics is preferred;

PURPOSE OF THE JOB

The purpose of the Manager Sales & Customer Support is both:

- to implement sales strategies to grow/develop PBE revenues from his geographical area and

- Performs first configuration of the contract within the IT systems (ASTRE, Descartes, SAP) and secures its updates for the contracts of her/his responsibility

6. Monitor the activity and performance of our Business Unit in regards to our contractual obligations

- Measures performance due to his/her customers (KPI)

- Ensures that action plans are taken by operational Business units to reach contractual commitments

- Secures reliable coordination and communication with the Operational Customer Expert (CSE)

- Ensures the measurement of the financial performance of the contract leads the operational units in reducing

the costs linked with the contract and is responsible to secure and/or improve the financial margin of the contract.

- Drives regular “Performance Review” meetings with the customer about the service provided

7. Contribute to maximize revenue from already existing contracts

- Secures that additional and/or excluded services are invoiced and paid accordingly

- Solves invoices disputes with the customer

- Manage directly operational deals for high value or large scope (thresholds TBD)

- Follow the deal operationally (quotation, delivery, invoice, IT update…)

- Negotiate conditions (availability, pricing …) with the Product if necessary

- Contributes to the debt reduction

8. Measure the customer satisfaction and takes all necessary actions to improve it

- Presents the customer satisfaction questionnaire to the customers (at least once a year for significant customers), collecting the answers and filling in the related database

- Participates in analyzing and synthesizing regularly the Business Unit satisfaction results for regular reporting in the BU Management meeting and to the Marketing department

- Participates in defining the action plan to improve the customer satisfaction

9. Mentor & train junior Sales & Customer Support Manager

- Mentor & guide younger CSM to learn and progress by sharing his experience

- Perform visual and physical quality inspection of components back from repair vendors or customers

- Unpack and check the delivered items are correct with respect to part numbers, description, specification and order reference as stated on the Delivery Order/Note or Packing List

- Check the appropriate Authorised Release Certificate/Certificate of Conformance/Workshop report are provided for items. Contact the respective Repair Department in case of discrepancy.

- Report any Suspected Unapproved Parts to Quality Executive and Manager

- Perform system administrative reception of components, recording, archiving of paperwork, discrepancy management, follow-up of technical control with Quality Executive and provide despatch instruction

Purpose of the Job

1. Must ensure operational integrity for flights by strictly complying with safety andsecurity regulations, following

procedures and regulations established in the operational and safety manuals in force.

2. Manages quality standards in order to ensure customer satisfaction, controls cost at lowest possible level and

• Support the supplier in the implementation the AF/KL operations projects.

required on a per- shipment and flight level.

- Take local actions to correct any deviations or discrepancies and report to Regional Operations Manager,

AODs and Market Manager.

response.

discrepancies.

4. Cargo Handling

• Export & Transit : while on roster, guarantee build-up plan instructions for South East Asia flights (or trucks) based on the final booking list, which will comply with all legal and procedural regulations
• Elements are:

- Loading instructions for special loads like heavy and big shipments.

- Ensuring clear loading and buildup instructions.

- Control and enforce adherence to the AFLS processes i.e. Queue treatment & creation; flight planning;

- Organize and steer local trucking operations in case applicable.

• Import :

- Organize arrival manifest’s review for irregularities prior to flight arrival, problems’ anticipation and

instruction of third party on necessary actions to alleviate or minimize consequences.

- Organize future flights’ preview for potential conflicts, especially for cargo planned from another station.

• Communication :

- Messages with regard to individual shipments, ights and other events must be sent correctly, on time

and according to pre-defined procedures to relevant and specified parties.

5. ULD and Stock Control

• Guarantee available equipment and consumables used for handling
• Elements are :

- Guarantee equipment is monitored by third-party staff , recognize training needs and organize locally

- Ensure ULD stock information is communicated timely and correctly

- Ensure station stock is managed effectively at lowest possible cost

6. Finance and Accounting

• Correct and on time handling of invoices in compliance with accounting procedures.
• Ensure GHA performs correct other charges collection procedures
• Guarantee and / or perform the execution of the initial audit on all invoices for services performed at the stattion included but not limited to the handling invoice, equipment leases, maintenance, and consumables such as plastic, wood, etcl.
• Steer and / or lead any discussion with suppliers on all cost discrepencies

Due to the departure times of the most of the SE Asia flights, it will be required on occassions to work outside normal office hours as part of the predetermined roster or even on ad hos basis. This will be considered as standard practice for the function for which no compensation is granted.

