We are looking for a Marketing Ops & Experience Project Specialist (Contract) to join our team!
Preferred location: Remote- 1year contract role
What you’ll do at Elekta:
The Marketing Ops & Experience Project Specialist will work across multiple functional teams to create, drive, and execute internal teammate communication, experience planning activities, and engagement across all Elekta’s internal & external experiences. This position is responsible for the execution of tactical tasks, strategic initiatives, and short-term and long-term project plans that support the integrity/consistency of Elekta’s brand and Experience expectations. This position will work very closely with the Regional & Central Marketing, Legal, Compliance, Commercial Ops, Sales functions, and other teams to ensure a 360-degree understanding and modeling of Elekta’s experiences, products, and goals to internal and external customers. The function will be responsible for reporting out data & analytics that tell the story of ROI for all customer engagement within Elekta using internal and external channels.
The role will report directly to the Director of Marketing Excellence and Operations and focus on driving the marketing project plans and associated activities for both internal & external Experiences.
You will be involved with a range of projects that focus on elevating the importance of high-quality internal & external Experiences. You will support the RAM Marketing team in delivering high-quality, process-guided physical and digital experiences and high-impact experiences for our external and internal customers. The applicant needs to be innovative and explore exciting ways to connect, inform, and represent Elekta.
Responsibilities - The role of Marketing Ops & Experience Project Manager is to provide support to the Director, Marketing Excellence, and Operations, and the wider Marketing team, as and when required. This will include (but not limited to):
Program Management-
Project Planning: Collaborate with stakeholders to define project scope, RACI, goals, and deliverables. Develop detailed project plans, including tasks, timelines, resources, and budgets.
Resource Management: coach resources efficiently and effectively to ensure project tasks are completed on schedule. Monitor resource utilization and adjust as needed.
Risk Management: Identify potential risks and develop mitigation strategies. Monitor and manage project risks throughout the project lifecycle.
Team Leadership: Lead and motivate cross-functional project teams, ensuring clarity of roles and responsibilities. Foster a collaborative and productive team environment.
Communication: Facilitate clear and consistent communication among team members, stakeholders, and clients. Provide regular project status updates and reports to key stakeholders.
Budget Oversight: Manage assigned project budgets, monitor expenses, and track financial metrics. Ensure projects are delivered within budgetary constraints.
Change Management: Proactively manage changes in project scope, schedule, or objectives. Evaluate the impact of changes and communicate adjustments to stakeholders.
Documentation: Maintain accurate and up-to-date project documentation, including project plans, requirements, meeting minutes, and other relevant records. Measurement of OKRs.
Stay on top of industry best practices and competitor activity to ensure that Elekta delivers game-changing ideas and solutions.
Customer Experience Center
Responsible for program objectives, Reputation, Budget Attainment, Executive Support, and Recognition.
Track Leadership engagements and report on engagement tasks.
Maintain Briefing Source portal.
Conduct surveys for growth and improvement opportunities.
Ensure all deliverables are met for both parties in a timely manner.
Evaluate and improve the current process and communication structure.
Develop a link between Briefing Source and CLM to track the value of Customer Experience in the sales process.
Support on-site visits & ensure logistics run smoothly.
Customer Experience- External Experiences
Create weekly status emails & attendee statistic Excel reports.
Conduct post-show wrap-up, surveys, and reporting; measure ROI and monitor against goals and objectives.
Set up workstreams for projects and experiences.
Maintain experience schedules, project checklists, and processes via experience management templates and best practice processes.
Onsite staffing for in-person experience, including travel as needed PPT design, ensuring brand continuity & projection.
Work with internal teams to ensure brand and solutions are projected powerfully within RAM marketing projects.
Qualifications:
Bachelor's degree in a relevant field
Excellent organizational, project management, time management, and multitasking skills.
Excellent verbal and written communication skills in English
Strong customer-focus and willingness to ‘go the extra mile’ to ensure a unique, Elekta experience, is required.
Good IT literacy and confident using PowerPoint, Excel, and Word
Ability to project manage multiple, concurrent projects is required.
Proficiency in project management tools and software. Monday.com, Cvent, Salesforce, and Workfront a plus.
Some Familiarity with project management methodologies (e.g., Agile, Waterfall).
Problem-solving aptitude and a proactive attitude.
PMP or other project management certification required.
Monday.com experience is a preferred
Excellent problem-solving skills
Must be able to network across the organization and engage stakeholders in projects from kick-off through to successful delivery
