• You will serve as a Facilities Program Assistant for the Naval Air Warfare Command Aircraft Division supporting NAVAIR HQ Facilities Team.

• Greet patients and take necessary action to expedite a smooth and effective visit.
• Schedule patient appointments.
• Receive all telephone calls and visitors to the department, and answers inquires such as obtaining medical assistance; directions for contacting different clinics; resolving requests for changes in scheduled appointment; and test preparation.
• Utilize in-depth knowledge of office automation and printing equipment to create, copy, edit, store, retrieve and print various reports that contain medical terminology.
• Establish, organize, and maintain medical records, in the proper sequence, ensuring all necessary forms and documents are present, accurate, and complete.
• Train new staff on departmental guidelines to include, but not limited to, department standard operating procedures, and the Health Insurance Portability and Accountability Act (HIPAA).

Principal Accountabilities:

• The monitoring of the security cameras
• Carry out administrative duties for facilities
• Management of day to day inventory and stock control
• Control all stock from goods inwards to dispatch
• Maintain and control stock levels
• To source material and tooling for all related technical jobs
• Processing orders and delivery of spare parts, components and lab equipment
• Distribution of parts to technicians
• To load and unload deliveries
• Source, develop and maintain relationship with suppliers and subcontractors
• Adherence to all client processes for laboratory conditions
• Contribution to the smooth running of the laboratories
• Ensure maximum stock levels at all times
• Painting as directed
• Repairing any damage to walls
• Carrying out any ad-hoc maintenance requests.
• To ensure minimum disruptions whist work is carried out.
• Sorting, delivery and collection of post across site as directed by the Site Manager.
• Moving of office furniture and equipment
• Carrying out porterage tasks as requested
• Carry out minor mechanical works and handyman tasks
• Provide assistance to third parties as and when required
• To work reasonable overtime as and when required

Qualifications and Experience:

• Previous stores experience is ideal
• Full driving license
• Technical expertise, qualifications in a craft skill or engineering discipline would be important
• Knowledge of key operational procedures
• Previous experience in a front facing customer service skills
• Sound administrative experience
• Good telephone manner
• Good IT skills including Word, Excel and Power Point
• Well organised with the ability to prioritise workloads

• Smart, presentable appearance
• Personable and approachable
• Flexible will work with other trades
• Good communication skills