2. Manages quality standards in order to ensure customer satisfaction, controls cost at lowest possible level and

optimize aircraft (and if applicable: truck) capacity, contributing to customer satisfaction and maximization of

load factor while contributing to sustainability leadership goals of the company.

3. Is the representative of the operations team for South East Asia in the station in which he/she is located while

also performing tasks related to ight operations from other stations in South East Asia on a roster basis. In this

capacity, he/she will be required to maintain close communication with both internal stakeholders (e.g. Sales,

Customer Service) as well as with external stakeholders (e.g. GHA, authorities, suppliers).

Key Responsibilities

1. Management / Administration

• Structure and manage an adequate process to supervise the handling process by third parties and/or executing cargo operations activities if needed. Guarantee that all staff of third parties involved in handling of flights, is trained according to regulations standards

- Support and develop the local handlind team through training and evaluation

- Engineering of Local Operations Procedures

2. Compliance: Safety, Security and Customs

• SMS

- Report unsafe situations and actively mitigate risks,

- Ensure to monitor SMS indicators, analyze events and de ne action plans.

- Monitor SMS performance and action during internal review and external meetings with third party

handling company.

- Monitor sta / GHA and equipment to achieve all quality targets and to execute all working procedures

required on a per- shipment and flight level.

- Take actions to correct any deviations or discrepancies and report to AODs and Market Managers.

- Guarantee all tracking/tracing (local) monitoring requests are actioned and ensure accurate and timely

response by third-party handling company.

- Perform regular review meetings with suppliers (a.o. GHA, trucking companies) regular review meetings

for analyzing and taking actions against deviations and discrepancies including CiQ quality reporting

system.

• Compliance: execution and steer towards improvement with local Operations, GHA, local authorities, and industries related organizations,
• Implement and maintain 5 Must haves principles,
• Perform and follow up on performance reviews with GHA and action items coming from audits, inspection and other relevant platforms,
• Maintain current on all relevant training in order to keep up-to-date and have a high level of standard,
• Read and understand content of all operations manual and keep up-to-date with all published changes,
• Monitoring and follow-up on inbound and outbound non-compliance issues for improvement and preventive measures with origin and Hub.

3. Supplier Management

• Manage and continuously improve operational quality via operating mechanisms and quality measurement systems in close cooperation with Regional Operations Manager, Director SE Asia and AOD’s.
• Make report events, SMS performance and action implementation during internal review and external meeting with supplier.
• Support the supplier in the implementation the AF/KL operations projects.
• Elements of the above are:

- Monitor Supplier, sta and equipment to achieve all quality targets and to execute all working procedures

required on a per- shipment and flight level.

- Take local actions to correct any deviations or discrepancies and report to Regional Operations Manager,

AODs and Market Manager.

- Guarantee all tracking/tracing (local) monitoring requests are actioned and ensure accurate and timely

response.

- Perform regular review meeting with suppliers for analyzing and taking actions against deviations and

discrepancies.

4. Cargo Handling

• Export & Transit : while on roster, guarantee build-up plan instructions for South East Asia flights (or trucks) based on the final booking list, which will comply with all legal and procedural regulations
• Elements are:

- Loading instructions for special loads like heavy and big shipments.

- Ensuring clear loading and buildup instructions.

- Control and enforce adherence to the AFLS processes i.e. Queue treatment & creation; flight planning;

- Organize and steer local trucking operations in case applicable.

• Import :

- Organize arrival manifest’s review for irregularities prior to flight arrival, problems’ anticipation and

instruction of third party on necessary actions to alleviate or minimize consequences.

- Organize future flights’ preview for potential conflicts, especially for cargo planned from another station.

• Communication :

- Messages with regard to individual shipments, ights and other events must be sent correctly, on time

and according to pre-defined procedures to relevant and specified parties.

