Purpose of the Role

The Program Office Associate is responsible for supporting the Program Office on business management and to monitor status of projects/initiatives, collate information and assist in report preparation, and providing updates to management. He/she also drives and supports on staff engagement and development activities across Technology and Operations.

Role Attributes

• Oversees administration needs of the Program Office on projects/initiatives, staff engagement and development to support overall T&O group strategies.
• Key Responsibilities
• Provide business management and project management support (strategic projects).
• Drive Tech and Operations annual Budget planning exercise
• Follow-up on management actions/ track project status and timeline to ensure regular and timely progress update from relevant responsible parties.
• Identify and escalate medium and high risk/issues to Head of Program Office from progress updates received
• Organise, coordinate and facilitate T&O meetings (e.g. management meetings, townhalls etc). Work with multiple stakeholders to prepare agenda and presentation deck.
• Build and maintain effective relationships with project teams as well as extended stakeholders, including sponsor, business representatives and other projects and programs.
• Responsible for improving employee engagement index by conceptualizing and implementing various employee development and engagement activities.
• Initiate and implement innovative team building and collaborative initiatives.
• Responsible to develop and implement communications, events and engagement plan.
• Leading and/or supporting the development and delivery of internal communication plans and materials.

Requirements

• Strong stakeholder engagement and management experience as well as political awareness
• Strong in organizing, adaptable to dynamic changes and excellent in follow-through.
• Relationship management skills with key stakeholder
• Experience with projects and events management preferred.
• Understanding of insurance and IT an added advantage
• Fresh Graduates (Bachelors in Information Technology or others)

Key Responsibilities:

• Prepare accurate quotations and assist with budget calculations.

• Compile and submit bidding documents for potential projects.

• Handle inquiry quotations and ensure timely responses to clients.

• Assist in processing petty cash claims for the Manager and Director with the Finance Department.

• Perform other ad-hoc administrative duties as required.

What We’re Looking For:

• O/A Levels or Diploma holder with 1-2 years of relevant experience.

• Knowledge of the engineering industry, particularly in semiconductor Fab systems, is a PLUS.

• Strong attention to detail and ability to maintain confidentiality.

• Proficiency in Microsoft Office, especially Excel.

• Excellent written and verbal communication skills.

• Responsible for analyzing and controlling costs, preparing detailed cost reports, and providing actionable insights to improve efficiency and profitability
• Analyze existing business processes to identify inefficiencies and opportunities for improvement.
• Analyze operational costs distinguishing between fixed vs variables
• Prepare detailed cost reports and present findings to management.
• Analyze business data to identify trends,patterns, and insights that can inform business decisions.
• Focus on pricing fixed at the campus level and define bench mark
• Evaluate existing costing methodologies and recommend improvements.
• Develop dashboards and reports to monitor key performance indicators (KPIs).
• Collaborate with Operations and other departments to identify cost-saving opportunities
• Implement and monitor cost control measures.
• Gather and analyze data from various sources, including financial statements
• Utilize financial software and tools to analyze data and generate reports.
• Support the development of cost forecasts and financial projections.
• Work with stakeholders to understand their business needs and translate these into requirements.

• Able to quickly understand the business, its key drivers and issues
• Strong competencies in financial modelling, as well as a strong working knowledge of accounting and forecasting software (IBM TM1)

Position Summary:

Required Experience:

• Open to fresh graduate with at least bachelor’s degree in business or finance
• Excellent communication and presentations skills across various stakeholders and senior management

• Ability to analyse and resolve project-related issues and follow through with set objectives
• Ability to deal with different stakeholder groups to elicit business requirements, procedures, and processes
