• Participates in achieving the efficient execution of the program by collecting, tracking compiling, inputting in a timely fashion and analyzing various data.

• Maintains a library of current and historical data, statistics, procedures, policies, instructions and reports used by FFSC staff in preparing for and delivering programs in accordance with Navy guidelines and policy.
• Establishes, maintains, purges, and disposes of files and records in accordance with established regulations and procedures.
• Creates, reviews, processes and expends non-appropriated fund (NAF), sponsorship and appropriated fund (APF) purchase requests, marketing requests, expenditures, and obligations for approval by supervisor.
• Serve as APF purchase cardholder, tracking purchases, communicating with vendors, and ensuring all APF purchasing requirements are met.
• Liaises with NAF Accounting and Procurement for NAF and sponsorship fund obligations.
• Reviews financial controls and reports obligations and expenditure, verifying accuracy of all financial data using the appropriate NAF or APF tracking system,
• Consolidates budget estimates and assists with the preparation of NAF and APF projected funding needs
• Reviews data submitted for consistency with previous estimates, current levels of operations and anticipated changes.
• Serves as Trusted Agent for Trusted Agent Sponsorship (TASS) to issue contractor credentials and tracks successful completion of background checks, initial and reoccurring, for government and contract personnel.
• Ensures compliance with applicable directives and instructions, regulations and generally accepted standard of the profession.
• Forwards guidance under area of responsibility to all FFSC staff.
• Tracks completion of required employee training.
• Enters and/or tracks routine reports and surveys and updates to data bases.
• Completes and/or updates web-based or database program input and reports.
• Responsible for coordination and management of APF and NAF property inventories, facility programs, facility work requests and special projects that reside under the FFSC Director,
• Supports supervisors with timekeeping services and personal actions related to NAF and APF staff, including processing mileage claims, processing leave requests, utilizing KRONOS to track time as a timekeeper and providing logistical and administrative support to arrange travel preparation and reimbursement for approved training conference.
• Schedules appointments and meetings in accordance with policies and priorities, and coordinates with the staff as necessary.
• In additional to logistical support, contacts participants and ensures all required materials and services are provided.
• Informs supervisory or conflicts, re-scheduling appointments as needed.
• May serve as representative of FFSC San Diego for certain meetings as directed by supervisor, taking notes/minutes and reporting back to supervisor.

• You will manage shipment solutions affecting off-station shipping of general freight, hazardous materials, Arms Ammunition and Explosives, classified, high dollar value, fragile, security-risk aviation, and ship materials.

• You will review shipping requests for accuracy, communicate with the customer when needed, make corrections, and forward shipping requests to the Regional Transportation Office.

• You will perform as technical advisor on transportation policy matters, providing tracking formation, liaison between military transportation, commercial carriers, customers, and tenant commands.

• You will make necessary arrangements for the movement of material by all modes, using commercial carriers and chartered carriers.

• Plans shipping dates, material pick up and loading times of equipment and material to be shipped from DLA Distribution Depot to other government activities, both overseas and CONUS.
• Performs the day-to-day functions of the verification and payment of invoices utilizing various automated systems.
• Computes and verifies transportation costs and contacts carriers for rates when required.
• Determines economical routing based on technical review of guides and tariffs.
• Reviews automated documentation for all types of shipments taking appropriate action to correct any invalid, void, or missing information.

DUTIES INCLUDE, BUT NO LIMITED TOO:

• Transportation workload forecasting, appointment and admissions scheduling, reviews documents for omissions and inconsistencies, enters information into automated tracking system.
• Performs work involving consult management, appointment scheduling and admissions scheduling.
• Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS).
• Performs a basic analysis of the data and generates a variety of reports.
• Aggregates in-coming data from a variety of sources. Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate.
• Enters pertinent information into an automated tracking system. Receives DSS extracts to verify that the workload being captured in DSS is correct.
• Maintains automated system of program-specific data to track items such as service project milestones, progress reports, program trends, performance measures, compliance strategies, etc.
• Interacts with various other transportation services such as Emergency Medical Service (EMS), Volunteer Transportation Network (VTN), Disabled American Veterans (DAV), Veterans of Foreign Wars (VFW) etc., and other transportation providers.

• You will will serve as a military passport acceptance agent for the Camp Pendleton area of operation
• You will be responsible for all military and civilian no-fee passports, for all branches of service.
• You will establish eligibility for a no-fee passport through the Foreign Clearance Guide and use Visa Passport Automated System (VPAS) to complete the submission of properly completed DD Form 1056.
• You will properly endorse, prepares and assemble passport application packages for submission as mandated by the State Department.
• You will coordinate complex travel itineraries for military and civilian personnel traveling at government expense on official orders.
• You will review travel orders to verify entitlements and official authorization for travel.

Key Role:

Analyze the development and manage schedules that comply with a program's Statement of Objectives (SOO), Technical Performance Requirements (TPRs), Contract Work Breakdown Structure (CWBS), and the Contract Statement of Work (CSOW). Work with DoD clients to establish and monitor the execution of the program towards milestones, key events, and significant accomplishment criteria. Support and manage a project and program schedule that communicates to all levels of the project team and stakeholders effectively. Publish the Integrated Management System (IMS) to a SharePoint site for use by DoD personnel and support junior schedulers in the collection and collation of data and the interpretation of timelines.

Basic Qualifications:

• Experience in project management, applying project management practices, or scheduling concepts 
• Experience using Microsoft Office Excel, Word, and PowerPoint for creating presentations, managing schedules, and organizing information
• Ability to facilitate briefs and trainings, and work collaboratively with others
• Ability to synthesize complex information into clear and concise briefing materials
• Ability to coordinate multiple activities and meet deadlines
• Ability to obtain a security clearance
• Bachelor's degree
