Job Purpose

Ensure efficient sales coordination and business administration for HVAC products in the Cardiff Branch. Responsibilities include processing customer orders, purchasing stock, coordinating deliveries, managing customer service, and supporting branch operations. Also, work with the Branch Manager and Regional Business Development Manager to maximise sales opportunities in the Cardiff area.

Key Responsibilities

1. Uphold the companies core values.
2. Accurately process customer orders and inquiries.
3. Purchase necessary items from suppliers following company guidelines.
4. Coordinate stock transfers and deliveries with other branches.
5. Provide accurate transport quotes and optimise cost recovery.
6. Keep customers informed about order status and delivery.
7. Work with management to maximise sales and business development.
8. Engage in "up-selling" and promote company products.
9. Size and select air movement items based on customer needs.
10. Maintain sales through customer meetings and communications.
11. Manage discounts, stock levels, and credit control with relevant departments.
12. Complete daily and month-end administrative duties.
13. Handle cash and credit card payments for trade counter sales.
14. Participate in company stock takes and assist in staff training.
15. Follow all company policies, including Health & Safety, and ensure compliance.
16. Maintain professionalism in customer and colleague interactions.
17. Commit to ongoing product knowledge development.
18. Perform any additional duties needed for branch operations.

Limits of Authority:

1. Negotiate customer discounts within set limits and seek approval for exceptions.
2. Do not release goods to companies on the 'Stop' list without approval.
3. Ensure receipt of payment before processing trade counter sales.
4. Only purchase from approved suppliers and stock items as per company guidelines.
5. Handle non-stock item returns only for specific reasons like damage or fault.

Essential criteria

• Experience in a Sales Administration position, including processing orders and quotations.
• Previous experience of working within the HVAC industry
• NVQ Level 2 in Business Administration or Customer Service
• The ability to work effectively as part of a team but also independently
• Ability to use Microsoft Office applications

This is a busy and varied administrative role. The role would ideally suit an individual with strong organisational skills, who has experience of reading legal documents, an interest in investigating and solving ad-hoc practical or technical challenges. Overview of the job

This is a non-operational specialist role based within HMPPS in Wales establishment or probation delivery unit, line managed via the Functional Lead: Health, Safety & Fire (HMPPS in Wales), Health Safety and Fire within the HMPPS in Wales HSF Team.

The role supports national plans and systems for the effective management of HSF risk through the provision of first line monitoring and support for establishments/ probation delivery units and by the co-ordination and operation of relevant establishments/probation delivery unit’s administration and management systems.

There are no line management responsibilities.

Summary

The job holder will undertake the role, having access to all work areas, plant and equipment. The post holder will report to the Functional Lead: Health Safety and Fire HSF in the HMPPS Wales HSF Team.

The post is the liaison and co-ordination point for health, safety and fire management in establishments/probation delivery units, providing first line advice, information, administration, training and support to the SMT, managers, staff, prisoners, contractors and visitors.

The job holder will co-ordinate HSF management systems within identified establishment(s)/probation delivery unit(s) in line with national policy, arrangements and standards. Support for other establishments/probation delivery units in HMPPS Wales may be required on an ad hoc basis as required by the Functional Lead: HS&F and/or Regional Services Lead: Estates.

Responsibilities, Activities and Duties

The job holder will be required to carry out the following responsibilities, activities and duties:

• The maintenance of a Fire Risk Assessment as required by the Regulatory Reform (Fire Safety) Order 2005.
• The maintenance and distribution of national and local health and safety risk assessments.
• Assist the Functional Lead, Health Safety and Fire in production of monthly, quarterly and annual reports to the HS&F Sponsor, SMT, Health and Safety Committee, H&S representatives and HMPPS Wales HSF Team on the HSF performance of the establishment/probation delivery unit(s) with reference to individual incidents, trends and patterns in incidents, the efficacy of controls including training and progress on plans re fire safety. Sources for such reports to include Rivo, NORCET, Cardinus, HMPPS Performance Hub.
• Regular liaison with the Functional Lead - Health, Safety and Fire on progress and issues within establishments/probation delivery units.
• The review of the relevant local HSF risk assessment(s) after any incident or change in circumstances and the revision, if necessary, of local variations.
• Referral of non-local issues arising from the review to HMPPS Wales HSF team.
• Administration and co-ordination of the Establishments/probation delivery units Health and Safety Committee including action progress-chasing and exception reporting to the Chair (HS&F Sponsor) and HMPPS Wales HSF team.
• Monitoring and reporting on progress of establishment/probation delivery unit HSF and other relevant action plans.
• Regular informal contact with establishment/probation delivery units Health, Safety and Fire (HS&F) Sponsor on all relevant matters.
• Frequent liaison with Establishment(s) Heads of Function (including Security and Safer Custody) to ensure there are no conflicts of interests developing on matters relating to HSF risk.
• Regular liaison with the manager(s) responsible for HSF-related contingency planning to ensure all aspects of such contingency planning are suitable, sufficient and current. To assist those responsible with the development and testing of HSF contingency plans.
• Frequent liaison with their local emergency services including the Fire and Rescue Service (FRS) to facilitate the implementation of the local establishment/probation delivery unit fire/emergency contingency plans in association with the FRS operational firefighting procedures.

