The Bed Management Unit (BMU) coordinates and provides efficient and clinically appropriate ward placement of all patients entering or within the National University Hospital.

Duties and Responsibilities
 Responsible for providing bed allocation services and administrative duties in BMU.

1. Job Purpose

Patient Service Associate is to manage and provide frontline patient services such as patient admission, in-flight / discharge billing consultation, modes of payment consultation, general enquiries handling, birth registration and cashiering.

Overview of Position

Reporting to the modality in-charge, the radiographer is responsible for providing prompt diagnostic imaging services to the patient, ensuring patient safety and proper care of equipment. Primary Responsibilities and Duties (80%)

1. Provide updates on patient’s condition to patient’s relatives eg. Doctor has ordered X-ray, waiting for blood tests results, waiting for available bed for admission...
   Document details of every update in ED Web
   Remind doctor or nurse to update patient’s relatives
   Look out for patients and/or patients’ relatives who require assistance
   Assist patients and/or patients’ relatives with enquiries
   Resolve any PR problems
   Registration of patients presenting at Emergency Department
   Admitting of inpatients
   Discharge of Emergency patients
   Collecting payment for A&E facility feeds and deposit for inpatients
   Financial Counselling process for inpatients
   Handling of general enquiries (over counter & phone)
   Ensure customer service standards are up kept at all times
   Sorting of E-cards in preparation for dispatch to MRO daily
   

2. Handling of General Enquiries through EMD hotline - Apply telephone standards when handling phone enquiries

1. Minimize number of dropped calls
   Follow through enquiries till case is closed
   Track number and type of calls coming in
   
2. SOC Appointment BookingPerform accurate Appt Booking in SAP or liase with Central Appointment Line / Specialist Outpatient Clinics for appointment
   Perform faxing of appointment request and filling in of appointment request for appointments not available in SAP
   Follow through for all appointment requests required by EMD by next working day
   Tracking of appointments requested and booked in EMD
   

Secondary Responsibilities and Duties (20%)

• I. Driving of Ambulance – to be deployed in times of emergency
• II. Buddy and train newly joined PROs
• III. Ensure the Family Counselling Room is neat & tidy
• IV. Additional responsibilities as assigned by Operations Director/Manager/Executive
• V. Keep inventory of supplies and inform Administrative Assistant for replenishment
• VI. Make appointments for patients discharged from Emergency

1. Offer helping hand to Patients in need in the waiting area

Overview and purpose of the position

KidSTART@NUH is a government-led initiative which seeks to provide support services to vulnerable pregnant mothers. This program has been highly successful in helping underprivileged pregnant mothers deliver a healthy baby and to ensure that the newborn gets the best start in life. Through home visits, the program actively engages families, social/community partners and government agencies to provide systematic, integrated and holistic support. The program aims to engage families from the early pregnancy period to maximize the health of both mother and baby, to support breastfeeding and to foster mother-child bonding so as to enhance child development and potential during the first 3 years of life.

The Patient Service Associate role is to provide support in outreach efforts to engage and to recruit new families to join the KidSTART@NUH Merged Home Visitation Programme. Patient Service Associate is part of a care team that will provide identification of needs, anticipatory guidance, screenings and service coordination for clients assigned under their care. Details stated in Job Responsibilities.

Duties and Responsibilities

• Support in outreach efforts to reach out and recruit new families to join the KidSTART@NUH Merged Home Visitation Programme.
• Administrative and Systems Support. Support team with outreach and engagement efforts as required by programme.
• Support intake and enquiries of referrals.
• Employs effective communication and rapport building skills when interacting with antenatal patients, clients, families, and staff.
• Collaborates with interdepartmental and external colleagues with the aim of providing holistic care and optimise health outcomes for antenatal clients recruited under the Home Visit Programme.
• Assist in appointment scheduling and rescheduling and addresses client enquiries. (e.g. teaches the use of the Health Buddy for assessing their records and services (e.g. changing appointments).
• Provide frontline services and general administrative duties at the clinic pertaining to KidSTART programme.
• Support in other administrative and operation needs in patients support.
• Identifying needs and screening. Effectively manage patient caseloads at clinic touchpoints.
• Identify, assess, and respond on the eligibility outcomes of families efficiently and effectively.
• Maintains documentation and complete reporting requirements according to organisation standards.
• Attend to KidSTART patients at counters for registration and payment.
• Attend to KidSTART patients billing and charges if they required financial support.
• Attend to data requests pertaining to KidSTART patients’ information.
• Participate and be involved in the regular reviews of existing programmes and processes with the team.

Secondary Responsibilities and Duties

• Performs other job-related duties as assigned by assigned by supervisor.

Requirements

• Diploma with 2 – 4 years’ relevant experience, or GCE N/O/A Level, or NITEC in Healthcare/Equivalent with 6 – 10 years’ relevant experience
• Working experience in service or healthcare industry will be advantageous.
• Proficiency in MS Office and SAP preferred.
• Proficient in computer skills.
• Team player with good interpersonal and communication skills.
• Pleasant and friendly disposition.
• Possess service-oriented mindset and proactive in engaging with people.
• Able to multi-task and work in a fast-paced environment.
• Ability to maintain calendars and schedule appointments
• Ability to understand and follow specific instructions and procedures
