Facilities Maintenance Supervisor
Job Description Summary
Under the leadership of the Facilities Manager (FM), and in support of the Asst. FM, is responsible for assisting with the day-to-day operation and maintenance (O&M) of the facility, ensuring that customer goals and tenant needs are met, with a keen focus on tenant comfort.
The Facilities Supervisor supports the management team with operational activities such as the O&M of the bldg., accounting and finance, direct vendor oversight and coordination, ordering equipment and supplies, occupancy services and proactively developing and maintaining client relationships, ensuring that customer service levels are achieved.
The Asst. FM will ensure that facility maintenance services are being provided in a cost-effective manner and will be intimately involved in the daily routine of the workforce.
Job Description
ESSENTIAL FUNCTIONS
• Provide direct supervision of engineering staff's daily activities.
• In conjunction with the FM and Asst. FM, support the daily shift change meetings, providing direction for each staff member on their daily or weekend activities, incorporating vacation, sick and personal day absences (via Purely HR) as well as overtime requirements.
• Review timecards, create and approve overtime (OT) sheets and monitor the Log Check (Bldg. rounds, PMs and ANSI/ASHRAE 188, Legionellosis water testing) electronic equipment operating log system for compliance.
• Ensure that work order requests are fully completed and in a timely manner. Review comments to ensure tenants requesting work receive timely, accurate and professional responses to their work orders.
• Follow up with customers to ensure that all service requests are completed to their satisfaction.
• Attend weekly scheduling meetings, balancing the maintenance requirements throughout the building such that overall facility maintenance needs are met.
• Escort vendors, provide oversight of their work and support the FM in contract management.
• Ensure that all work assignments are performed in an efficient and cost-effective manner in accordance with applicable codes and manufacturer guidelines. Manage work orders to ensure labor assignments utilize the lowest level of competence/hourly costs for the work. (for example, a licensed tradesperson with an assistant instead of two licensed tradespersons).
• Utilize building management and work order systems (Siemens Desigo, Angus Anywhere, etc.) to operate in the most productive manner possible. Recommend to the F.M. improvements in technology, alternative systems and/or updates as you become aware of them.
• In conjunction with the engineering staff and FM, proactively seek out cost savings initiatives/risk mitigation opportunities.
• Ensure that environmental policies and procedures are being adhered to within the facility.
• On a daily basis, ensure the safety and comfort of tenants is being met, while actively using Angus tenant request data to reduce tenant work orders and eliminate recurring problems.
• Support the Asst. FM in discovering ways to reduce energy consumption as determined by the M - Measurabl energy management software system.
• Utilize the Veolia SourceOne portal for tracking tenant energy usage, assisting the Facilities management team and BXP Property Managers in identifying and correcting anomalies.
• Ensure preventative maintenance (PM) is being scheduled and performed in a thorough and effective manner, in accordance with manufacturer guidelines. Spot-check completed PMs for quality control and accuracy of the PM as written.
• Ensure compliance with regionally directed or client-directed procurement programs. Utilize the administrative support staff to assist in processing PO's and invoices; maintain tracking mechanisms of all expenses for audit purposes.
• Assist in reviewing, with customer representatives, any plans or specifications for additional maintenance, construction, and renovations.
• Maintain paper and electronic filing system of all relevant planning, design and construction-related activity.
• Assist in the compilation of monthly reports and metrics for facilities, sustainability and maintenance-related activities. Support the monthly KPI reporting dashboard with data from the facility.
• Assist management in the implementation of corporate and/or regional initiatives.
• Assist management in maintaining a safe facility by training staff on life safety systems and emergency procedures and programs per C&W Services programs. Comply with all Federal, State and Local Laws.
• Support construction projects and confirm all work meets building standards and codes, in conjunction with the F.M. and customer’s engineering team.
• Must be able to work alternative shifts as required, including nights and weekends.
• Position requires 24/7 availability for emergencies / on-call status.

QUALIFICATIONS
• A minimum of two years’ experience in a Facilities Management role or equivalent field experience. The ideal candidate will also have some formal engineering education (degree or certificate program).
• Excellent verbal and written communication skills and the ability to interact effectively at all levels.
• Must be capable of reading and interpreting plans, specifications, and operational manuals associated with the position.
• Must possess a high level of computer literacy with proficiency in Microsoft Office (Excel, Word, and PowerPoint).
• Must be quality-focused and customer service-oriented.
• Must have prior supervisory/management experience.
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be required to travel outside between properties in varying weather conditions.