5. ULD and Stock Control

• Guarantee available equipment and consumables used for handling
• Elements are :

- Guarantee equipment is monitored by third-party staff , recognize training needs and organize locally

- Ensure ULD stock information is communicated timely and correctly

- Ensure station stock is managed effectively at lowest possible cost

6. Finance and Accounting

• Correct and on time handling of invoices in compliance with accounting procedures.
• Ensure GHA performs correct other charges collection procedures
• Guarantee and / or perform the execution of the initial audit on all invoices for services performed at the stattion included but not limited to the handling invoice, equipment leases, maintenance, and consumables such as plastic, wood, etcl.
• Steer and / or lead any discussion with suppliers on all cost discrepencies

The responsibilities and tasks of the position are not limited to the above mentioned and change might occur in concert with direct Manager.

Due to the departure times of the most of the SE Asia flights, it will be required on occassions to work outside normal office hours as part of the predetermined roster or even on ad hos basis. This will be considered as standard practice for the function for which no compensation is granted.

PURPOSE OF THE ASSIGNMENT

Within the Material & Services branch in Singapore, the Repair Administrator is responsible to oversee the day-to-day operation of the repair services administration and expediting work.

OVERALL OBJECTIVES

The Repair Administrator is contributing to management of Aerospace Material repaired with vendors based in Asia Pacific region. Assurance of parts availability is their primary objective. The Repair Administrator will work in a fast-paced environment with key responsibility to provide repaired materials in the most efficient and effective manner possible.

KEY RESPONSIBILITIES

The Repair Administrator is responsible for

- Repair Order creation and dispatch

- Follow the repair logistics flow and assist in resolution of shipping issues to ensure parts shipped/arrived in a timely manner

- Approve the quotation of its perimeter with support if needed of the Technical department

- Manage the day-to-day Repair administration and warranty operation

- Monitor the lead time of repair to fulfill customer or inventory requirements

- Track repair cost/SPT versus contract price/SPT where applicable to ensure vendor compliance

- Administrate the weekly status reports from vendors and record the information in the relevant IT Tools (currently Base RPEX) once a week at a minimum

- Update all IT Tools (Astre, Base RPEX, GOLD, ….) in a timely manner to provide reliable data to internal and external customers

- Apply the Repair or Buy process

- Record Customer Induced Damage claims

- Monitor and clear invoicing issues

- Monitor and clear the discrepancies after reception in coordination with the relevant Quality Controller

The General Sales Manager is a member of the Engineering & Maintenance Group sales organisation and reports to the Regional Sales VP.

• New sales target: annual target of EUR 15-30 million (order of magnitude).

Portfolio vision

• Receives a yearly set of targets for new sales and order book objectives per product

Negotiation

• Contributes to the negotiation process with the prospect led by the TSD at all steps (commercial proposal, contract…)
• Together with the TSD, seeks and uses prospect’s input and information, to adjust the sales tactics and the offer content

4. Feeds the organization with feedback on sales activities, customers and the market

Sales activities

• Contributes to the won / lost case analysis organized by the TSD’s to provide all relevant inputs related to the sales case strategy, the decision process, the lobbying and relationship, the competition…
• Reports on his/her activities including trip reports to be loaded in Descartes after each customer visit, meeting, MRO or social event leading to share new information on the market

Market

• Feeds the marketing team and more generally the organization with field intelligence on operators, competitors, opportunities …
• Helps educating the back office to cultural and behavioral features within his/her portfolio
• Provides information on the market and his/her portfolio to the support team (TSD – marketing) for the budget elaboration

Customers

• Shares information with the Units management and support teams (CSM’s) to update the organization on the customer satisfaction level, the required improvements to the services delivered, the new potential needs not yet formalized.

5. Ensures the compliance with the internal commercial process, the competition and safety/security rules, the training and change management frame

• Creates and updates all relevant information in Descartes related to entities, opportunities, sales cases, customer satisfaction….
• Uses reporting capabilities of Descartes to build and share with his/her management the sales activities and business potential follow up: “pipeline” vision, customer mapping, debt situation….
• Checks customer feedbacks and questionnaire results loaded by the CSM’s
• Contributes to risk management and risk transfer to the Units when the contract is signed
