We are looking for a proactive individual to join our Facilities team as Facilities Coordinator, based at our Head Office in Newbridge, on the outskirts of Edinburgh.

This role is an ideal opportunity for those with a strong administration background who are looking to develop new skills in a challenging and fast paced environment.

The Role

Working as part of a small team, you will oversee general maintenance requests, ensuring work is carried out and charged in line with contract conditions.

Strong analytical and excel skills will be required to manage the visa spend, invoicing and contributing towards the budget process. In this role you will coordinate with external vendors and oversee the provision of utilities to the estate.

Other key responsibilities of the role are:

· Responding to escalated or general queries from stores

· Responding to specific contract queries

· Updating databases with information from wider facilities team around projects

· Providing specific utilities related data

· Supporting Facilities Managers to provide an effective response to the business

· Monitoring activities that happen outside the building, such as proper waste disposal and recycling

· Keeping track of regular and ad-hoc facility expenses

· Maintaining an updated record of invoices from external partners (e.g. suppliers, insurance agents, security guards)

· Researching new services and appliances to facilitate operations

· Ensuring compliance with health and safety regulations

Our Ideal Candidate

You will have previous experience in a Facilities Coordinator or similar role and have a strong understanding of facilities management operations. Hands on experience with facilities management software would be an advantage.

To be successful in this role, you should be well-organized and able to prioritise multiple tasks. You should also have a good customer service focus and attention to detail, and understand safety regulations in offices.

Hours of Work

This is a full-time role working 37.5 hours per week. This role will be primarily office based, with the potential for some hybrid working.

About the Role

We are currently looking to recruit a Facilities Manager to manage, maintain and develop our services throughout Scotland, while maintaining a safe environment for our customers and staff.

This role will entail:

Managing the Admin, Facilities, Maintenance, Housekeeping, Catering and Transport teams within our services.
Establishing monitor and maintenance systems are in place to improve and when required arrange repairs/maintenance work.

Platform Property Care has an exciting opportunity for a Quality & Defects Manager to join our Grounds Maintenance team as our Subject Matter Expert for all of Platform Housing new build sites landscaping under development.
What could you be doing?
In this key role you will be responsible for ensuring landscaping works on new developments are delivered on time, to high standards and contract specification whilst being the main point of contact for all stakeholders.
You’ll have a real input into new development scheme design and maintenance regime being involved with the pre-planning and pre-site review. Working with our Development Land team you will lead on all Grounds throughout the build process, managing the defects until sites are complete and then handed over to the Grounds Maintenance Delivery Managers and their teams to manage and maintain on a day to day.
Some things we need from you:
• Proven knowledge and demonstrable experience of delivering horticulture and landscape maintenance techniques and industry best practice including tree and hedge conservation
• Experience of working day to day with external stakeholders with excellent relationship building and maintenance skills
• Used to working with site plans and planting diagrams with a key eye for detail
• Experience in monitoring, measuring, and managing performance and addressing under-performance and of delivering works on time
• It would be desirable if you have a C & G/ National Diploma or equivalent qualification in Horticulture, and if you were an Associate Member of the Chartered Institute of Horticulture and working towards Corporate Membership
• Management and H & S Management qualifications would also be desirable but not essential

Leading a multi-trade team supported by a supervisor, you will be results focused, ensuring the service is delivered to meet contractual timescales and key performance indicators including sector leading customer experience; whilst supporting the wider Platform Property Care team objectives.
Some things we need from you:
You will be an experienced Service/Repairs Manager, who will have previously worked in the housing/ construction industry, ideally with a relevant qualification. You should also have experience of managing and nurturing large teams and are able to bring the best out of your team.

Facilities Manager

We are looking for an experienced Facilities Manager preferably with a surveying, building or trade background who will be responsible for the Society’s entire property portfolio of around 350 sites, including Scotmid and Semichem Stores, Funeral branches, and our Semichem warehouse facility. As Facilities Manager you will manage and respond to maintenance works, PPM’s, reactive call outs and planned project work.

The Tower Hamlets Schools (THS) PFI Contract covers 24 schools in East London and is part of a wider PFI contract, covering Facilities Management contracts in London and the Midlands. G4S FM provides full Lifecycle replacement and mechanical and electrical system (M&E) services across these 24 schools as part of the Tower Hamlets PFI Contract.

About the role
We have an exciting opportunity for a Regional Facilities Manager to join our friendly team working on the Tower Hamlets School (THS) PFI contract based at Trinity Buoy Wharf. This is a full time role working 40 hours per week, Monday to Friday.

As Regional Facilities Manager, you will be responsible for the safe operational delivery of all FM services to the portfolio of schools, ensuring that the service is delivered in accordance with all contracted standards & legislation, company policies and procedures.

Responsibilities
Manage customer relationships with the Schools and service delivery for the region.
Direct a relationship with the Helpdesk and utilise data from CAFM, ensure PPMs and reactive works are completed on time and to the required contractual standards.
Maintain regular contact with the client and all other stakeholders and deal with any issues efficiently and in a professional manner, deputising for the Regional Account Manager where required.
Monitor and control agreed budgets and review with the Contract Management team at monthly meetings.
Manage labour costs to budget and oversee recruitment and ensure all employees and any temporary employees receive the appropriate induction and training.
With an ethos of quality data driving performance ensure your direct reports have a clear understanding of their role, responsibility and performance measurement requirements. Analysing and seeking out opportunities for improvement across ALL service requirements.
Monitor and review all staff performance on an on-going basis and manage employee relation issues.
Oversee all weekly and monthly shift reports before processing to payroll.
Ensure that all areas, machinery, tools, stock and materials storage areas are kept in a clean and tidy state, supported by relevant audits, including plant rooms.
Undertake Health and Safety audits and lead Health and Safety meetings with direct reports, identifying Health and Safety incidents and or concerns.
Ensure that safeguarding and emergency procedures are current and that all staff and contractors are aware of them and all contractors undertake a site induction.
Chair weekly/monthly service reviews with direct reports.
Reduce spend levels by introducing innovative cost saving solutions.
Maintain minimum levels of work in progress (non-billed works) in accordance with company guidelines.
Provide robust management of Purchase Orders and ensure all Purchase Orders are raised in a timely manner.
Support the Contract Manager in preparation of monthly operational and financial reports for submission within the required deadline.
Monitor the helpdesk to ensure that all reactive works are captured especially where work is to be recharged to the client.
Liaising and supporting lifecycle and PMO with condition surveys, planning of works, reviewing Safe Systems of Work (SSoW), management of contractor, snagging and works sign off where applicable.
Manage suppliers to ensure a good level of service delivery.