The organisation and delivery (where required) of the appropriate fire safety instruction and training for every person in the workplace to ensure that at all times each person is familiar with the fire precautions to be observed in the workplace, which includes:

1. The means of escape in case of fire
2. The action to be taken in case of fire
3. The location and method of operating firefighting equipment (if required)
4. The location and use of the means to give warning in case of fire

• Ensure the organisation and delivery of training and instruction to all establishment operational personnel in the correct use of Respiratory Protective Equipment (RPE); the Safe Systems of Work for Cell Fires (SSOW), and to ensure that all equipment is replaced, maintained, tested and recorded as required.
• Working with the Functional Lead - Health, Safety and Fire, the provision of regular and prompt Core Basic HSF Induction training to new or transferring staff, on-site contractor staff and sub-contractors and other third parties as appropriate in line with national Health and Safety Arrangements for the provision of training.
• Ensure the provision of other relevant training at first line level such as stress awareness, manual handling technique, principles of risk assessment, accident reporting, slips trips etc.
• Regular liaison with those responsible for the planning and resourcing of training to track progress with delivery of HSF training against the people plan. Assist with the identification of training needs and reporting identified needs via functional managers and HMPPS Wales HSF team.
• The organisation of fire evacuation drills and liaison with the local Fire and Rescue Service on operational procedures, familiarisation visits, water supplies, and access for fire service vehicles.

What we are looking for

• A full, valid clean driving licence, with a minimum of 4 years driving experience is required
• Experience in management of direct customer contact, employee relations, budget and P&L review
• Ability to exercise sound judgment and make prudent decisions
• Excellent communication skills with ability to build rapport across the organisation with peers, staff and management, both written and verbal
• Strong team-oriented leadership skills and proven track record in a management role
• Ability to attract, evaluate, coach, and advance staff to create an effective team
• Working knowledge Microsoft Office, including Excel, Word, Power Point.

Main responsibilities

The role of Sales Manager is responsible for staff training and development and overall profitability of a high volume airport including:

• Service based sales management
• Staff training, development, coaching and corrective action
• Sales and financial reporting
• Staff performance management and team building to achieve sales objectives
• Maximise incremental sales through effective training and staff development
• Work closely with management and department leaders

Job Purpose
To support sales and business administration for our clients products in the Cardiff area. Ensure smooth branch operations, manage customer orders, stock purchases, credit control, product availability, and delivery coordination. Develop business opportunities in conjunction with the Branch and Regional Business Development Managers.

Key Responsibilities:

• Uphold the companies core values and principles.
• Accurately process customer orders and inquiries.
• Purchase necessary items from suppliers as per company guidelines.
• Coordinate stock transfers with other branches.
• Provide transport quotes and ensure cost-effective delivery.
• Inform customers about deliveries, shortages, and completions.
• Collaborate on pricing quotations and maximize sales opportunities.
• Promote products and services.
• Size and select air movement items from customer information.
• Develop and maintain sales through various communication channels.
• Maintain and update discount structures and stock levels.
• Coordinate with Credit Control on customer accounts.
• Perform daily office duties, including dispatch, filing, and quotation updates.
• Complete month-end procedures for accurate accounting.
• Handle cash and credit card payments for trade counter sales.
• Use the company's Axapta computer system for relevant tasks.
• Participate in stock takes and provide training to new staff as needed.
• Adhere to Health & Safety policies and all other company policies.
• Maintain professionalism and good customer relations.
• Commit to continuous product knowledge development.
• Perform any other duties to ensure smooth branch operations.
• Maintain company confidentiality.

Limits of Authority:

• Negotiate customer discounts within set limits, with required approvals for higher discounts.
• Do not release goods to 'Stop' list companies without Credit Control approval.
• Ensure cash payments are received before processing trade counter sales.
• Follow company guidelines for supplier purchases and stock profiles.
• Only accept returns for non-stocked items under specific conditions.

Candidate Requirements:

• Previous Sales Administration and order processing.
• Previous HVAC industry experience preferred.
• Knowledge of industry/products (training provided if needed).
• NVQ Level 2 in Business Administration or Customer Service.
• Ability to work both independently and as part of a team.
• Proficient in Microsoft Office applications.
• Warehouse experience is desirable.
