The Coordinator II, Accounts Receivable is responsible for working with CarMax stores, external partners, customers, and other internal partners to process refunds. The responsibilities in this role are cross-functional across multiple desks.  Duties include performing various accounting tasks such as completing journal entries, account reconciliations, researching and resolving errors or offsets, verifying customer history to ensure adherence to the company policies for issuing refunds, and providing exceptional customer service by resolving email inquiries.  A successful Coordinator II in Accounts Receivable must demonstrate strong teamwork, a drive to deliver timely, high-quality work and a commitment to customer service. 

What you will do – Essential Responsibilities

Typical responsibilities may include:

• Process refunds daily, including completing internal verifications and keying vendor information.
• Review return paperwork and customer history to determine adherence to company policies for processing refunds.
• Perform accounting functions: run basic queries to identify and execute offsets, key entries into financial ERP, reconcile general ledger accounts, and prepare monthly general ledger journal vouchers. 
• Provide a positive customer experience through effective communication with CarMax stores, retail customers, internal departments, and external business partners through various communication methods (e.g., internal systems, phone, email).
• Participate in the planning and development of work methods relating to the processing of customer refunds
• Work on projects as assigned.

• Proficient level of Microsoft Excel required (e.g., Filtering, Subtotals, Shortcuts)

CarMax is seeking a Director of Logistics Safety and Compliance to join the Logistics Team located at the Home Office in Richmond Virginia. As a safety-minded professional, the Director of Logistics Safety and Compliance is responsible for leading a broad range of programs and initiatives including safety, compliance, and training to ensure the prevention of injury and illness as well as continuous improvement and development of the Logistics Safety Program.

This role is designed to build, develop and implement safety and compliance programs to instill an unmatched safety culture and ensure regulatory compliance.  This person is also accountable for influencing and persuading across various levels of the organization, including partners in Legal, Environment, Health and Safety and Executive Leadership.  This role will lead a team accountable for content and subject-matter expertise for best-in-class training programs.

Vision, Strategic Leadership and Collaboration

• Develops and implements strategic initiatives for the Central Support of Fleet Safety and Compliance.

The Logistics Operations Analyst will support all processes and functions of load planning and freight movement.  The Analyst will process and plan shipments and optimize the Logistics network using Oracle Transportation Manager System (OTM).  This role will also review Logistics network data, and work with the Sr. Analyst and Manager to build processes to manage data more effectively and respond to internal and external customer inquiries.  The Analyst will also provide visibility to management and the customer by tracking, conducting process over-sight, auditing, researching and troubleshooting operational issues or functions. The Property Management Coordinator is an integral member of the Real Estate team and will be working directly with and providing logistical support to the Property Manager, in managing a growing portfolio of over 340 owned and leased store and other support locations, tenant leases, license agreements, temporary parking agreements, surplus properties and land held for future expansion.

Primary Responsibilities

• Real Estate Taxes:  Research and process property tax bills, assessments, and notices. Provide tax and property information to the third-party tax appeal consultant and the Tax Department.
• Lease Database Management:  Setup new properties and maintain existing property information (e.g., ownership/landlord changes, critical dates, payment obligations, tax bills and assessments). Upload and maintain electronic property files.
• Critical Date Obligations: Monitor lease database dashboard for critical dates (e.g., expiry and termination dates, options to renew and expand) and send daily synopsis to Property Manager for action.
• Invoice, collect, and reconcile tenant/subtenant/REA accounts.
• Public Notices: Review Notices of Public Hearings to research potential store impacts and share findings with Property Manager.
• Lease Database Testing: Support recurring testing for lease database updates with oversight from Property Manager. 
• Reporting: Create ad hoc reports and maintain existing internal reports using various databases and systems (e.g., lease, tax appeal consultant, construction management, accounting) and Excel. 
• External Coordination: Assist with communications to/from landlords, tenant, and property associations etc. With Property Manager oversight, work with owners and their representatives, CarMax location managers and Facilities to schedule property inspections, repairs, and maintenance.  
• Information Distribution: Send appropriate documents and reports to internal partners (e.g., purchase summaries, new leases, amendments, critical dates, ad hoc and existing reports), and external partners (e.g., insurance certificates to additional insureds).
• Payment Processing: Enter Landlord invoices into the lease database and research any discrepancies in payments. Research unidentified vendor payments and route appropriately. • 2-3 years of relevant professional, business-related experience required.
• Bachelor’s degree preferred but not required. In lieu of a degree, a combination of education, job specific certification(s) and experience will be considered.

• Payment Analysis: Knowledge of and ability to read and draw accurate observations from landlord invoices, statements, real estate assessments and taxes.
• Proficient in Microsoft Office (Outlook, Word, Excel)
• Previous hands-on experience with a property management database (e.g., Lucernex) is preferred, but not required.

This position provides analytical and project management leadership to Accounting and key business partners and will act as one of the points of contact on moderate to high complexity transformational initiatives defined by the management & senior leadership teams.  This position is responsible for leading continuous improvement, developing and executing detailed project plans, reporting to Senior Management & the field, and other tasks as assigned.

PRIMARY DUTIES AND RESPONSIBILITIES

• With minimal direction, Partner with project customers to solidify initiative scope, timelines, budget, and resources. Assemble and lead project teams through the execution of defined objectives. Create and execute project plans, stakeholder analysis, risk logs, communication plans and other project framework artifacts as defined by CarMax’s Project Norms.  Review deliverables and prepare for stakeholder and sponsor reviews. Ensure project artifacts are complete, current, and stored appropriately. Work with project team members and other resources to remove project obstacles. Manage day to day project operational aspects with internal and external business partners/stakeholders (stores, home office departments, and vendors), customers and project team members.

• With minimal direction, Lead and support continuous improvement.  Responsibilities include but not limited to facilitating medium to large cross-functional working sessions, training department associates on implementation and change management best practices, rollout of new concepts and sustainment, and providing business areas with consultative support on medium to large continuous improvement initiatives.

Education and/or Experience

• CSM, PMP or Six Sigma Green Belt certification (preferred)
• Bachelor’s degree in Accounting, Finance or related business degree
• 3-5 years project/process management experience

The Senior Clerk distributes incoming paperwork, administers the payment process and maintains records for the AP department. As a Senior Clerk, you will support our team’s mission to provide value-added services for the company to help “drive what’s possible.” The Accounting team operates in a collaborative environment with uncompromising integrity and accountability, all while supporting company growth through collective expertise, cross-functional partnerships and a mindset focused around continuous improvement. ESSENTIAL RESPONSIBILITIES                        

• Providing administrative support including but not limited to overnight envelope preparation, printing required paperwork, and reviewing support documentation.
• Administering the payment process including check printing and distributions, reviewing payment reports for accuracy, and verifying all electronic files were received and confirmed by the bank; working with accounting and IT resources to resolve discrepancies.
• Distributing incoming mail to Payables area and partnering with other teams to identify proper recipient.
• Maintaining department records including filing and preparing documentation for offsite imaging/storage to ensure completeness and proper record retention.
• Training, maintaining process documentation and supporting testing for system upgrades.

QUALIFICATIONS AND REQUIREMENTS:

• Minimum of 1+ years of business experience required or related degree
• General understanding of basic accounting concepts and account reconciliation experience preferred, demonstrated math aptitude required
• Basic level of Microsoft Excel required (i.e. Sorting, simple spreadsheet creation, basic formulas, cut and paste); basic level of MS Access a plus
• High school diploma or equivalent
