Job Responsibilities:
Planning and Development
- Provide administrative support and to the Planning & Development Director.
- Support preparatory work for Ops meetings, bilateral meetings and Board meetings.
- Follow up administration matters as necessary including distribution of slides & certificates to centres via (electronic or internal) mail.
- Manage, direct to the relevant departments or centres, reply emails from corporate inquiry email.
- Manage and direct messages on Facebook to the relevant persons. To initiate a generic reply for Facebook messages
- Flag out complaints / negative comments and verify with schools.
- Coordinate activities between school and vendors. eg. photo-taking / yearbook / concert, teaching resources, publications and materials, etc.
- Source for new suppliers with competitive prices.
- Maintain and develop an approved suppliers list.
- To render support to Pedagogy department when required.
New Centres
- Support new school from ordering of inventories, setup of the centre up to the point when the centre is successfully licensed.
- Answer calls from parents regarding waitlist, new school registration.
- Manage PSP list and call parents for new classes before the centre is licensed.
- Assist to set up and manage pre-licensing administration with ECDA and consultants in preparation of pre-licensing inspection, eg. LicenseOne, ONE@ECDA, CMS, etc.
- Render support to AEs and CLs to ensure smooth handover from pre-operation to commencement of centres, for eg. Little Lives, waitlist, ONE@ECDA.
- Obtain quotes from various suppliers and processing required paperwork relevant to the purchasing and receipt of goods.
- Assist with administration, place orders and monitor delivery dates for new centres.
- Raise purchase requisition form for all quotations for new schools’ setups, school projects, etc.
Job Requirements:
- Preferably a polytechnic diploma in any discipline and / or at least 3 years’ experience in an administrative role
- A team player with good interpersonal skills
- Good written and verbal communication skills
- Possess the ability to work well in a dynamic environment
- Able to work independently, multi-task and adapt quickly in a fast-paced environment
- Able to handle confidential information with discretion and integrity
- Proficient in MSOffice Applications
