JOB SPECIFICATION & RESPONSIBILITIES

OBJECTIVES

1. To assume full responsibility for the cost-effective operation of the Engineering Department.
2. To prepare the annual and revised Engineering budget in close co-ordination with the Financial Manager and Management, commensurate with operational requirements of the property.
3. To keep accurate records and monitor closely all Engineering budget expenditures, and to ensure that the budget is adhered to and costs strictly controlled.
4. To allocate and countersign all invoices chargeable to the Engineering budget before being processed and charged.
5. To establish an efficient system for the control and verification of all fuel deliveries to the premises.
6. To ensure the repair works being carried out in most economical and effective manner.
7. To supervise closely all engineering personnel in the performance of their duties.
8. To delegate duties and responsibilities, as required, to the Assistant Maintenance Manager.
9. To develop and implement a Comprehensive Preventive Maintenance Programmed for all equipment in the Hotel. 
10. To co-ordinate and, if so requested, supervise special projects and employment of outside contractors.
11. To establish a well-organized Engineering Store and keep close control on consumption of material, stores and inventory control.
12. To implement a comprehensive elevator emergency procedure and initiate employee training on emergency release procedures with the elevator manufacturer’s agent.
13. To advise management on all matters of potential improvement to the operation.
14. To assist the purchasing department with suggestions for the most economic purchase of parts and consumable and to issue clear and concise purchase request for such items.
15. To be knowledge of statutory legislation in employment and industrial relations.
16. To control and monitor closely all utility consumption, and to ensure optimum energy usage by all departments in the Resort.
17. To observe energy efficiency of all equipment, forwarding to management suggestions for replacement of energy inefficient equipment and to report to management all wastage of energy.
18. To assume full charge of building maintenance which includes guest room, public area, kitchen and all back of house. 
19. To establish a regular planned guest room servicing programmed in accordance with industry standards.
20. To supervise major repair and maintenance of Electrical and Mechanical Services.
21. To be fully in charge and responsible for the smooth function of the Department’s administration and maintenance of an efficient filling system.
22. To make sure that all documents related to the operation of the department are being kept up to date, and that all records are correctly maintained and filed.
23. To assume full responsibility for the preparation and timely submittal of all reports.
24. To maintain a comprehensive library of manuals and parts lists of all operational equipment, as well as a complete set of up to date drawings of all areas and systems.
25. To perform an annual evaluation of all Engineering personnel.
26. To ensure that all employee report for duty punctually.
27. To ensure that all employees wear the correct uniform and name tag at all times. 
28. To create an efficient and professional team of employees.
29. To implement department training programmed ensuring the necessary skills of all employees to perform their duties with the maximum efficiency.

BROAD FUNCTION

To manage effectively, coordinate with maintenance team on Building maintenance, facilities, fixtures fittings and equipment’s preventive maintenance program.

PRINCIPAL RESPONSIBILITIES:

1. All plant building maintenance, inclusive minor electrical works and other plant related works.

Maintain organized documentation related to tenancy agreements, including correspondence with landlords and authorities.

Municipal Council and Regulatory Liaison: 

Act as the main point of contact with municipal councils for matters related to business licensing and tenancy.

Ensure compliance with zoning laws, safety regulations, and other municipal requirements related to branch operations.

Address any inquiries or issues raised by local authorities, ensuring company operations are in full compliance with applicable laws.

Contract and Documentation Management: 

Maintain an organized filing system for all licenses, permits, and tenancy agreements.

Coordinate with legal and finance teams to ensure proper documentation and payments are made for all agreements.

Assist in the preparation of reports,proposals, and presentations as needed, related to licensing and tenancy matters.

Risk Management & Compliance: 

Identify potential risks related to business licenses and tenancy agreements and develop strategies to mitigate them.

Ensure the company is protected from legal and operational risks through the proper management of licenses and agreements.

Regularly review and update internal processes to ensure they comply with changing regulations and business needs.

Ad-hoc Duties: 

Undertake any other special tasks, projects, or assignments as directed by management, ensuring flexibility and responsiveness to organizational needs.

Requirements:

• Possess at least a Bachelor’s Degree in Architecture, Quantity Surveyor, Project Management or relevant field
• Minimum 4-5 years working experience in Property Maintenance/Construction or relevant work experience
• Exposure to current design trends preferably in banking/insurance, retail or commercial designs is an added advantage
• Able to perform task given under minimum supervision
