Our client based in Guildford is seeking an experienced Event Support Administrator. This role will be offered on a 6 Month Contract to support the team with all pe-event activities for their upcoming UK Event in 2025. You will also have the opportunity to attend the 3-day live event with all expenses paid. You will support the Marketing Department & Customer Success Manager in all pre-event, operational and marketing planning preparation to maintain first class customer service.

Key duties:

• Managing and resolving exhibitor queries efficiently via email and telephone
• Ensuring deadlines are met (stand announcement forms, stand plans, exhibitor stand orders)
• Keeping the exhibitor manual up to date with important event information
• Creating visa letters for international exhibitors
• Support any remaining new exhibitor onboarding
• Data gathering & preparation for event preview and show guide
• Data collection for content programme
• Exhibitor Training & Support of the event app
• Tracking exhibitor marketing activity
• Pre-show team preparation including accommodation, parking, onsite schedule, badges, printing as required for sales & marketing
• Support Customer Success Manager with Sales Partner attendance & co-ordination

Requirements

• Excellent communication internally and externally
• Excellent relationship management with clients
• Excellent telephone manner
• Highly organised
• Good attention to detail
• Proficient in MS Office and use of CRM systems
• Team player

** Event Logistics & Operations Coordinator **

IMMEDIATE START

• £26k-£32k based on exp

• Permanent role
• The role is primarily office-based but with a flexible remote working policy and the potential opportunity for international travel as the role develops
• Guildford Based

Our client is an expanding Tech based company in Guildford. They are now recruiting for an experienced Events Logistics & Operations Coordinator.

The primary responsibility of this new role is to manage all logistical aspects of technology at Event venues worldwide, ensuring the requisite equipment and personnel are present for successful deployments.

Key Responsibilities:

• Liaise with relevant internal and external parties in a timely fashion
• Maintain an accurate and up-to-date calendar of deployments capturing all relevant details including deadlines
• Develop and manage checklists and forms, detailing the transportation, setup, retrieval and return of equipment and personnel
• Ensure availability of all necessary technology equipment and onsite personnel
• Develop and maintain standard operating procedures for best practice process, ensuring all deadlines are met
• Prepare budgets for each deployment and reconcile costs post-deployment
• Identify and implement improvements to maximise efficiency in end-to-end process
• Foster positive relationships with partners to enhance collaboration
• Manage inventory and ensure all necessary equipment is available
• Ensure equipment is checked to ensure functionality and troubleshoot any issues prior to dispatch
• Coordinate the timely transportation and storage of technology assets from/to multiple warehouse locations
• Liaise with clients to understand requirements, including venue specifics
• Coordinate and book international/regional transport and accommodation
• Be the primary contact for onsite
• Check and approve invoices and expenses claims

Requirements:

• Experience in event logistics coordination, preferably in the technology industry
• Highly organised with meticulous attention to detail.
• Self-managed multitasker, unphased by the pressure of deadlines
• Excellent communication and interpersonal skills
• Ability to work under pressure and solve problems in a fast-paced environment
• Computer literacy including Microsoft
